Introducing document delivery and authentication via WhatsApp in Zoho Sign

Let's be real: How many of us still send out SMSs in our daily lives? In many countries, the number is vanishingly small. For most of us, it's a relic we revisit only when Wi-Fi deserts us or during the occasional idle scroll through the inbox. Our lives now demand more than just the basics, and communicating via SMS has quietly receded into the background of our digital routines, no longer enough on its own.

That said, offering SMS and email as the only delivery options in Zoho Sign feels a bit out of step with the times, and it's only fitting that we evolve. Which is why we're pleased to introduce our latest integration with WhatsApp Business, which enables Zoho Sign to deliver documents and OTPs to your recipients via WhatsApp, adding convenience, speed, and an even more seamless and intuitive signing experience.

How to send documents and OTPs through WhatsApp in Zoho Sign

Getting started with WhatsApp document and OTP delivery in Zoho Sign is simple, and once set up, it fits right into your existing workflow.

First, head over to the Integrations page in Zoho Sign and enable the WhatsApp Business integration. During setup, you'll be prompted to either create a new Meta Business account or link your existing one. Once that's done, just select the WhatsApp Business number/channel you'd like to use to send documents and OTPs.

Next, your predefined message templates will be automatically submitted to WhatsApp for review. As part of their messaging policy, WhatsApp reviews and approves these templates independently in a process that typically takes up to 24 hours. Once approved, you're good to go.

Once Zoho Sign is integrated with your WhatsApp Business account, go to Account Settings > Sending Options and check the Email + WhatsApp option to add it as one of your preferred delivery methods.

Now, to start sending documents via WhatsApp, simply select Email + WhatsApp as the delivery option while configuring your document workflow, and once done, your documents will be sent straight to your recipients' WhatsApp inboxes.

To authenticate your recipients via WhatsApp, click Customize next to the desired recipient and select WhatsApp OTP from the authentication type dropdown.
