Estimate Preferences

Estimate Preferences allows you to change the settings on how estimate works and edit the Terms & Conditions, Customer Notes. Also, you can create custom fields to add more information to an estimate.

To navigate to the Estimate Preferences page:

  1. Click the Gear icon in the top-right corner of the window or simply press s to instantly navigate to the Settings.
  2. Select Preferences and select Estimates.

Alternatively, if you’re in the Estimates module, you can navigate to the Estimate Preferences by clicking the Gear icon in the top-right corner and selecting Preferences.

Automating Estimate Conversion

  1. Choose if you want to automatically convert an accepted estimate to an invoice.
    • Select No if you don’t want to automatically convert an accepted estimate to an invoice.
    • Select Yes, Save as Draft if you want to automatically convert an accepted estimate to an invoice and save the invoice as draft.
    • Select Yes, Save and Send if you want to automatically convert an accepted estimate to an invoice and send the invoice to your customer. The invoice will be available in the Invoices module in Open status.
  2. Check the fields in an estimate that you would like to be the same when it is converted into an invoice.

Entering Terms & Conditions

  1. Enter the Terms & Conditions for an estimate. This will be displayed in every new estimate you create and you can edit it while creating an estimate.
  2. Enter the Customer Notes that you want to share with your customers along with the estimate. This will be displayed in every new estimate you create and you can edit it while creating an estimate.
  3. Click Save.

Adding Custom Fields

If you have an office with folders stacked in a shelf, Custom Fields are like extra folders that you can add to your already existing folders to store more files.

Custom Fields are fields that you can manually add to the estimate creation page to store additional information relating to the estimate.

To create a Custom Field:

Data Type Description
Text You can enter a short text of a maximum of 100 characters. The supported characters are A-Z, 0-9 and special characters.
Email An email address can be stored using this data type.
URL This data type allows you to enter an URL .
Phone You can enter a contact number.
Number You can add any positive or negative number.
Decimal Any positive or negative number with a decimal value can be added.
Amount You can enter any amount using this data type. It will be displayed along with the currency.
Percent You can enter any positive number as percentage.
Date You can select a date from the calendar.
Check Box A checkbox can be used to confirm an action, make a choice or answer a question.
Auto-Generate Number You can add alplabets and numbers as prefix or suffix and auto-generate serial numbers.
Dropdown A list of options can be added and you can select from them.

Custom Field pop-up

Pro Tip: Custom Fields that you’ve added to an estimate will not be available in an invoice when you convert an estimate to an invoice. However, you can retain the information that you enter in the custom fields of an estimate in an invoice by creating a custom field under Estimates and another under Invoices with exact same name. Now, when you convert an estimate to an invoice, the custom field information of an estimate will be available in the invoice as well.

Note: You can create only a maximum of 10 custom fields.

Custom Buttons

(Available only in the Professional Plan)

Custom Buttons allow you to create your own customized button which you can include in the estimate creation page to perform any action as you configure. This allows you to perform specific actions in a click. Learn more about Custom Buttons.
