So, chances are you've been evaluating Zoho WorkDrive for some time now. 

You're already familiar with its capabilities and may have even explored the product by signing up for a demo. But now comes the most important phase—choosing a WorkDrive plan.

The plans by itself look simple and straightforward; Three different pricing plans (all self-service) and the price per user is easy to find. But what takes longer is figuring out the number of licenses you will need, how much storage that gives you, what's included in that storage, and whether you should be buying WorkDrive as a standalone subscription, or a part of Zoho Workplace or Zoho One.

Answers to these questions are important and lets you make informed purchase decisions. This is a comprehensive guide that answers all your questions related to WorkDrive's plans, pricing, storage, and licensing in one place.

What WorkDrive plans and pricing mean for you, and why it matters

Let's start off by breaking down what matters the most, the core essentials of a WorkDrive subscription. Every WorkDrive plan, and every time you have a question about pricing, or storage, it traces back to one of the following being misunderstood.

Team: Look at "Team" as a top-level container. It holds all members of your organization, all the Team Folders, the files created/uploaded, and your storage. One subscription buys one team.

Member: Every individual in your team, holding a WorkDrive account, is considered a member. Members are set different roles and permissions in Team Folders based on what part they play in the organization, and with its files.

License: Every member who holds a WorkDrive account, counts for a license. A license is what you pay for, and WorkDrive is licensed per user, and not per team.

Team storage: Every WorkDrive plan you purchase comes with a shared storage. WorkDrive's storage is not divided person by person. The shared storage belongs to the team, and every file uploaded or created is drawn from the pool.

Add-ons: WorkDrive offers additional storage add-ons which can be purchased separately from user licenses. This is useful for organizations that want to add storage without buying more seats.

Client user: Teams often need to collaborate with external stakeholders or partners. For such scenarios, you have to buy licenses for client users separately as an add-on. Member licenses cannot be used to purchase client user licenses. Client users have restrictions on what they can and cannot do in WorkDrive. For instance, they cannot create new Team Folders or join one without an invitation.

Understanding these terms is critical. This helps teams to make informed decisions at first purchase, when the team crosses ten members, and during times of renewal.

Decision framework: Choosing the right approach for your WorkDrive plan

A closer look at each scenario

You work alone (Individual Plan)

WorkDrive's individual plan is free and gives you 5 GB of storage. It comes with a built-in Office suite (Writer, Sheet, Show), collaboration and sharing features. While other plans have a higher file upload limit, the free plan comes with a limit of 1 GB.

Coming back to the 5 GB limit. If you astart running out on storage, you don't have to move to a paid plan. Instead, you can opt for additional storage. Add-ons come in 10 GB and 100 GB.

Since this is an individual plan, you don't get Team Folders and the Admin Console. The only reason for you to look for an upgrade is collaboration, not storage.

You are a small team with 3 to 10 people

All of WorkDrive's paid plans start at a minimum of 3 users. And your team's total storage stays the same between 3 and 10 users. Starter gives you 1 TB, Team gives you 3 TB, and Business gives you 5 TB.

So, if you're adding the fourth, fifth, or sixth member, your total available storage stays the same. You only have to pay for the licensing cost, and not extra storage. Since WorkDrive follows a shared storage approach, the team's storage is shared between the users. 

The single-file upload size limit varies by plan, with the Starter plan capped at 10 GB, the Team plan at 50 GB, and the Business plan raises the cap to 250 GB.

You are a growing team beyond 10

If you're running out of storage, you can purchase additional storage anytime. Otherwise, it stays the same until you have more than 10 users. From the 11th user onward, every additional member brings storage with them: 100 GB on Starter, 300 GB on Team, and 500 GB on Business.

So a 20-person team on the Team plan gets 3 TB for the first ten users plus 3 TB total for the next ten (300 GB each), which provides 6 TB of total storage.

You are already a Zoho product user

If you're already a Zoho user, it's the most common source of duplicated spend because WorkDrive is already included in Zoho Workplace Standard, Professional, and Enterprise, and in Zoho One.

