  • Recipient authentication for the European Union via EU eID: Organizations based in our EU datacenter can now verify the identity of document recipients at the time of signing or approval using eID-based authentication. This integration allows residents of the European Union to authenticate themselves through one of the supported European ID or eID procedures to access the document(s) sent to them. Zoho Sign has partnered with Signicat, a leading digital identity provider in Europe, to offer this service. This service incurs additional cost based on the eID procedure chosen. This integration can be used by both users of Zoho Sign and external signers. The eID procedures presently supported are National ID in Belgium (.beID) and Germany (Personalausweis), and iDIN in Netherlands.
  • Integration with Microsoft Power Automate: Zoho Sign is now available on Microsoft Power Automate, a popular app part of the Microsoft Power Platform. This allows users to streamline business processes by connecting Zoho Sign with 600+ applications using low-code, automation workflows.
  • Integration with Pipedrive: Users can now get their sales paperwork and contracts signed using dynamic and seamless e-sign workflows directly from their Pipedrive sales hub. Users need to install the Zoho Sign app from the Pipedrive marketplace to use this integration.

  • More providers and eID procedures in QES via EU eID: Zoho Sign has now added support for the following providers and eID procedures in generating qualified electronic signatures (QES) via eID-based signer authentication - eParaksts eID and eParaksts mobile in Latvia, Chave Móvel Digital in Portugal, sign-me (D-Trust) across various countries, CertEurope USB (InfoCert) in France, certSIGN USB in Romania. This service incurs additional cost based on the provider/eID procedure chosen. This integration can be used by both users of Zoho Sign and external signers.

  • Send documents for signatures/approval via SMS: Users can now send documents for signatures and approval through SMS in addition to email. Users can choose the option to deliver document signature requests via SMS for each recipient when setting up a sign workflow and enter the recipients' phone number(s). The SMS sent to the recipient(s) will contain a secure link for them to access the document and sign/approve/view it. This incurs additional cost.

  • Sign with Singpass for Singapore: Organizations based in our US datacenter can enable the Sign with Singpass service. This integration allows residents of Singapore and overseas users (SFA) to digitally sign documents with their Singpass digital ID, and it uses digital signature certificates issued by the National Certification Authority. Documents signed with Singpass are recognized as carrying secure electronic signatures under Singapore's Electronic Transactions Act, 2010. The signed documents also carry an embedded timestamp. This integration can be used by both users of Zoho Sign and external signers.

  • Automatic fillable field detection for documents uploaded via Zoho Writer: When documents prepared using Zoho Writer containing fillable fields and blanks are imported into Zoho Sign, the corresponding fields for signers are now automatically placed using AI-based field detection.

  • Qualfied Electronic Signatures (QES) for the European Union via InfoCert: Organizations based in our EU datacenter now have the option to sign their documents with QES issued by InfoCert, an authorized Qualified Trust Service Provider (QTSP) as per the eIDAS regulation 910/2014. Documents signed using this service also carry an embedded timestamp and incur additional cost. This integration can only be enabled for and used by users who have a Zoho account and are part of a Zoho Sign organization. It requires users to register with InfoCert to obtain the QES.

  • Organization activity reports: Administrators can now view a more detailed history of activity across users within a Zoho Sign organization. In addition to sender and recipient activity in documents, many other administrative actions such as addition and removal of users, creation of templates and SignForms, sharing of documents and templates, changes to contacts, folders, and document types, and changes to document signature requests and some general settings and account configurations are now audited within Zoho Sign. These activities can be monitored by administrators by visiting Reports >> Activity log from the Zoho Sign dashboard.
  • Export option for signer field data from signed documents sent using bulk send: In the case where copies of documents have been sent to many recipients using bulk send, users can now export the document field data, entered by signers at the time of signing, in a CSV file. Users can access this option by visiting Documents >> Sent >> Bulk send and opening the desired bulk send request.
  • Enhanced options for downloading documents: Users now have multiple options to choose from when downloading documents from Zoho Sign. Users may choose to download just the documents in a request (in a ZIP file if more than one), or just the completion certificate, or all of them in a ZIP file, or all of them merged into a single PDF file. In the case of the merged PDF file, the file will only contain the common digital signature certificate issued to Zoho Sign and the signatures of the individual signers will be captured merely as visible signatures.
  • Enhancements to setting up webhooks: Users now have the option to send a sample payload to the callback URL when setting up a webhook. This can be used to test the payload delivery and verify the webhook's configuration and connectivity.

