Their extensive portfolio includes strong room doors, safe deposit lockers, robotic locker rooms, torch and tool-resistant (TRTL) safes, high-tech biometric locks, and advanced biometric smart storage systems—all built to withstand the most sophisticated modern threats.

 The challenge 

Operating in a specialized market serving high-profile banking institutions, and jewellers, Guardwel faced a daunting operational bottleneck. Their core struggle was managing highly intricate, RBI-compliant workflows that varied significantly from one client to the next. The lack of a centralized, automated system meant the company was running on fragmented processes that hindered growth and visibility.

Their primary hurdles included:

Steering Guardwel toward its next phase of growth, Director of Operations Wilona W. Tuscano greenlit the transition to Zoho and strategically hired Vinit Stanislaus —currently the General Manager of Human Resources, Administration—to take care of the implementation, as he was well-versed with Zoho solutions. As a Zoho One customer, Guardwel set out to implement multiple products in the suite. Partnering with Strateworks Solutions, a Zoho Premium Partner in Maharashta and Gujarat, the company worked to consolidate their fragmented processes into a single, scalable digital ecosystem. This collaboration focused on replacing manual sheet-based pricing and disconnected Tally workflows with an automated, integrated system capable of managing their specialized manufacturing needs and complex, customer -specific requirements in real time.

To centralize operations for their network of 80+ dealers, Guardwel implemented a fully customized Zoho CRM portal that serves as a unified digital hub for territory-specific business. This portal enables dealers to manage the entire lifecycle independently—from adding leads and conducting site surveys to raising purchase orders and converting quotes—all while utilizing the integrated product rate calculation module for automated pricing accuracy.

The system provides greater transparency, allowing dealers to track the real-time status of inquiries, order bookings, and dispatch details. It also facilitates a sophisticated Overriding Commission (ORC) workflow, where dealers submit transaction acknowledgments for a multi-level approval process involving the sales team. Furthermore, the portal ensures proactive collaboration, as any completed survey or milestone automatically notifies the Guardwel team to initiate the next operational step.

Visual clarity for complex processes  

A custom Product Rate Calculation module was developed to replace manual spreadsheets with automated pricing workflows. Additionally, to simplify the heavy lifting behind their pricing, Strateworks Solutions developed a custom widget within the module. This color-coded interface supports multiple distinct product lines, seamlessly driving the workflow from sales inquiry to automatic calculation and final sales order generation. This transforms intricate data sets into an intuitive visual format that enables users to digest complex permutations at a glance and ensures that even the most technical cost breakdowns are clear and accessible.

Efficiency is further driven by a suite of custom buttons and automated workflow rules designed to eliminate manual bottlenecks. With a single click, the team can "Convert to Quote." The system also handles critical back-office logic automatically, from precise GST calculations to triggering "Send PO" actions, ensuring that every transaction moves through the pipeline with speed and accuracy.

Unifying sales, finance, and production planning

Once a sales order is confirmed, an API integration between Zoho CRM, Zoho Creator, and Zoho Books enables synchronization between the three products in real time. This seamless connection ensures that any modifications the marketing or sales teams make are instantly updated in the financial records, as well as the Creator application, to maintain a single source of truth across all platforms. By bridging the gap between intricate custom product rate calculations and back-office accounting, the integration eliminates manual entry silos and creates an efficient, automated flow from the initial customer inquiry to production planning to final financial execution.

The team converts sales orders directly into invoices or Delivery Challans (DC) within Zoho Books, which serves as the immediate trigger for the next phase of the workflow. Based on the conversion in Zoho Books, the data is updated in Zoho Creator for dispatch-related processes.

Automated dealer and ORC commission management

To eliminate manual verification delays, a structured commission workflow was established in Zoho CRM's dealer portal and integrated seamlessly with Zoho Books:

  • Proof of installation: Acknowledgement receipt is uploaded.
  • Smart verification: Submissions are reviewed within the system to validate authenticity.
  • Automated ORC generation: The system automatically calculates and generates the commission payout, which is reflected in real time on the dealer's dashboard.

Data to insights

Zoho CRM's integration with Zoho Analytics plays an essential role in Guardwel's strategic operations, transforming raw data into actionable intelligence across finance, production, and procurement. By consolidating data from every touchpoint—including the dealer portal and post-sales service attachments—the system provides a 360-degree view of the business.

Central to this visibility is a suite of over 10 custom-designed dashboards that provide leadership with a bird’s-eye view of operations. These specialized dashboards track Sales Performance, Production vs. Dispatch, Dealer Performance, On-Time Delivery, Daily Dispatches, and Customer & Dealer Outstanding

Through these visual insights, leadership now tracks critical KPIs such as YTD and MTD achievements, comparing current revenue against historical benchmarks to gauge financial health instantly. The platform also monitors operational metrics like total pending orders, real-time billing, and specialized tracking for inventory held at dealer warehouses. By integrating outstanding receivables and daily billing data, the analytics engine ensures that every transaction is captured conveniently and translated into a clear roadmap for growth.

Driving seamless integration across communication and core systems

Guardwel leverages the seamless integration between Zoho Mail and Zoho CRM to instantly capture incoming email inquiries, automatically creating and assigning follow-up tasks to the respective sales representatives. This ensures that field reps can access and act on fresh leads immediately through the Zoho CRM Mobile App.

This integration enables the team to convert emails into leads and tasks directly within their inbox, including setting automated follow-up reminders. By centralizing this flow, Guardwel ensures that every inquiry is captured without manual entry, which triggers a continuous process that flows from Zoho CRM to Zoho Books and Zoho Creator for total operational alignment.

Streamlined credit control with built-in financial safeguards

To maintain financial discipline across its dealership network, Guardwel implemented a sophisticated credit control system that balances dealer autonomy with strict fiscal oversight. While dealers typically enjoy seamless portal access, the system automatically monitors credit limits and payment timelines. If a dealer breaches these parameters, the Guardwel finance team can deactivate their account; this status is updated in real time across Zoho CRM's Dealer Portal via a robust API integration with Zoho Books.

If a dealer becomes inactive in Zoho CRM, the system triggers a restricted access state. A dedicated notification bar appears on their dealer portal, informing them that key transactional capabilities have been temporarily suspended. While the dealer can still perform basic administrative tasks, these core commercial activities remain locked until their financial status is cleared.

This automated guardrail ensures that Guardwel maintains a healthy cash flow while keeping dealers transparently informed of their standing within their digital workspace. Furthermore, the system maintains a complete audit trail, logging the frequency and exact duration of each dealer's inactive periods to help leadership evaluate long-term partner reliability.