An organization can hold WorkDrive standalone or WorkDrive through a bundle, but not both. Only one plan maps to a team, so duplicate subscriptions are prevented by default.

Your business has to meet compliance requirements

All WorkDrive paid plans come with custom data retention policies. The same is true when you buy through Zoho One or Zoho Workplace. But what you don't get in Zoho Workplace is the Data Administration tab.

This is where retention control and deleted file management are centralized. It's available on WorkDrive's Team and Business plans, and to Zoho One users as well, since Zoho One maps WorkDrive's Business plan to the user. It isn't included on Workplace Standard or Professional, though both can unlock it with the Business Feature Add-on, purchased through the Workplace admin console.

So if data administration is what you're after, the Team plan is enough. Business is where you'd go for a custom domain and the wider set of administrative controls like Device Management and Audit Trails, which are not available on the Starter and Team plans. Whichever you pick, you have three routes: buy standalone, go through Zoho One, or add the Business Feature Add-on to your Workplace plan.

You're looking for 200+ seats

All three self-service WorkDrive plans hit their storage cap at 200 users (we'll be covering this in more detail in the next section).

Calculating your storage for different team sizes

WorkDrive's storage allocation is simple, but doing math inside your head isn't, so here's a table with common team sizes for reference.

The 200 seat-mark is where all the three plans arrive at their cap, and from there the Enterprise conversation begins.

The admin console lets you check your team's current allocation and see usage broken down by member and by Team.

When should you look to upgrade?

Let's say you're on the Starter plan. When should you move to the Team plan? There are two scenarios:

File size: The starter plan has a single file size upload limit of 10 GB. While this looks fine for documents, it becomes difficult for videos, and design files. If you are from a sector with heavy storage needs—like media and entertainment or engineering and manufacturing—you very well know that 10 GB isn't going to be enough, and you'll eventually need more than the Starter plan's 20 TB ceiling.

Total storage: Every plan comes with a storage ceiling, and eventually, at some point in time, you're going to hit that. So, in that case, you'll either have to clear up storage, or move to the next plan.
Next, let's look at how storage, licenses, and pricing all fit together.

How do WorkDrive pricing, user licensing, storage allocation, and add-ons work together

WorkDrive works on a seat-based pricing model, while storage is partly driven by the plan and partly by the number of licenses. Add-ons are an option to increase your storage without having to purchase additional licenses. Understanding these options can eliminate surprises on the invoice.

Understanding how WorkDrive licenses work

  • Super admins and Team admins are members with higher permissions and control. Both consume a paid license.
  • Suspended WorkDrive users still consume a license. The only way to release a license is by deleting a user from the team.
  • When an invitation is sent to a new user, a license is automatically consumed, even if the user hasn't activated the account yet.
  • Client users work on a separate license model. These are add-on licenses and needs to be purchased separately.
  • External users who just need to access something with a link wouldn't need a license at all. While paid team plans support up to 500 unique external users, personal and trial accounts support only up to 50.

Understanding how WorkDrive storage works

Managing shared storage in WorkDrive is simple, but here's some clarification as to what counts and what doesn't count towards your storage.

What counts towards your storage

  • All files created in My Folders and under Team Folders
  • Any previous file versions of non-Zoho files
  • Trash that's left in My Folders and Team Folders
  • Archived Team Folders
  • All WorkDrive Snap recordings
  • Files uploaded by external users through the Collect Files method
  • Files stored by client users

What doesn't count towards your storage

  • Zoho Office Suite files (Zoho Writer, Sheet, and Show) don't count towards your storage. This includes all file versions, which are retained until deleted manually. 
  • Once items are deleted and moved to the Admin console, no storage is consumed by them.

If in case your storage looks full, you should look into the Trash and the older file versions.

Understanding how additional storage works in WorkDrive

Add-ons are treated as a separate entity in WorkDrive. Irrespective of any plan you choose, you can buy add-ons in 10 GB, 100 GB, and 1 TB storage blocks. 

