The all-new Tasks by Zoho Mail: For an enhanced and evolved workspace

Tasks by Zoho Mail revamp

As the way we work is continuously evolving, humans are continuously developing tools to facilitate modern solutions for task management. Now, after changes brought about by the COVID-19 pandemic, we are adapting to change that pushes us towards the hybrid work environment, breaking the archaic principles of when, where, and how we work.

There is no doubt that hybrid work is the need of the hour. But, it also brings in certain complications making task management, efficient communication, inter- and intra-team collaboration difficult. Because we no longer have the option of walking to our colleague’s desk and having an impromptu meeting to sort things out. These challenges call for a sophisticated and improved tool that can compensate for the lack of co-located workspaces while enriching your organization’s productivity.

Presenting the all-new Tasks by Zoho Mail: a task management tool with a state-of-the-art user interface and tons of brand-new features to help your team thrive in the evolved workplace.

Why the new Tasks by Zoho Mail?

Group Tasks for improved teamwork

One of the big challenges organizations face today is miscommunication within teams. Without the right task-management tool, remote or hybrid teams risk different employees doing the same task, as well as losing accountability and transparency. This in turn creates a siloed organizational structure that can get in the way of fostering team spirit.

With Tasks by Zoho Mail, you can keep your team informed with the help of Group Tasks. This means anyone and every one part of the relevant group can automatically see your group tasks, and you can see theirs. Don’t worry: you can always rely on the Personal Tasks option to keep track of any private work items you don’t want to share.

Exceptional user experience with a simplified look

No matter how many useful features a tool has, it is useless without a streamlined user interface. Keeping this in mind, instead of stuffing more features into our current UI, we went a step further and completely revamped our application’s UI to be more intuitive. We’ve contextually grouped your favorite left-hand-side menus, included stats on top of every section, and incorporated new views like Kanban boards, making the way you see your tasks more efficient.

Empowers teams to collaborate better

Promoting collaboration means allowing teams to more easily engage, connect, and share information. Tasks by Zoho Mail allows you to assign work to your colleagues and discuss ideas and perspectives as comments, social-medial style. If you want to get feedback from someone outside your team, you can easily invite a member of your organization to view your task.

Manage all your Zoho tasks in one place

Many organizations use multiple task management applications to maintain different kinds of tasks. One of the challenges these organizations face is not having a centralized space to consolidate and view all these tasks from other applications at once.

With the help of Unified view, Tasks by Zoho Mail allows you to manage your Zoho Projects, Zoho CRM, Zoho Connect, and Zoho People tasks—all in one single space. In addition to viewing your existing tasks, you can also add new tasks to the application of your choice and explore the apps further directly from the Tasks by Zoho Mail interface.

Tasks organized to perfection

An organized view of your work items means peace of mind. Because you don’t have to waste time searching for your task and its relevant data. Want to break down a complex task into multiple simpler ones? Divide and conquer with Subtasks. Arrange your tasks just the way you like by mapping them under Tags and Categories of your choice.

Tired of only having Open and Closed as the status of your tasks? Reflect where your tasks are at exactly by adding custom statuses and keep track of even its simplest turn. And the best part? Rearranging your tasks is now as simple as dragging and dropping the cards across the boards.

In addition to these features, we have many more—set a start date for your tasks, create custom fields for added information, enhanced filtering and sorting options, among others—to give you the best experience while managing your tasks.

    1. Hey, Robert. We’re hosting a free webinar to explore Tasks by Zoho Mail on 11th of November. We would love to have you there. Feel free to register yourself.

  1. Amazing feature! We just started using it and we hope it will help us manage various tasks. The only inconvenience is that when some user is tagged in description of the task, they don’t get notification. I would love it to be fixed, cause now insetad of tagging people in description we have to do it in comment section so they get further notifications.

    Waiting for it to happen!
    Cheers,
    Sylwia

    1. Hey Sylwia,

We’re happy that you’re enjoying Tasks by Zoho Mail. And, thank you for the suggestion. We’ll make sure to pass it on to our team.

  2. Amazing update. The new enhancements look very promising. Especially for the WFH situations where it’s hard to maintain coordination within our team. Can’t wait to try it out on a day-to-day basis.

    1. Hey, Kaizel. We know that WFH has been difficult and that’s why we came up with this complete revamp. I hope the all-new Tasks by Zoho Mail can make things easier for you.

  3. In the “Assigned to me” Tasks List, when grouping by Priority, the only sort criterion available is the Created Time, but I think the task’s Due Date is way more important than creation time. Maybe the creation time is important for someone, so you could keep it as an option, but I think you *should* consider adding the option to sort by Due Date (ascending/descending), not only in the “Assigned to me” list, but also in Group Tasks list too.

    1. It’s a good question. We are looking forward to its mobile application. I am having to use Microsoft office 365 task for tasks, reminders. However, I use many applications of Zoho. I also want to use Zoho task offline and online on mobile. There are features in other applications that will do this job. But the concept and management of job descriptions has expanded a lot. We also need it on the mobile. We want to see Zoho task on mobile.

  4. Looks great,
I’m still looking towards the day when I can add a note to my email and have it show as a snippet or variant in the same line as the email for reference.
I know there is a zoho notes, however it does not work as it should, NOTE I am referring to gmail notes (it’s by a 3rd party add on), but it works incredibly well as it shows my note on a line below the email snippet (or beside, etc) and unfortunately, the way zoho works unless I’ve missed something, I can’t see the note attached to a particular email as a snippet line.

    1. Hey, Shannbala.

You can move from the current email service provider to Zoho Mail at ease using our Migration process. Zoho Mail is a suite of 6 different applications that include a Mailing service, Calendar, Tasks, Notes, Bookmarks, and Contacts. That means you can use Zoho Mail for your emailing needs as well.
