Add delegates for active users

In addition to deleted users, admins can now add delegates for active users. If there are cases where a user is away from office but has to submit a trip request or approve another user's trip immediately, then an admin can appoint a delegate for the user to perform actions on their behalf.

GPS mileage type for vehicles

While adding a new vehicle, you can now select if you'd like to record mileage for that vehicle using GPS. Once you select the GPS option, users will be able to record mileage expense for that vehicle only using the GPS in their mobile app.

Under the Policy Settings, the travel desk can now enable the option to add tickets and booking confirmations directly to trip requests without providing options for flights, trains, or other travel modes. Preferred Departure Airport

Bulk Reject Expenses in Reports

If you want to reject more than one expense in a report, you can simply select the expenses you want to reject and click the Bulk Reject button. All the selected expenses will be rejected.

Comment on Expenses in Reports

In addition to commenting on expenses inside reports, you can now add comments on expenses right from the expense details page instead of switching to the report details page. Support for OAuth Authenticated Webhooks Using Connections

If your webhook's URL requires OAuth authentication, you can now set it up using Connections. First, create a connection with its authentication type as OAuth. Next, when you create a webhook, choose the Authentication Type as Connections, and select the connection you created with the OAuth authentication type. Once this is done, a webhook with OAuth authentication will be created in Zoho Expense.

Introducing the Zoho Expense - WAY2VAT integration. You can now reclaim VAT from your business expenses easily. Once you set up the integration, all the expenses and the expense receipts that are associated with reimbursed reports will be automatically synced with WAY2VAT for analysis. If the expenses are eligible for VAT reclaim, then WAY2VAT will help you receive the maximum refund based on the VAT rules.

Android App Updates

Now, you can upload up to 5 receipts at a time for autoscan from third party applications. If you enter the odometer start reading to create a mileage expense and put the app to background or the phone shuts down, the next time you open the app, the odometer reading will be remembered and prefilled so that you can create a mileage expense with the same reading without having to enter it again. In the Approvals module, when you view a report PDF, you can now select a template by which you would like to view the PDF. Now create mileage expenses for Electric vehicles using your mobile app. When you create a mileage expense simply choose the fuel type as 'Electric'. Also, when you add new vehicles to your mileage policy, you can associate this new fuel type for electric vehicles.

iOS App Updates

In addition to applying the custom statuses that were configured in the web app to the Approved and Reimbursed reports, you can now apply custom statuses to Submitted reports as well. Similarly, apply the custom statuses that were configured in the web app to Trips, Reports, and Advances in Rejected status. The supported OS version has been upgraded from iOS 11.0 to iOS 13.0. From this upgrade, all the new updates that are made in the app will be available only for devices with iOS version 13.0 or above.

If you use the India edition of Zoho Expense, whenever you create an expense, Zoho Expense will fetch the applicable taxes that are configured for your organization to help you apply the tax with ease. We have introduced an easy-to-use currency selection UI. When you select the currency for your expense or advance, the currencies list will be sorted alphabetically and you can use the Search bar to search for a currency quickly. You can now enable Advanced Autoscan from Settings. With the advanced crop option, crop the receipts that are uploaded in the image format accurately. When you create a new report or a trip, your default policy will be prefilled in your report creation and trip request forms. You can now create your own custom statuses for the Trips in your organization. Also, you can now add custom statuses for the Submitted and Rejected records.

If you’re an approver, you can now provide a reason for editing the reports submitted by other users. You can also choose to notify the users regarding the update of report details. If the receipts you’ve uploaded for autoscan have failed due to your plan limit, you can now retry autoscanning the excess receipts the following day. If you're creating an expense with a currency other than the organization's base currency, Zoho Expense will now calculate and display the value of that expense in the base currency when you create an expense. Besides uploading receipts in JPEG and PNG formats, you can now add the receipts in .doc or .docx, .xls or .xlsx, and PDF formats for autoscan.

Restrict Recalling a Submitted Report

We've introduced a setting to restrict the users from recalling a submitted report if one of the approvers in the approval flow approves the report. In an approval flow, there may be more than one designated approver to approve a report. If you enable this option, the users can't recall a report to make changes even if one approver in the approval flow approves the report. This way you could save the time and effort required to recheck the recalled reports after approval.

An all-new section, My Settings, for users to configure their preferences. Users can view their basic information and configure default values for expense and trip creation forms. Users can add travel details and travel documents like visa, passport, etc., to help the travel team with the booking process. Also, they can add delegates and out-of-office approvers in this section to create expenses and approve reports on their behalf. While creating an expense, if you enter a new merchant, the merchant details will be saved. Later, when you create new expenses and select that merchant, the expense category will be auto-filled. When you create a new category, you can now associate it with an expense type. If you want to record a personal expense, you can now mark it as personal and it will be automatically created as a non-reimbursable expense.