You can buy as many as you want up to your current plan's storage ceiling. The additional storage gets added to your single shared pool and not assigned to a person or a folder individually.

Renewal is automatic along with your subscription and can also be downgraded with a prorated refund. Add-ons only increase your shared storage; they do not add any other capabilities to your plan. 

For instance, if you are on Starter plan and purchase 1 TB storage, your single file size upload limit is still going to be 10 GB.

Can WorkDrive be purchased for one or two users?

Yes. WorkDrive can be purchased for one or two users. Since this is below the three-user self-serve minimum, only WorkDrive support can arrange this.

One thing worth mentioning upfront here is how the storage works for one or two members. You don't get the typical 1 TB, 3 TB, and 5 TB storage when you buy the Starter, Team, or Business plans here. Instead, you get 100 GB each on Starter, 300 GB on Team, and 500 GB on Business.

So, if you are two people opting for the Starter plan, you get 100 GB each, not the 1 TB a three-person team would get. 

Upgrading from individual to a team plan

When you finally have the third person and plan to upgrade to a team account, everything you've stored so far—the files, folder structure, share links, and version history—all of it comes together.

But there's a catch. Moving from an individual to a team plan is a one-way upgrade. Once done, a team account cannot be converted back into an individual account. 

Standalone WorkDrive vs. Zoho WorkPlace vs. Zoho One

It's already been discussed that you cannot hold a standalone WorkDrive subscription and a bundled one. But when the question of which one to choose arises, understanding the differences between the three helps.

Two things you should know

  • Workplace can match standalone WorkDrive on features, but not on storage. The Business Feature Add-on, available on both Standard and Professional through the Workplace admin console, unlocks WorkDrive's Business feature set, including the Data Administration tab and audit trail, and lifts the file upload cap from 10 GB to 250 GB. What it doesn't change is your storage. A ten-person Workplace Professional team still has 1 TB, where a ten-person standalone Business team has 5 TB. Closing that gap means buying WorkDrive storage add-ons separately, and those are purchased through the WorkDrive console rather than the Workplace one.
  • WorkDrive isn't a part of all the Zoho Workplace plans. For instance, Mail Lite and Mail Premium don't come with WorkDrive. Only the Workplace Standard, Professional, and Enterprise include WorkDrive.

Understanding upgrades, renewals, and suspended accounts

WorkDrive functions on a pay as you go approach. Subscriptions are on a monthly, or a yearly basis. And you can upgrade, downgrade, or even cancel whenever you want to.

Trying WorkDrive before you buy
Any plan you sign-up for comes with a 15-day free trial and the Business feature set. You don't get the usual 5 TB storage during the trial phase but 100 GB of storage and 10 users. If 15 days aren't enough for you to decide, you get a further 15 days to upgrade. After that the team moves to the free Essentials plan.

Adding and removing people
Adding and removing users mid-cycle is prorated. Adding a user above your 10th also brings storage with them, at your plan's per-user rate. Removing someone releases their license for reassignment. Suspending them does not.

Upgrading and downgrading
Plan changes go through Change Plan in Manage Subscriptions. When you downgrade, you choose the timing: apply it immediately, or schedule it for the end of your current billing cycle. A scheduled downgrade can be cancelled any time before it takes effect.
If your usage is above the lower plan's storage limit, your files aren't deleted. You just can't upload anything new until usage drops below the new limit.

Renewals
Subscriptions renew automatically from your saved payment method, with a receipt each time. Zoho doesn't store your card details. Auto-renewal can be switched off, and the subscription cancelled, at any point.

What happens if a payment fails?

This is one of the most common questions we get, and to answer straight off the bat, when a payment is failed, your account goes into a suspended state but your files are not deleted. 

Once the team is suspended, your account moves to a free Essentials plan. In this state, while existing data is retained, you are restricted from any operations reserved for WorkDrive's paid plans:

  • All created Team Folders will be hidden, not deleted. The moment you upgrade, they reappear.
  • All external links created and shared stop working.
  • Client user licenses are suspended, because the add-on no longer exists.
  • DLP and classification labels stop being visible.
  • After you move into the Essentials plan, you can only suspend members, but not add or remove them.

