Add a related list

You can add a related list in Zoho CRM whenever a new form submission is received.

Overview

The Related Lists are records that are associated with the parent record. For example, a Lead has Notes, Tasks, Events, and calls associated with it. These associated records are Related Lists.

When you send form submissions to Zoho CRM from Zoho Forms, you can also add records associated with each submission as a related list in Zoho CRM. For example, an Event can be added as a related list to a Lead. You can add a Related List to Zoho CRM in two ways as shown below.

Setup Integration

You can add to a related list in two ways:

  1. When you push a new record to a CRM module from Zoho Forms, you can also push a related list using the same form.
  2. When you have an existing record in Zoho CRM, you can add a related list to the record in Zoho CRM with another form using Zoho CRM Field. 

New Record

To add a related list while adding a new record to Zoho CRM:

  1. Add the Zoho CRM Field to your form and complete the setup
  2. Navigate to Integrations.
  3. Click Zoho CRM and select the New Record option. Complete thesetup and click Integrate to save your settings. 
  4. Select the Related List option in the top pane.
  5. Select the required Related List and Layout from the drop-down.
  6. Map all the mandatory CRM fields to the corresponding fields in your form.
  7. To map more fields, click on the Add Fields button.                                                                                
  8. If you have a Subform in Zoho Forms, you can map the Subform fields to the corresponding Subform fields in Zoho CRM. 
  9. Click Integrate to save your settings. 

Existing Record

To add a related list to an existing record in Zoho CRM:

  1. Add the Zoho CRM Field to your form and complete the setup. 
  2. Navigate to Integrations.
  3. Click Zoho CRM and select the Related List option.
  4. Select the required Related List and Layout from the drop-down.
  5. Map all the mandatory CRM fields to the corresponding fields in your form.
  6. To map more fields, click on the Add Fields button.
  7. Click Integrate to save your settings. 

Distribute Prefilled Forms from Zoho CRM

With the above setup, you can add related lists using a privately shared form.

To send a prefilled form to a list of people from your CRM database and add their responses as a related list in Zoho CRM, 

  1. Complete the Existing Record setup as shown above in Zoho Forms.
  2. Enable Pre-population of Data in the Zoho CRM marketplace under Setup > Marketplace > Zoho > Zoho Forms
  3. Draft an email or configure a template and add the preconfigured Zoho Forms' link in the email.
  4. Pick your contacts from the Zoho CRM module and send the configured email with a link to a pre-filled form.

Trigger Actions in Zoho CRM

You can choose to trigger certain actions in Zoho CRM every time a form submission comes in.

Workflow: Select this option to trigger your workflows in Zoho CRM while adding entries via Zoho Forms.

Attachment: Select this option to add the attached files in Zoho Forms to your Zoho CRM account. The following attachments can be pushed from Forms to CRM:

  • Signatures
  • File upload/ Image Upload field attachments
  • Merged documents (attached to email notifications)
  • PDF of form submissions
