Getting started with Zoho WorkDrive 2026: Accounts, teams, folders, and access

If you still picture a monolithic application when you think about storing and access files, then you’re in need of a refresher course. An intelligent enterprise content management platform like Zoho WorkDrive is easier to understand when you stop thinking of it as a single drive in the cloud and start thinking of it as a content workspace with several layers.

At the top is your team. Inside it, you have a personal spaces for work that is still yours, shared spaces for work that belongs to a group, and views that bring content other people have shared with you into one place.

What we are here to do is to understand how these spaces and their access in WorkDrive work step-by-step. At the end of this guide, we hope WorkDrive feels less like a filing system and more like a natural and seamless collaborative space!

The WorkDrive mental model: Account, team, folders, and sharing 

An account can mean several things depending on where you are currently in the Zoho ecosystem. Your Zoho account is the identity you use to sign in. Your WorkDrive team is the collaborative workspace you belong to. Within that team, Team Folders organize shared content around projects, departments, functions, or other groups. Your My Folders area is your personal workspace inside WorkDrive. Files shared directly with you appear in Shared with Me.

My Folders is the space for individual work and drafts that are not yet ready for team sharing. Files there remain private until you share them. Team Folders, by contrast, are shared workspaces where access is tied to Team Folder membership and roles.

Using My Folders solves the basic decision early which reduces duplicate files, unclear ownership, and the “Which version are we supposed to use?” problem later. For an enterprise, that is the foundation of a scalable content model.

From first sign-in to your first shared workspace 

P.S: For the sake of this guide, we won’t cover how individual accounts function.

There are two common ways a person arrives into the WorkDrive space: they create a team, or somebody invites them to one.

A person creating a new WorkDrive team can sign in with an existing Zoho account or begin through WorkDrive's signup process. When a new team is created, the creator becomes its Super Admin and can name the team and invite other members. Invitations can also be postponed and handled later from the Admin Console.

For most employees, however, onboarding starts with an invitation. A Team Admin sends the invitation to the user's email address. The recipient follows the invitation, signs in, or completes the required account flow, and accepts the pending team invitation. WorkDrive supports users joining multiple teams rather than treating team membership as a single exclusive workspace.

Once inside, WorkDrive normally opens with the new user’s My Folder available as their main space. And, this is not simply a temporary onboarding folder. It is part of the WorkDrive content model: a place for drafts, personal working files, and material that isn't ready to be shared.

A folder containing general brand resources may make sense as a Public Team Folder because many employees need visibility. A folder for acquisition planning, compensation reviews, litigation material, or an unreleased product may be a much better candidate for a Private Team Folder.

Once you have access to the right location, creating content feels much more familiar. WorkDrive supports new folders, file and folder uploads, drag-and-drop uploads, cloud imports, and creation of Writer, Sheet, and Show files from within the workspace. Users can always add content to their own My Folders; adding content inside a Team Folder depends on their Team Folder permissions, with Editor-level or higher access required for adding files or folders.

In other words, getting started does not require you to design the entire information architecture on day one. You only need to understand where your current work belongs.

Where content belongs and how access changes with location 

One of the easiest beginner mistakes is assuming that My Folders and Team Folders are simply two different folder views.

They are not. My Folders is user-centric while Team Folders are team- or department-centric.

A file in My Folders begins as private to its owner unless that owner shares it. A file placed in a Team Folder becomes part of a collaborative space and is available according to that Team Folder's membership and permissions.

This makes My Folders useful for files like early drafts, private notes, temporary research collections, individual working documents, and material that has not yet been assigned to a shared team context.

Team Folders make more sense for content with an organizational life beyond one person: project deliverables, standard operating procedures, campaign assets, department resources, customer implementation material, recurring reports, policies, templates, and other shared business content. WorkDrive's own Team Folder guidance frames these spaces around structures such as projects, responsibilities, and business functions.

When organizational content lives in a collaborative Team Folder rather than exclusively under one employee's personal space, access to each file is defined in part by the folder-level permissions structure rather than depending entirely on individual sharing decisions by the file's owner or creator. WorkDrive also provides administrative mechanisms for managing Team Folders and transferring a departing member's My Folders ownership when a user is removed from a team.

Sharing is a layer, not a storage location 

Another useful mental shift while using WorkDrive is to treat sharing as an access mechanism: When somebody shares a file or folder directly with you, WorkDrive surfaces it under Shared with Me. That view collects content shared directly with you or through groups and lets you filter and organize what you have received. Removing an item from that view does not delete the owner's underlying file.

Conversely, WorkDrive also provides a Shared Items view for reviewing content that has been shared outward from My Folders or a Team Folder. Depending on location and role, it can help users or folder administrators understand how content has been shared and adjust sharing settings.

File access follows roles 

Inside a Team Folder, roles control what users can do:

  • An Admin has the broadest Team Folder authority, including folder settings and member management.

  • An Organizer can perform many collaborative and organizational tasks but does not have all Admin capabilities.

  • An Editor can add and modify content.

  • A Commenter is oriented toward review and discussion.

  • A Viewer receives read-oriented access.

WorkDrive applies these roles independently to each Team Folder, so the same person could be an Editor on one project and a Viewer in another.

This is preferable to treating every employee as either having full access or no access at all. It enables the content structure to reflect actual responsibilities based on requirements.

Why regional URLs, bundled accounts, and multiple teams can change the experience 

Some of the questions new WorkDrive users raise are not really about files, instead, they are about identity and context.

A person may know that they “have a Zoho account” but still encounter a different regional login, a Workplace-provisioned WorkDrive account, an integration-backed WorkDrive workspace, or several WorkDrive teams under the same identity. Understanding those variations can save a surprising amount of troubleshooting.