Essentials itself is permanently free, with 5 GB of shared team storage and a 1 GB per-file upload limit.

Payment methods and offline billing

The different payment methods that WorkDrive accepts are Visa, MasterCard, Discover, American Express, and PayPal. 

Other "offline billing" options, like paying by bank transfer or check, are only available on yearly subscriptions. Also, non-profit and charitable organizations can request discounted pricing through sales@zohocorp.com.

What common mistakes should you avoid when purchasing WorkDrive?

Here are a few common misconceptions our customers have, drawn from our support team.

Buying storage to increase file size cap
This is a common mistake, especially when teams are new to WorkDrive. Purchasing additional storage doesn't raise the per-file cap. 

Suspending people, and waiting for the license count to increase
A team of fifteen with three suspended users will still be paying for fifteen subscriptions. To remove a user permanently and free up the license, you'll have to delete the team member and re-assign the license.

Buying both standalone and a bundle
Check if you're already a Zoho user. You can't run both on one team, and the bundle may already have you covered.

Assuming files will be deleted after a missed payment
Your files don't get deleted when a payment is missed. Instead, your subscription drops to the free Essentials plan, and your files stay as there are.

Final thoughts

Evaluating WorkDrive for your business is only the first step. But choosing which plan works well for your organization depends on various factors like how many people need access, how your shared storage will grow, the size of the files your team works with, and the level of administration and control you need.

For smaller teams, the Starter or Team plans can offer more than enough room to get started. And as your team grows beyond ten users, you get additional storage with each new license. And if your organization works with large files or has stronger compliance and administration requirements, moving up a plan, or adding the features you need, may make more sense than simply adding storage.

Frequently asked questions

Is WorkDrive priced per user or per team?

WorkDrive is priced on a per-user basis. per month, with a minimum of three users. Team storage is pooled and shared across everyone, but pricing is based on per user seat.

What is the minimum number of users for each plan?

On all three plans, the minimum number of users is three. If you only need one or two licenses, contact support@zohoworkdrive.com (or support@eu.zohoworkdrive.com in the European Union).

Does every admin and member need a license?

Yes. Team Admins and Super Admins are members with an elevated role and require a paid license. Suspended users, and invited users who haven't activated yet, also consume a license. A license is released only when the user is deleted from the team.

Can external clients access files without a paid license?

Yes, for viewing and downloading. Upload and edit permissions can also be provided. Anyone with a download link or an external share link can access it without a Zoho account. Client users, who hold their own accounts inside your team, do require paid add-on licenses. Paid team plans support up to 500 unique external users; personal and trial accounts support 50.

Can storage add-ons be purchased without adding users?

Yes. Storage add-ons are bought separately from user licenses, in 10 GB, 100 GB, and 1 TB units for teams. They enlarge the shared pool, can be stacked, and can be reduced later with a prorated refund.

What happens to data when a trial or subscription expires?

Your data is retained. The team moves to the free Essentials plan with 5 GB of shared storage. Existing files stay in place and new uploads are blocked until you upgrade. Team Folders are hidden rather than deleted, and reappear on upgrade.

Are taxes included in the displayed price?

No. Listed prices exclude local taxes, such as GST and VAT, which are added at checkout.

Can a team mix different WorkDrive plans?

Is there a free trial, and what does it include?

Yes, a 15-day free trial is available with no credit card required. While you can choose the plan you need, you get the Business feature set, and the trial is limited to 10 users and 100 GB of storage. If it ends before you get to decide, you get a further 15 days to upgrade, after which the team moves to the free Essentials plan.

Do Zoho Writer, Sheet, and Show files use up my storage?

No. Zoho Office Suite files carry free storage in WorkDrive, and all their versions are retained until you delete them manually. Only non-Zoho files count toward your quota and are subject to version retention limits.
