Adding Details from Zoho Mail

Most of the customer interactions are through emails and so, Zoho Mail provides an easy way to collect the contact information and store it in your Zoho CRM account. When a prospective customer sends an email, you need not manually add the Lead information in your Zoho CRM account. From within Zoho Mail you can add the email address as a lead in CRM. In addition to this, you can also add customer details as Contacts in CRM and create related Tasks, Events, Notes and Potentials for the contacts. This option will be available only if you activate the Zoho Mail Add-on feature.

Add as Lead or Contact

If the email address in the email is not available in your CRM account, you can add the customer details available in the email as Leads or a Contact in Zoho CRM.

To add as lead/contact in CRM

  1. In Zoho CRM, click the Email tab.
  2. In the Inbox, open your customer email.
  3. In the Mail body section, click on the CRM icon at the end of the email.
  4. Choose Leads or Contacts from the drop-down list and click Add Now.
  5. In the form, specify the lead/contact details.
  6. Click Save.

Add Tasks, Events, Notes & Potentials

If the email address in the email is already added as a contact or lead in your CRM account, then you can add tasks, events and notes for the leads/contact from withing the email . In addition to these, you can also add a potential for a contact.

To add a task

  1. In Zoho CRM, click the Email tab.
  2. In the Inbox, open your customer email.
  3. In the Mail body section, click on the CRM icon at the end of the email.
  4. Click Task.
    This option will be available only after the email address is added as a lead or contact in Zoho CRM.
  5. Click Save.

To add an event

  1. In Zoho CRM, click the Email tab.
  2. In the Inbox, open your customer email.
  3. In the Mail body section, click on the CRM icon at the end of the email.
  4. Click Event.
    This option will be available only after the email address is added as a lead or contact in Zoho CRM.
  5. Click Save.

To add a note

  1. In Zoho CRM, click the Email tab.
  2. In the Inbox, open your customer email.
  3. In the Mail body section, click on the CRM icon at the end of the email.
  4. Click Note.
    This option will be available only after the email address is added as a lead or contact in Zoho CRM.
  5. Click Save.

To add a potential for contact

  1. In Zoho CRM, click the Email tab.
  2. In the Inbox, open your customer email.
  3. In the Mail body section, click on the CRM icon at the end of the email.
  4. Click Potential.
    This option will be available only after the email address is added as a lead or contact in Zoho CRM.
  5. Click Save.
