We’ve enhanced Data Templates to help teams transform unstructured files into structured, searchable, and operationally aligned assets.

With the latest update, organizations can:

  • Create more than 1,000 custom fields with the ability to mark up to 1,000 fields as searchable—enabling large-scale, standardized content classification.

  • Restrict data template usage to specific users or groups to ensure controlled governance over who can define and apply structured metadata.

A legal department managing thousands of contracts can configure Data Templates with searchable custom fields such as contract value, renewal date, jurisdiction, and risk category, while restricting data template access to authorized users to ensure consistent governance. This update introduces:

  • Multi-keyword identifiers: Define multiple related terms within a single rule, improving contextual detection while simplifying policy configuration.

  • Regex-based identifiers: Use regular expressions to detect structured data patterns such as account numbers, ID formats, or custom codes—increasing accuracy and reducing false positives.

  • Sensitive content identifiers (PHI detection): Automatically identify protected health information, including patient IDs, medical record numbers, and insurance details—strengthening compliance in healthcare and regulated sectors.

A healthcare provider managing patient intake forms, insurance documents, and diagnostic reports can configure DLP with multi-keyword identifiers for medical terms, regex rules for structured patient ID formats, and built-in PHI detection to identify sensitive health information. If such a document is shared externally, WorkDrive automatically flags or restricts it based on the organization's policies to reduce accidental exposure while maintaining regulatory compliance.

LLM-powered agents such as Claude, OpenAI models, Copilot, or Cursor can understand file context within WorkDrive and execute multi-step operations across connected apps—from retrieving documents and updating records to sharing files and triggering downstream processes.
