You can view your email thread as a conversation displayed chronologically with the newest email on top. This option can be applied specifically to each folder.

Amazon WorkMail doesn't support Right-to-Left (RTL) language support for its web application interface.

RTL support

Zoho Mail provides full Right-to-Left (RTL) interface support for languages like Arabic, Hebrew, Farsi, and Urdu. Enabling these languages in the settings automatically mirrors the entire UI, including menus and composition panels. You can also configure the default text direction for email composition to ensure proper formatting.

Go to Settings > Language and choose Arabic, Hebrew, Farsi, or Urdu as your display language.

Amazon WorkMail provides only a limited set of default fonts in its web application and doesn't support adding custom fonts.

Custom fonts

Zoho Mail lets you choose from several default fonts while composing emails and also allows you to add custom fonts in the composer to match your preferred style or branding.

Amazon WorkMail doesn't provide a dedicated attachment viewer panel for browsing attachments separately from emails.

Managing attachments

You can view all of the attachments in your mailbox in the Attachment Viewer. You can also open attachments received in your emails in your browser.

Composing emails

Large file attachments are limited. Automatic conversion to links for very large attachments isn't available.

Huge attachments

Zoho Mail lets you attach files up to 1 GB each. Mail converts these attachments into links and adds them to your email while you're composing.

Amazon WorkMail doesn't have a built-in spell checker. It relies on the native spell check capabilities of your web browser.

Spell check

You can check for spelling and grammar errors while composing emails using the Spell Check option. You can also add words to your custom dictionary.

Amazon WorkMail allows users to set an email's priority level.

Email priority

Let your email recipient know how urgently their response is needed by setting the priority level for your emails. You can set your email priority to high, medium, or low.

You can easily add a user to your email recipient list by @mentioning them in the body of the email.

Provides basic auto-response settings with limited scheduling and customization options.

Out of Office

Configure automated responses for incoming emails when you're unavailable using the Out of Office feature. Responses are sent for all incoming emails, except automated or system-generated emails.

You can set Out of Office replies separately for internal and external users, or restrict them to your contacts only. You can also specify particular days of the week within a selected date range and define a time interval.

Amazon WorkMail allows users to add a basic email signature in the web application.

Signatures

Zoho Mail lets you create rich, customizable email signatures directly in the web app. You can format signatures with fonts, colors, hyperlinks, and images. Add social media links and corporate logos, attach a contact card (vCard), and even insert HTML for advanced designs.

Zoho Mail also supports multiple signatures that can be associated with specific email addresses or aliases, with options to set default signatures for new emails and replies.

Sending emails

Amazon WorkMail allows users to reply, forward, and print emails from the mailbox interface.

Reply, forward, and print emails

You can reply, forward, and print both your sent and received emails directly from Zoho Mail.

Select the email > choose Reply, Reply All or Forward.

The Amazon WorkMail web application doesn't provide a native setting to configure a custom "Reply-To address" for a mailbox directly in its web interface.

Reply-to address

Zoho Mail allows users to configure Reply-To addresses directly from the mailbox settings while composing or configuring account preferences. This enables replies to be routed to a different address without additional integrations.

Amazon WorkMail doesn't provide a built-in Undo Send feature that allows users to cancel an email immediately after sending it.

Undo send

Configure Mail's Undo Send option in your account settings by entering the duration you want it to be available. When you hit the send button, the Undo Send option will be available for the specified length of time.

Amazon WorkMail doesn't provide a native email recall feature in the web application.

Email recall

If you've sent a mail by mistake, you can recall it using the Email Recall feature. Once recalled, the recipient will be notified of the recall in a separate email.

Go to Sent email > Mail Delivery Status > Recall this email.

Amazon WorkMail doesn't provide a built-in schedule send or send later feature in the web interface.

Schedule emails

Draft an email and schedule it to be sent at a specific time using the Schedule Email feature. You can also set recurring conditions for the email to be sent at defined intervals.

Go to New Mail > Schedule/Recurring.

Amazon WorkMail doesn't include a native template insertion feature within the email compose window.

Create and insert templates

Zoho Mail lets you create and customize predefined email templates so you don't have to draft the same message repeatedly. You can save these templates in a dedicated templates folder and reuse them whenever needed, helping streamline repetitive communication and improve workflow efficiency.

Go to New Mail. In the drop-down, click Save as Draft > Template.

Deleting emails

Amazon WorkMail requires users to manually locate and delete emails from folders when cleaning up unwanted messages.