Launch in new Datacenter

New Service
  • Launch of service from Japanese datacenters: Zoho Sign launches its services from our datacenters in Japan. Previously, Japanese customers were served from our US datacenters. Now, the ability to store and manage their paperwork digitally within Japan will help them comply better with the strict domestic security requirements. The service in the Japanese datacenters also includes digital document timestamping via SEIKO Cyber Time, an officially certified timestamping authority (TSA) in Japan. Zoho Sign is served from our Japanese datacenters both as a standalone subscription and as a part of the Zoho One bundle.

  • Payment integration with Zoho Checkout: Zoho Sign now integrates with Zoho Checkout to enable users to collect signatures in documents and an associated payment in the same workflow. Users can add a Payment signer field to documents and integrate it with a payment page that they have set up on one of their Zoho Checkout portals. This allows them to collect a payment at the same time as signatures and helps organizations do business more efficiently.
  • Qualified Electronic Signatures (QES) for the European Union via EU eID: Organizations based in our EU datacenter now have more options and providers to choose from to sign their documents with QES. This integration allows residents of the European Union to digitally sign documents with a QES generated by authenticating themselves through one of the supported European ID or eID procedures. Zoho Sign has partnered with eID Easy, an electronic signature aggregator, to offer this service. The signed documents also carry an embedded timestamp and incur additional cost based on the provider/eID procedure chosen. This integration can be used by both users of Zoho Sign and external signers. The providers and eID procedures presently supported are Evrotrust across various countries; National ID in Estonia, Lithuania, and Finland (Varmennekortti); Mobile ID in Estonia and Lithuania; Smart ID in Estonia, Lithuania, and Latvia.

  • Support for migration to other datacenters: Zoho Sign now supports migration of organizations/portals from one datacenter to another. Whenever users create a Zoho/Zoho Sign account, all their information is stored in one of our datacenters which is either automatically assigned to them based on their location or chosen by them. All user data stored in a datacenter is restricted from being moved to other geographical locations. However, due to evolving regional regulations and geopolitical developments, scenarios may arise where users will want to migrate their accounts and data from one datacenter to another. In such scenarios cases, users can write to migrations@zohoaccounts.com to request for datacenter migration and assistance. Learn more

  • Improvements to the Zoho Writer integration: Our integration with Zoho Writer now provides users with additional options when setting up Sign templates. In addition to being able to send the documents out for signatures, users can also self-sign them now and track the signing progress for documents sent out by simply clicking on the document status pane. Users also have the options to set the email language, add a private message, and enable authentication for recipients directly from Writer when setting up a sign workflow now. Additionally, users can also have a copy of the signed document automatically emailed to their associates upon completion.

  • Option to unsubscribe from recipient reminders: Recipients now have the option to unsubscribe from reminders for documents awaiting their signatures or approval. Recipients can avail this from the emails they receive from Zoho Sign. This can prevent recipients from receiving too many emails during the paperwork turnaround period and also serves as a spam prevention measure. This is available to both users of Zoho Sign and external signers when they receive document signature requests.

  • Bulk sign for documents with identical fields or only profile fields: Users can now sign multiple documents in bulk when they all have identical fields or just fields that can be auto-filled from the signers' Zoho Sign profile data. This can be used when a user has to sign/approve many documents internally within an organization and when these document requests have been generated in bulk through bulk send, templates, or via integrations with other Zoho apps. Users can use this feature only to sign documents from the requests that originate from their own Zoho Sign organization.

  • Aadhaar eSign for India: Organizations based in our Indian datacenter can now get documents signed via Aadhaar eSign. This integration allows residents of India and non-residing Indian nationals to digitally sign documents using their Aadhaar. Offered in an integrated partnership with eMudhra, a leading certifying authority (CA). Documents signed this way are legally valid and carry a recognized form of signature under Section 3A of the Information Technology Act, 2000. The signed documents also carry an embedded timestamp and incur additional cost. This integration can be used by both users of Zoho Sign and external signers.
  • Integration with HubSpot: Users can now create and send documents for signatures using Zoho Sign and track them directly from their sales hub on HubSpot. Users need to install the Zoho Sign app from the HubSpot marketplace to make use of this integration.
  • Integration with Vtiger: Users can now create e-signature workflows to send documents for signing and track them in real time directly from Vtiger CRM. Users need to enable the eSign add-on in Vtiger and integrate it with Zoho Sign by creating a client on Zoho API console for use.

  • Zoho Writer editor integration via Zoho WorkDrive: Users can now edit documents directly from Zoho Sign while building sign workflows, if the documents have been imported from Zoho WorkDrive and their file format is supported by Zoho Writer. The edit option opens the documents in a separate window for users to make the required changes. Once edited, the sync option allows the updated files to be synced back to the sign workflow and sent out for signatures.

