Integrations in Zoho Mail

Zoho Mail provides seamless integrations with other Zoho Apps for ease of use. Applications such as calendar, tasks and notes can be used from within your mailbox. This enables extensive use of the other Zoho Applications that are closely integrated with Zoho Mail without being burdensome.

Contextual Integrations

The contextual integrations provided in Zoho Mail facilitates a smooth integration between your emails and Tasks/ Notes and Calendar.

Integration with Notes

  1. Open the email that you want to view
  2. Select a portion of your message
  3. On selection, four icons pop up
  4. Click on the 'Create Note' icon
  5. A note containing the selected text gets added
  6. You can edit the note preferences by going to the Notes app in your mailbox.

Integration with Tasks

Tasks can be added in two ways. You can choose to add a portion of the email or the entire email as a task.

To add a portion of the email to tasks, follow the steps below.

  1. Open the email that you want to view
  2. Select a portion of your message
  3. On selection, four icons pop up
  4. Click on the 'Create Task' icon
  5. The Add task dialog box pops up
  6. The selected text gets added as the task description
  7. You can further set the other task preferences

To add the entire email as a task, 

  1. Click on the 'More Actions' button on the top right corner of the screen in the mail view pane.
  2. Select Add To >> Tasks
  3. A task with the subject of the email as the Task Title and the message content as the Description gets added

These tasks can further be edited by navigating to the tasks app in your mailbox.

Integration with Calendars (Events)

  1. Open the email that you want to view
  2. Select a portion of your message 
  3. On selection, four icons pop up
  4. Click on the 'Create Event' icon
  5. The Create Event dialog box appears on screen
  6. The selected text gets added as the event name

Streams Integration

  1. Open the email that you want to view
  2. Select a portion of your message 
  3. On selection, four icons pop up
  4. Click on the 'Create Post' icon
  5. The Add Post dialog box appears on screen
  6. You can edit your preferences and the Stream that you want to post it to.

By default, the option 'My Streams' is selected in the list of streams.

Contacts Integration

You can perform certain actions on the recipient or sender email addresses directly by clicking on the email id in the mail view pane. This action can also be performed for the other recipients of an email. 

Chat with Contact

If the recipient of an email is already added to your chat list, you can choose to chat with the contact directly from the preview pane.

  1. Click on the recipient email address
  2. A listing pops up below the email address
  3. Select 'Chat with Contact' from the options listed
  4. Your chat box with that contact opens in the Zoho Mail tab

You can also check the availability of the contact from the right bottom corner of the contact's profile picture in the mail preview pane.  

Add to Contacts

If you've received an email from someone who is not added to your address book, you can add them to your address book directly from your mail view pane.

  1. Click on the recipient email address
  2. A listing pops up below the email address
  3. Select 'Add to Contacts' from the options listed

  4. The email address gets added to your address book

View CRM Info

  1. Click on the recipient email address
  2. A listing pops up below the email address
  3. If the contact has a CRM account, the 'View CRM Info' option appears
  4. If you have an account in CRM, you can view the CRM details of that contact.

Contacts Integration in Streams

While viewing a post in streams, the tagged contacts appear highlighted. On hovering over these tagged contacts, a listing pops up. This lets you perform two basic actions.

  • View all posts in the Group - This option lets you view the posts that this contact has added in that particular Streams group. This option will not be enabled if the tagged contact is an invitee, and is not a part of that group.
  • Chat with Contact - You can chat with the contact on choosing this option.