Scrub emails

Archive or delete the emails sent by a specific sender using the Scrub feature. You can scrub emails from your inbox or from others' folders. You can scrub emails for up to five senders.

Select the email > More actions > Scrub.

Organizing emails

Amazon WorkMail provides basic email routing rules and filtering options that allow users to automatically move incoming messages based on simple conditions. These rules typically support actions such as moving emails to folders or forwarding them to another address.

Incoming and outgoing filters

To keep your incoming and outgoing emails organized, you can create folders and set up filters. Emails can be automatically organized using multiple conditions and advanced criteria. You can perform actions such as moving emails to folders, auto-forwarding messages, marking them as a priority, creating tasks from emails, applying tags, and more.

To categorize emails such as newsletters and notifications, you can manually create rules using the Move to Folder option and direct them to separate folders.

Smart Filters

Switch on the Smart Filters feature and Mail will automatically scan your incoming emails for the header content and categorize them into Notifications and Newsletters.

Amazon WorkMail allows users to mark email messages for follow-up using the flag or check mark icon within the mailbox interface.

Flagging emails

Easily identify your emails by flagging them as Info, Important, or Follow-up. You can also flag emails in bulk.

Doesn't provide a native tagging feature. Supports sub-addressing (+ addressing) to categorize incoming emails. Users can create rules to move emails sent to tagged variations into specific folders.

Organize emails in your inbox by creating tags. You can add several tags to each email and filter your emails using these tags.

Amazon WorkMail's web application doesn't support offline email access.

Save emails offline

Save your emails and access them when you are offline with Offline Mode in Zoho Mail. You can read and draft emails and even reply to emails which Mail will store in your Outbox to send once you connect to the internet.

Searching emails

Amazon WorkMail supports basic keyword-based search, allowing users to search within a specific folder or across all folders.

Search filters

You can use Zoho Mail's advanced search features with multiple criteria and filters to quickly locate emails, posts, events, tasks, attachments, contacts, notes, and more.

Go to the Search bar > Enter the condition.

Email notifications

Amazon WorkMail supports reminders mainly through its calendar functionality. Users can create calendar events with reminder alerts to track important communications or tasks.

Reminders for incoming and outgoing emails

You can set reminder notifications for emails using the following conditions: "Remind me on," "For every response," and "If no one replies until."

You can also automatically trigger a reminder to follow up on the email based on selective keywords.

Amazon WorkMail allows users to mark emails using the flag option and manually filter flagged emails for follow-up.

Follow-up

If an email recipient forgets to reply, you can follow up with them by sending another email using the reminder notification feature.

Amazon WorkMail doesn't offer built-in desktop notification alerts.

Desktop notification for emails

You can enable desktop notifications for the emails you receive in Zoho Mail. Once you've turned the notifications on in your email account, make sure to configure them in your browser as well.

Folder sharing

Amazon WorkMail allows users to share folders using the People with Permissions settings option, which allows selected users to access the contents of a shared folder.

In Zoho Mail, you can share a folder with other members of your organization and grant them access to the emails in the folder according to their assigned permissions: Read, Write, and Delegate.

Supported email protocols

Amazon WorkMail supports IMAP for accessing emails from email clients. It doesn't support POP3 connections.

Amazon WorkMail supports Exchange ActiveSync (EAS) to synchronize email, contacts, and calendars with compatible mobile devices and email applications.

POP

POP, or Post Office Protocol, allows you to access your emails using any email client. You can download your email to your local computer and access them offline.

IMAP (Internet Message Access Protocol) is an email retrieval and storage protocol. Using IMAP you can view your emails simultaneously using different email clients across multiple devices.

Exchange Activesync

Exchange Activesync (EAS) is a proprietary protocol, designed to sync emails, calendar and contacts from the email server with mobile devices.

Zoho Sync for mobile device enables two-way synchronization of Zoho Mail, Calendar, and Contacts.

WorkMail's SMTP gateway relay limit is subject to overall Amazon service quotas, which can be found on the Amazon Service Limits page.

Backing up email, contacts, and calendars

Amazon WorkMail supports email retention policies that allow administrators to configure how long emails should be retained across the organization.

Backup

The email backup feature in Zoho Mail helps you secure your critical emails from being deleted accidentally.

The advanced eDiscovery portal in Zoho Mail provides a complete solution to retain, review, export the emails related to your organization's internal, external, or legal investigations.

Amazon WorkMail doesn't have a default archive folder. Most users manually create a folder named "Archive." You can then drag and drop emails there to keep your inbox empty.