  • New fonts for signer field data in documents: Zoho Sign now supports two new additional fonts—Lato and Poppins—in the Document Viewer screen for signer fields. Users can set these fonts for text-based fields from the formatting options available when adding them to documents.

  • Software development kits (SDKs) for mobile and web development: Developers can now obtain licenses for our software development kits to quickly build integrations with Zoho Sign's services and serve them via custom mobile and web applications.   • Image upload: The Image signer field allows signers to add images to documents by uploading them at the time of signing. This can be used to request signers to add any additional information which is needed in the form of an image.

  • Revamped blockchain timestamping: Users can now capture document signing events in the public Bitcoin blockchain. This creates an immutable public record for verification of document integrity. Offered through the third-party service called OpenTimestamps. With this update, blockchain timestamping on the Ethereum blockchain has been discontinued but the older documents timestamped using the Ethereum network can still be verified from the Zoho Sign app.

  • Offline signing in mobile apps: Users can now download documents for offline access in our iOS, iPadOS, and Android mobile apps when they are connected to the internet. This allows them to open and sign these documents later even if internet connectivity is unavailable and enables field agents to collect signatures in person from signers in remote areas without internet connectivity. Documents signed offline will be synced with the Zoho Sign servers when the user reconnects to the internet and their workflows will continue as intended.
  • Movable field property in Document Viewer: A new field property—Movable—allows signer fields to be moved or repositioned by signers in the Document Viewer screen at the time of signing.

  • Sign templates in Zoho Writer: Users can now set up templates for sending documents out for signature within Zoho Writer using the Automation Template option. This allows users to compose and create a sign template from scratch, or upload a document to Zoho Writer and convert it into a sign template, and collaborate with peers on field properties and placement. Zoho Writer's new AI is also capable of automatically scanning, detecting, and adding signer fields to the PDF documents that users upload.
  • Zoho Sign for macOS Monterey: Users can now enjoy all the features of the Zoho Sign apps for iOS 15 and iPadOS 15 along with other popular features such as Siri Shortcuts in their desktop/laptop with Zoho Sign for macOS Monterey.

Offered in an integrated partnership with eMudhra, a leading certifying authority (CA). This conforms to the e-sign service specifications defined by the Controller of Certifying Authorities (CCA), India's root CA, in accordance with the Information Technology Act of 2000. Documents signed using this service also carry an embedded timestamp and incur additional cost.

  • Zoho Sign for iOS 15 and iPadOS 15: Users can add Zoho Sign to their SmartStack widget, set up larger widgets and focus notifications to track time-sensitive paperwork, print documents from anywhere, drag and drop text from other apps to create text fields, and do more with enhanced pointer actions and keyboard shortcuts.

  • Zoho Sign credits: Organizations must now purchase Zoho Sign credits, a common add-on, to use features and integrations that incur additional cost. This replaces our previous add-ons - the API credits and the SMS credits, which have been discontinued - to establish a standardized credit consumption system.   • Integration with the Google Docs editor: Users can now edit documents supported by the Google Docs editor directly from Zoho Sign when building sign workflows. Users must either add Zoho Sign to their Google account from the Google Workspace Marketplace or set up and authenticate the integration with Google Drive to enable this. Once enabled, every time a supported document is opened with or imported into Zoho Sign from Google Drive, users can edit them using the Google Docs editor and sync the updated files with the associated sign workflow to send them out for signatures.

  • Zoho Sign USB Signer app: The USB Signer app for Microsoft Windows enables users to digitally sign documents using a USB token for digital signature (DSC). Users can, therefore, sign documents using a digital signature certificate that is self-acquired from a regional certificate authority or identity provider in the form of a physical USB device. This type of signing is also known as advanced electronic signatures (AeS) in some legal contexts. The USB Signer app can be downloaded on devices running Windows 10 or later from the Microsoft Store.

  • Integration with Zoho Contracts: Zoho Sign integrates with Zoho's contract management software, Zoho Contracts, to allow users to build contracts, send them out for signatures and approvals, and comprehensively manage their overall lifecycle to improve the efficiency of their legal operations.

  • Document sharing: Administrators can now enable document sharing between users across the organization, allowing users to access and track the documents of other users that have been shared with them. This enhancement can be accessed by visiting the Users section and selecting the desired users to share documents between.
  • Template sharing: Administrators can now choose the users whom they want to share each template with as templates are no longer readily accessible to all the users upon creation. However, the users with whom a template is shared can only view and use it. Template creation and management is still only accessible to the administrators.

