Zoho Mail - POP configuration details

POP or Post Office Protocol enables you to access the emails in any email client of your choice. POP performs one-way email retrieval and there is no sync between the email clients and server. Zoho Mail can be configured in any standard POP email client providing the POP and SMTP server settings.

You need to enable POP access to the account, before configuring the Zoho Mail account in any email client. The step-by-step instruction for some of the popular email clients is provided in the links below.

Advantage of IMAP over POP

IMAP or Internet Message Access Protocol can also be used in place of POP. IMAP and POP are both email protocols that allow you to read your emails in third-party applications such as Outlook, Thunderbird, etc.

While Zoho Mail supports both IMAP and POP, IMAP has more advantages over the POP method.

POP

IMAP

POP can be used only from a single device.

IMAP can be used to access emails from multiple devices.

One-way communication:

  • Emails are retrieved from the server without any further sync between the server and the client.
  • The read/Unread status of the emails is not maintained.
  • Actions performed on the emails (delete, move, etc) are reflected only in that particular client.

Two-way communication:

  • Emails are constantly synced both ways between the server and various email clients. 
  • The read/Unread status of the emails is maintained.
  • Actions performed on the emails (delete, move, etc) are reflected across all devices.

Emails are downloaded and deleted from the server unless the "Keep a copy on the server" option is provided.

Emails are always on the server and hence can be accessed whenever needed.

Emails are not backed up unless you have manually backed up your emails.

Emails are automatically backed up for any future retrieval.

POP uses up local storage space as the emails are downloaded to the device.

IMAP saves local storage space as the emails are stored on a remote server.

Enable POP Access

You need to enable POP access to the Zoho Mail account, to start accessing the account in other POP clients. You can enable POP access for all emails from the beginning or from that particular day. 

  1. Login to Zoho Mail
  2. Go to Settings 
  3. Navigate to Mail Accounts >> POP Access 
  4. You can enable POP access in two modes
    • All Emails - To enable POP access for all emails in the account - All the emails will be downloaded by the POP client you configure.
    • Emails that arrive from now - Enable POP access for emails that arrive from the time the user enables POP access (only the newer emails will be downloaded to the POP client you configure).

 POP Configuration settings for Zoho Mail

You can configure the Zoho Mail account in any standard POP client using the POP details provided below. The complete Zoho account email address should be provided correctly in both the email address field and the username field. In case you have Two Factor Authentication turned on, generate and use an application-specific password in the email client. 

Incoming Server Settings: (Personal Users with an email address as username@zoho.com)

Incoming Server Name: pop.zoho.com
Port: 995
Require SSL: Yes  
Username: username@zoho.com

Incoming Server Settings: (Organization Users with domain-based email address you@yourdomain.com)

Incoming Server Name: poppro.zoho.com
Port: 995
Require SSL: Yes  
Username: you@yourdomain.com 

Outgoing Server Settings: 

Outgoing Server Name: smtp.zoho.com
Port: 465, SSL or
Port: 587, TLS
Require Authentication: Yes

Username: Your complete Zoho Mail account email address. If your domain is hosted with Zoho, then provide you@yourdomain.com here.

EmailAddress:: Your complete Zoho Mail account email address. If your domain is hosted with Zoho, provide you@yourdomain.com.

Password: Your Zoho account password

You may require Application Specific password to set up the account on other devices if Two Factor Authentication is enabled for your account. 

Note:
  • If you are a Federated Sign-In user, you will not have a 'Zoho' password for your account. Use the Forgot Password link on the accounts.zoho.com page, to generate Zoho specific password for your account in Zoho. The Federated Login credentials will not work for POP/ IMAP/ Active Sync access.
  • If you're using SAML Authentication for your organization, you need to generate an Application Specific Password to authenticate email clients to access Zoho Mail using POP.

 Include SPAM Messages in POP download

You can choose to include Spam messages for POP retrieval. Zoho Mail provides options to include Spam messages or to retrieve only Spam emails for POP retrieval. If you rely completely on your email client, and when some of the emails which you receive from your known contacts, get classified as Spam due to various reasons, you can include Spam emails for POP retrieval. 

  1. Login to Zoho Mail
  2. Go to Settings 
  3. Navigate to Mail Accounts >> POP Access 
  4. Once the POP Access is enabled, you can choose the option for including Spam messages.
    • Check 'Include Spam Folders', to retrieve Spam messages in POP Clients
    • Uncheck 'Include Spam Folders', to not receive Spam Messages in POP clients

 POP Delete Settings in Zoho Mail

You can choose to delete emails from Server or leave the messages in Server when the email downloaded via POP is marked for deletion. When you choose 'Delete emails from Server' in the POP clients, the client marks the email for deletion in the server and removes it from the POP queue. However, in Zoho Mail, you can choose to retain the email in the server even if the client marks the email for deletion.  

  1. Login to Zoho Mail
  2. Go to Settings 
  3. Navigate to Mail Accounts >> POP Access 
  4. Once the POP Access is enabled, you can choose the POP Delete settings.
    • Check 'Auto-delete emails', to delete the original emails in your account once POP client fetches the emails.
    • Uncheck 'Auto-delete emails', to not delete the original emails in your account once POP client fetches the emails.

 Disable POP Access

You can disable POP access of your account, anytime you choose to stop POP retrieval. 

  1. Login to Zoho Mail
  2. Go to Settings 
  3. Navigate to Mail Accounts >> POP Access 
  4. In the POP Access Section click 'Disable' to disable POP access.
