Migrate to Zoho Workplace

Zoho Workplace supports migration of business data from multiple cloud services, on-premises environments, and desktop applications. Depending on the application, administrators can migrate emails, calendars, contacts, tasks, chats, and files to their corresponding Zoho Workplace services.

Each Zoho Workplace application provides migration options or import options for supported source platforms. Review the sections below to understand the supported migration methods and choose the approach that best fits your organization's requirements.

Email migration: Zoho Mail

Zoho Mail supports multiple migration methods for organizations migrating from cloud email providers, on-premises mail servers, and legacy email systems. Depending on your source platform, you can migrate mailbox data using application-based migration, protocol-based migration (IMAP/POP), or the Zoho Migration Wizard.

These are particularly useful when migrating from smaller or legacy systems, or when the requirement is limited to emails only. IMAP migrations retain folder structures and are widely compatible, while POP migrations are best suited for scenarios where only downloaded message data is required.
 Wizard-based migrations use the Zoho Migration Wizard, a specialized tool that simplifies the process of moving data from sources such as Microsoft Exchange (on-premises and hosted), PST files from Outlook, EML files, or hosted Exchange environments.This method is particularly effective for organizations with mixed or legacy setups where application-based migrations may not be possible.

Zoho Mail coexistence

Zoho Mail Coexistence enables organizations to run Zoho Mail alongside an existing email service, such as Microsoft 365 or Google Workspace using the same domain. During the migration, users who have already been migrated can send and receive emails using Zoho Mail, while users who have not yet been migrated continue using the source email service. This allows organizations to complete a staged migration with minimal disruption to users and uninterrupted email delivery.

Calendar migration: Zoho Calendar

Zoho Calendar supports importing calendar data from popular calendar providers and any application that supports the iCalendar (.ics) standard. To migrate calendar data, export your existing calendar as an ICS file from the source application and import it into Zoho Calendar. This process transfers calendar events, schedules, recurring meetings, reminders, and other supported event information.

If you are migrating from supported business platforms such as Google Workspace or Microsoft 365, calendar migration can be performed together with email and contact migration using the Zoho Mail Migration tool.

Use one of the following migration options depending on your source calendar service.

Contacts migration: Zoho Contacts

Zoho Contacts supports importing contact data from various contact management services and applications. Contacts can be imported into either the Personal or Organization categories. Organization Contacts and Organization Groups can only be imported by organization administrators or group administrators. Supported contact fields such as names, email addresses, phone numbers, company information, mailing addresses, notes, and organization details are imported during migration.

Tasks migration: Zoho ToDo 

Zoho ToDo allows users to migrate existing tasks from supported task management platforms and desktop file formats. Imported tasks retain supported information such as task names, due dates, priorities, notes, reminders, and completion status.

Chat migration: Zoho Cliq

Zoho Cliq provides a built-in Migration Wizard that enables organizations to migrate collaboration data from supported messaging platforms. Depending on the source platform, administrators can migrate users, channels, conversations, direct messages, files, and chat history into Zoho Cliq.

Files and document migration: Zoho WorkDrive 

Zoho WorkDrive provides multiple migration options for moving files and business documents from cloud storage providers, file servers, and desktop storage into WorkDrive while preserving folder structures and supported metadata. Organizations can migrate documents during onboarding or continuously synchronize files from supported services.

Use the following migration options to import files into Zoho WorkDrive from supported cloud storage providers or local storage.
