Understand schedules

Schedules let you create timed actions without any user input. These timed actions can be executed periodically based on the date and time values present in your form or on fixed date and time.

You can set up a schedule to send automated emails, email data of the report as attachments, send meeting details to employees, installation reminders to the customers after product delivery, birthday wishes, project deadlines based on the date fields in your form. Also, you can fetch information from other services, such as tracking event attendee information from third-party apps every week, update lead information in the CRM system periodically etc.  

There are two instances in which you can trigger a schedule in Zoho Creator. They are:  

  • On a specific date and time - Execute the workflow on a specific date and time
  • On a date field in the form - Execute the workflow based on the date field in your form

You can create a schedule and add actions to it. When the schedule is triggered, it invokes the associated actions. You can set criteria to run the action only for selected records in your form.

The actions that you can perform on a schedule are listed below:

  • Email and SMS notification: Send email or SMS notification on a scheduled date. Learn more.
  • Data access: Add, Update or Delete a record in a form based on a scheduled date.
  • Custom action: Predefined actions solve the requirement in most cases. Regardless, there are situations where you can write scripts to perform a task.  Learn more.

Custom schedule properties

The properties of the schedule will be displayed when you click the icon on the top right corner of your builder:

  • Workflow Name: Displays the name of your schedule. You will be able to rename it.
  • On date: Displays the date of your schedule. You will be able to reset the date.
  • Time: Displays the time at which your schedule is run. You will be able to reset the time.
  • Run: Displays the periodicity of your schedule. You will be able to reassign the periodicity of the intervals at which your schedule needs to run.
  • Timezone: Displays the timezone in which the schedule is run. This timezone is generally the timezone that you have assigned to your app. The schedules that you create will run in the same timezone. If you change the timezone of your app, the change will take effect only on the new schedules that you create after that. You will be able change the timezone of individual schedules using the property field or in the ds, and that change will take effect on that particular schedule alone. 

Form schedule properties

In addition to the properties listed above, form schedule includes a few more properties based on the attributes that part of the composition:

  • On form: Displays the form based on which the schedule it created.
  • Run this process: Displays whether the schedule is always run or based on criteria. You will be able to change the options and redefine the criteria.
  • Date field: Displays the field based on which the schedule is run.
  • Adjustment: Adjust the schedule is run on, after, or before the specified date.
  • Run: Displays the periodicity of your schedule. You will be able to reassign the periodicity of the intervals at which your schedule needs to run.
  • Until date: Displays the date until which the schedule is set to run. You will be able to change this based on the date fields in your form.
  • End date adjustment: Adjust the number of days or weeks.