  • Document type and folder management: Users can now manage their document types and folders by accessing the respective tabs in the Account settings section. Users can edit or delete existing document types and folders or create new ones. Deleting a document type or a folder will not delete the documents associated with them.

  • Email bounce notifications: Users now get an email bounce notification when an email sent from Zoho Sign is not delivered to its recipient. This notification is received by the user in their mailbox and will carry a reason identifying the cause of failure.

  • Print and sign: Signers can now download the documents sent to them for signature, sign them physically, and then upload a scan of the signed paper documents back onto Zoho Sign to complete the digital signature process. Zoho Sign will attach its digital signature certificate onto the scanned copy that was uploaded and then proceed with the sign workflow as defined by the sender. Alternatively, senders may also upload a scan of the signed paper documents they receive from signers, physically or via fax, on behalf of the signer and mark their signing activity as completed to advance the workflow onto the next recipient.

  • Field properties in Document Viewer: We have introduced new properties that can be set for signer fields in the Document Viewer screen - Resizable, Fixed width, Fixed height, and Character limit. Users can now duplicate a custom text field to create multiple occurrences of it by simply selecting it and then copy-pasting it onto the document and repositioning it wherever it needs to appear again. All the occurrences of the field will share properties and have the same data. Alternatively, users can add multiple text fields and set a common data label to make them share properties and data. Once a signer inputs the data in the first occurrence of a duplicated field, it is automatically filled in the subsequent occurrences.
  • Data merge in Bulk send: Users can now merge recipient data onto custom text fields in documents when sending them for signatures using the bulk send feature. The data for the custom text field must be included in the bulk recipients CSV file in additional columns with the columns carrying the same headers as the respective fields' data labels. Similarly, a private note can also be added for each recipient by including the data in a column titled 'private_notes' in the CSV file.

  • Limiting SignForm responses: Users can now disable duplicate responses from the same email address in SignForms. When disabled, anybody trying access a SignForm document by entering an email address already used in a response made in the last 7 days, will, by default, be asked to contact the form owner. However, users also have an option to allow signers to resume signing the SignForm document if their previous response was incomplete.

Support-related Service

New Service
  • On-demand bulk backup to cloud: Users can now back up all their completed documents in bulk to one of the integrated cloud storage providers on-demand. This saves a copy of all the completed documents belonging to their organization to the location specified in their cloud storage and sends an email notification containing a summary of the backup activity once it is complete. Due to its potential to create a greater load on our servers, this feature is presently activated for organizations only at the request of their administrators. Administrators can write to support@zohosign.com to request for its activation.

This helps signers reinforce their authority as an individual or organizational signatory. Users can specify a format for each field which can be used to validate the signer input in real-time and prevent invalid entries.   • Zoho Sign for iOS 14: Users can now access and manage their SignForms on the mobile app and add widgets to track and manage their paperwork from the home screen. In addition, the App Clips feature enables any iOS 14 user to quickly sign SignForm documents via a lightweight workflow, even if they don’t have the Zoho Sign app installed.
  • Zoho Sign for iPadOS 14: Users can access all the functionalities of iOS 14 on their iPad and also use their Apple Pencil to write on text fields when signing documents or sending them out for signatures. iPadOS's built-in Scribble OCR technology then automatically converts the handwritten inputs to text.
  • Zoho Sign for Android: A brand-new stylish user interface, with a wide array of menu and accessibility options, allows users to enjoy an improved mobile signing experience on their Android devices. In addition, the app now supports Dark Mode.

  • Cloud import and signer redirection in Zoho People: Users can now import documents from cloud storage services when creating e-signature workflows. The workflows can also be configured to redirect the signers to custom URLs upon performing specific document actions.

  • Client estimate signing in Zoho Finance: Users can now send estimates that can be accepted and signed by clients directly from the emails they receive. This enables clients without client portal access to accept and sign estimates, while clients with client portal access no longer need to sign in to do so. Estimates accepted and signed this way can still be accessed by clients from their client portal at a later time.
  • Tighter integration with Zoho Writer: A tightly integrated interface now allows for neat field addition and easy workflow configuration. Users can set signer vernacular, format the email message, add attachments to the documents being sent for signatures, save workflow configurations for repeated jobs, and recall the documents that have already been sent out. Additionally, the workflows can also be configured to automatically save the signed documents back to Zoho WorkDrive and execute custom functions upon completion.

  • Spouse signing: Users can now add the same email address twice in a sign workflow as two separate recipients provided the name entered in each instance is different.