Your Zoho region matters 

Zoho operates multiple data centers across the United States, Europe, India, Australia, Japan, Canada, and Saudi Arabia, and every Zoho account is associated with a particular data-center region. WorkDrive itself also operates regional service domains.

Zoho determines a data-center region when an account is created, and the region can be identified through the domain associated with the signed-in account. For most users, starting from the official WorkDrive sign-in experience is preferable to guessing a regional URL.

WorkDrive may already be part of another Zoho subscription 

WorkDrive is available both independently and through bundles and integrations, including products such as Zoho One and Zoho Workplace.

For a Zoho Workplace user, for example, WorkDrive can be accessed from Workplace's navigation, and the user is taken into their WorkDrive environment, where My Folders and the available collaborative features become part of the larger Workplace experience.

One WorkDrive identity can belong to multiple teams 

WorkDrive supports membership in multiple teams. Users can switch among the teams they have joined through the team or account switcher rather than maintaining a distinct login for each workspace.

This is useful for consultants, agencies, cross-company collaborators, and users who work across multiple organizational environments.

It also creates one of the most common sources of confusion: you can be successfully signed in to WorkDrive and still be looking at the wrong team.

Suppose you belong to both “Zylker Corporate” and “Zylker Research”. A folder shared within the Research team will not necessarily appear while you are navigating the corporate team's workspace. Switching the active team changes the WorkDrive context you are viewing.

WorkDrive additionally allows a user with multiple teams to designate a preferred team. Files and folders shared by external users are then organized under Shared with Me in that preferred team, helping prevent externally shared material from becoming scattered across multiple team contexts.

When the team, folder, or invitation you expect is not there 

Most onboarding problems become easier once you identify which layer has failed: identity, invitation, team context, folder membership, or permissions.

The invitation may still be pending 

Joining a WorkDrive team is not completed merely because an administrator typed your email address into an invitation screen. WorkDrive sends an invitation that the recipient must accept. Pending team invitations can be viewed and joined during the onboarding flow.

On the administrative side, WorkDrive tracks invited members separately from active members. Admins can view pending invitations, resend them, or revoke them from the Admin Console.

The user may be in the wrong team 

If the invitation has already been accepted but the expected Team Folder is missing, check the active team.

Because WorkDrive supports multiple teams, signing in successfully only proves that you have reached WorkDrive. It does not prove that you are currently looking at the team containing the files you need. The account switcher can be used to move among joined teams.

The user may be in the team but not the folder 

Team membership and Team Folder membership are separate.

A user can belong to a WorkDrive team without automatically becoming a member of every Private Team Folder in that team. Public Team Folders may be available to join, but access to Private Team Folders requires the appropriate Team Folder Admin or Organizer to add the user.

An existing individual account can affect onboarding 

A user who already has an individual WorkDrive account can accept an invitation to a team, but WorkDrive treats that transition as a conversion rather than maintaining separate individual and team accounts under the same email address. Existing My Folders content from the individual account is moved into the team-account context as part of that transition.

A bundle or integration may expose a different set of features 

A user coming from Zoho Workplace, Zoho One, Zoho CRM, Projects, or another integration-backed setup may not have reached WorkDrive through the same path as a standalone WorkDrive subscriber.

When the interface does not match somebody else's screenshot, check the account's subscription and provisioning source before assuming something has disappeared.

 

Getting started with Zoho WorkDrive: FAQ

Is registration required to use WorkDrive?

To have your own WorkDrive account or join a WorkDrive team as a member, you need the appropriate Zoho identity and team onboarding flow. Team invitations ultimately connect the invited person to a WorkDrive team account.

However, registration is not required for every external file interaction. WorkDrive allows files and folders to be shared with people who do not have Zoho accounts. In that case, a non-Zoho recipient can access a file shared by email after verifying their email address with a one-time password. A person who already has a Zoho account but no WorkDrive account signs in with that Zoho account to access the share.

What is the difference between My Folders and Team Folders?

My Folders is your personal workspace. It as the place for individual work, drafts, and files that are not yet ready for team sharing. Those items remain private until they are shared.

A Team Folder is a shared workspace built around a team, project, responsibility, or other collaborative purpose. Access is governed by Team Folder membership and roles.

Can users belong to more than one WorkDrive team?

Yes. WorkDrive allows users to join multiple teams and switch between them from the WorkDrive interface. A user can participate in multiple team accounts as an Admin or Member, although only one team can be created per email address with that user as the Super Admin.

How do users switch teams?

When an account belongs to more than one team, WorkDrive provides a team/account switcher showing the currently active team. Selecting another joined team loads that team's workspace. This should be one of the first things to check when a known file, folder, or project appears to be missing.

Why is an invited team not visible?

Start by checking whether the invitation has actually been accepted. WorkDrive's onboarding flow lists pending team invitations and requires the user to join the team.

If the invite remains pending, the Team Admin can see invited members and resend invitations. If the invitation has already been accepted, check whether the user is viewing another active team, because a single WorkDrive account can belong to multiple teams.

Also verify that the invitation was sent to the same account identity the user is signing in with. Zoho's WorkDrive login itself notes that account credentials and usernames can be associated with different account contexts, making the email identity an important part of access troubleshooting.

Can the default My Folders area be deleted?

No. You can’t delete the My Folders section.

How is a new folder created?

In either My Folders or a Team Folder where your permissions allow content creation, WorkDrive's New menu includes a Folder option which allows you to create and name a new folder. In a Team Folder, subfolder permissions can also be customized where appropriate.

The more important question is where that folder should live. A folder for personal notes belongs naturally in My Folders; a folder intended to become the working source for a project usually belongs in the relevant Team Folder.