Email archive

The archive feature in Zoho Mail helps you retain the older emails in your inbox without clutter. When you archive an email, the email remains in the same folder but gets removed from the listing of emails.

Email forwarding and routing

Amazon WorkMail uses Email Rules to manage both email forwarding and routing.

Email forwarding

Email forwarding is a feature that allows you to automatically forward all incoming emails received in an account to another email account, which is chosen as the destination account.

Go to Settings > Mail accounts > Forwards.

Email routing

Email routing is helpful in many situations; for example, you want to automatically send a copy of one user's email to another. With Zoho Mail, you can redirect or send a copy of an email automatically by configuring email routing.

Navigate to Zoho Mail Admin Console > Mail Settings > Email Routing.

Amazon WorkMail supports multiple forwarding addresses.

Multiple email forwarding addresses

You can add six email addresses to email forwarding. If you want to forward emails to more than six members in your organization, you can use a group email address as the destination email address.

Amazon WorkMail typically retains a copy of forwarded emails by default unless an additional delete action is explicitly configured in the rule.

Retaining a copy of forwarded emails

When setting up email forwarding, you can choose to keep a copy of the forwarded messages or delete them.

Go to Settings > Mail accounts > Forwards > Delete original email copy after forwarding.

Email groups/distribution lists

Amazon WorkMail supports the creation of group email addresses/distribution lists.

Group email addresses

Groups and distribution lists are common email addresses shared by a set of users for a specific purpose. When an email is sent to the group account, a copy of the email is delivered to all of the members of the group mailbox.

Amazon WorkMail doesn't support the creation of native Shared Mailboxes.

Shared mailboxes

A shared mailbox is a centralized email inbox that multiple users within an organization can access and manage using a single email address. It allows teams to read, respond to, and organize emails collaboratively without sending duplicate copies to each user's mailbox.

Unlike a distribution list, where emails are delivered separately to each member, a shared mailbox keeps all messages in one central inbox so you and your team can view and manage the same conversations in one place.

Email aliases

Amazon WorkMail supports email aliases, which can only be configured by administrators. Emails sent to the alias are delivered to the primary mailbox, but aliases cannot be used as login addresses.

Email alias

An email alias is an additional email address for an email account, with which a user can send and receive emails or set forwards.

In Zoho Mail, both users and administrators can configure email aliases (for themselves or other users, respectively). You can add up to 10 email aliases per user account, and aliases can also be used as login addresses.

Catch-all email

Amazon WorkMail doesn't provide a catch-all mailbox feature to capture emails sent to invalid or non-existing addresses.

Catch-all account

A catch-all email account is an account that captures emails sent to any invalid email addresses of the domain. Even emails addressed to "non-existing" or "invalid" email addresses of the domain will be delivered to the configured catch-all account.

Go to Zoho Mail Admin Console > Domains > Catch-all Address.

Spam email

In Amazon WorkMail, users can manage their own allowed and blocked sender lists. Admins can implement additional filtering and security controls using email flow rules and access control rules, or use Amazon services such as Amazon SES for more advanced mail flow management.

Amazon WorkMail supports standard unsubscribe functionality embedded in emails (when provided by the sender). However, it doesn't maintain a dedicated "Unsubscribed list" within the mailbox settings.

Allow-list/block-list: When you add email addresses or domains to an allow-list, emails from those addresses and domains are one step closer to reaching your inbox. When you add email addresses or domains to your block-list, emails sent from those addresses will always end up in your spam folder.

Trusted/rejected list: Certain spam checks are performed on email addresses added to an allow-list or block-list. You can add legitimate email addresses to the trusted list or rejected list to prevent them from ending up in the spam folder.

Unsubscribed list: When you unsubscribe from any emails or newsletters, the unsubscribe links along with their email accounts are added to the unsubscribed list. All emails from the listed entities will be sent to your spam folder automatically.

Amazon WorkMail includes built-in server-side spam filtering. Emails identified as spam are moved to the junk/spam folder.

Spam control

Spam is an inconvenience at best. Zoho Mail's anti-spam mechanism works extensively to identify and classify the right emails as spam.

Administrators can configure organization-level spam control settings to define how spam is detected and handled across the organization. These settings apply to all users and help maintain consistent protection against unwanted or malicious emails.

Go to Zoho Mail Admin Console > Security and Compliance > Spam Control.

Amazon WorkMail provides a basic suite including Mail, Calendar, and Contacts for communication and scheduling.
