Updated Integration

  • Recipients in Zoho CRM sign workflows: The Zoho Sign extension now allows users to add the associated record to sign workflows from the recipients dropdown without having to browse through all the records of the module. Users can also add other CRM agents as recipients in sign workflows. Additionally, for sign workflows triggered from custom modules, the recipient email field is auto-filled if the associated record contains email address data.

Feature Enhancements

  • Complete customization of email templates: For the emails being sent from Zoho Sign to signers and other recipients, users now have the capability to edit the entire template formats in HTML and customize them to suit their organization's branding and style guidelines. However, placeholder tags for mandatory information may only be re-positioned and cannot be omitted.
  • Spouse signing: Users can now add the same email address twice in a sign workflow as two separate recipients provided the name entered in each instance is different. This facilitates the inclusion of a signer's spouse as a supporting signatory without having to send the paperwork to two separate email addresses.
  • API quick setup: Users can now quickly set up an API client, generate OAuth access tokens, and obtain JSON formats to send document templates for signatures, directly from the Zoho Sign web app interface for testing and deploying integrations with third-party apps and websites.

  • Automatic cloud backup: Users can now connect Zoho Sign with their cloud storage to set up automatic backup of their signed documents and the Certificates of Completion. Users can choose their storage service using the Cloud Uploader tool in the Account settings section and select a specific location to back up their documents.

  • Add-on for Gmail: Users can add documents from their email attachments and set up sign workflows to collect signatures and obtain approvals. This add-on enables users to create and manage legally binding business documents directly from their Gmail inbox.
  • Integration with Zoho Desk: Users can add documents to Zoho Sign from their device or their ticket thread attachments and sign them or send them out for signatures and approvals. The Zoho Sign extension can be added to Zoho Desk from the Marketplace.

  • File upload in Zoho Mail: The Zoho Sign extension for Zoho Mail now allows users to upload documents from their device in addition to using email attachments in sign workflows.

  • Account settings interface: A brand new, modular, and more streamlined Account settings section in Zoho Sign grants users improved control over document defaults, recipient experience, security, accessibility, and account management.   • Custom landing pages: Users can customize the experience of the document recipients by redirecting them to specific URLs instead of the default Zoho Sign page upon completing an action in the Document Viewer.
  • Recipient actions customization: Users can select and limit the actions available for document recipients to perform inside the Document Viewer. Recipients can be restricted from assigning the document to someone else, skipping the signing or approval process, and downloading or emailing a copy of the document.
  • Trusted domain options: Users can add and authorize domains in which they want to allow embedded signing actions through SignForms or API to take place.

  • Integration with Zoho Finance apps: This Zoho Sign integration enables users to digitally sign invoices and estimates before sending them to customers from the respective apps, and collect signatures from customers on estimates in their Client Portals to confirm their acceptance. Users can use this integration in Zoho Books, Zoho Invoice, and Zoho Inventory.
  • Integration with Zoho Mail: Users can sign documents received as email attachments or use them to set up sign workflows to collect signatures and obtain approvals, and create legally binding business documents directly from their Zoho Mail inbox. The Zoho Sign extension can be accessed by toggling the collapsible eWidget inside Zoho Mail.
  • Integration with Zoho Scanner: Users can scan their physical paper documents, be it handwritten or printed, to create digital copies that can be signed securely with Zoho Sign in the Zoho Scanner app, available on the Google Play Store.

  • macOS app: An exclusive Zoho Sign app for macOS with enhanced input options such as drag and drop, keyboard shortcuts, hover actions, Touch Bar controls, menu bar controls, and dock menus. Users can access their documents through Spotlight Search, secure them using Touch ID, print documents directly from the app, and sync document data across all Apple devices.

  • Import from and export to Zoho WorkDrive: Zoho Sign allows users to import files from and export them back to Zoho WorkDrive, our new collaborative cloud-based file management tool for teams. Users can use the CloudPicker tool to import documents and send them out for signatures, and conversely, save the signed documents back to the cloud.

  • Blockchain-based timestamping: Blockchain-based timestamping allows Zoho Sign to offer an additional measure of document verification and publicly establish signer accountability.

  • Approver role: Add approvers to sign workflows in addition to signers, viewers, and in-person hosts.

  • Integration with Orchestly: Zoho Sign integrates with Zoho's very own workflow management software, Orchestly, to allow users to add documents to business workflows and get them digitally signed during transitions in job activities.
  • Integration with Zapier: Zoho Sign has now been added to the popular and powerful integration platform Zapier. This allows users to connect Zoho Sign with 1500+ external web applications by creating Zaps based on Zoho Sign's triggers and actions.

  • Zoho Sign for iOS 13: The updated application enables users to scan physical agreements, sign documents with Siri, manage digital paperwork with Context Menus, and take advantage of the Dark Mode.
  • Zoho Sign for iPadOS: Users can access all the functionalities of iOS 13 on their iPad while also being able to create their own e-signature using PencilKit, view multiple documents in one screen, and sign in with their Apple ID.

  • Quick Send in Zoho CRM: The Quick Send feature available with templates inside the Zoho Sign application is now also available for use inside Zoho CRM when using the Zoho Sign extension to send documents for signature.
  • Deeper integration with Zoho Recruit: The Zoho Sign extension for Zoho Recruit now supports adding documents to sign workflows by importing mail merge and Zoho Sign templates. With these enhancements, you can further accelerate your signing processes and also achieve better automation.
  • Embedded signing via Zoho Forms: Zoho Sign's integration with Zoho Forms now supports automatic form redirection to the document requiring signature. Upon form submission, this feature redirects those filling out the form to the document that needs to be signed by them.
