Meet Zia - Bee's favorite AI assistant in hiring

Hi, I'm Bee—good to see you again! If you're like me, you've probably been hearing a lot about AI. According to Gartner, 76% of HR professionals believe that not adopting AI solutions in the future will become a disadvantage to their organization. While AI adoption has become a standard that companies are eager to embrace, it's easy to get lost in the AI black box if you aren't mindful about how it's implemented.

I'm here to show you how AI—particularly Zoho Recruit's Zia—has become our team's trusted partner in the hiring process. Let me guide you through how we've made this invaluable tool part of our recruitment process as shown below so you can see how to make it a part of your own.

AI-assisted job descriptions Smart candidate sourcing Automated screening Instant assessments Candidate profile summaries Seamless candidate communication

AI assist for job descriptions

Let’s start with the very first step - crafting job descriptions.

Before adoption:

We used to spend hours carefully crafting every job description—debating what to include, rewriting sections, and double-checking tone. This often caused endless back-and-forth, leaving candidates frustrated when the role didn’t match their expectations.

Sometimes, we struggled to appeal to Gen Z talent or maintain a consistent brand voice when multiple recruiters worked on the same posting.

After adoption:

Now, we simply feed in the job role, requirements, and our company’s tone. With a single click, Zia AI assist generates post-ready job descriptions that align with the role, reflect our brand voice, and appeal to a wider audience.

It’s saved my team countless hours, freeing us up to focus on what really matters: finding the right people, not formatting words.

Smart candidate sourcing

Now that we’ve got a great job description live, let’s move to the next step—attracting and engaging the right talent.

Before adoption:

Once a job went live, it was like fishing in the ocean with a torn net. Candidates landed on our career site but often dropped off midway. They couldn’t find the right role. Many were overwhelmed by the number of openings.

For some, the process and application felt too long, and we lost great talent before they even applied. The manual process was time-consuming and often resulted in incomplete or inconsistent data.

After adoption:

Now, the Sourcing Bot greets every visitor to our career site and guides them smoothly through the process. It helps candidates discover roles that match their skills and interests, keeping them engaged from the first click. The best part is the sourcing bot automatically populates candidate data within Zoho Recruit.

The result? More qualified applicants, fewer drop-offs, and a faster time to hire.

Automated screening

Great! Now that you have a vast talent pool suited to your job roles, it’s time to pre-screen them.

Before adoption:

Pre-screening candidates was like searching for a needle in a haystack. We had to manually create assessments, track responses, calculate scores, share results, and send emails to selected candidates.

This often delayed the time to hire, caused inconsistent assessments, and led to improper scoring.

After adoption:

The Screening Bot eliminates this entire process by bringing assessments directly to the career site. Our candidates can take the test as soon as they apply with no follow-ups. Instant results are generated, automatically qualifying or rejecting candidates.

This ensures a smooth hiring process, saves time, and prevents irrelevant candidates from entering our database.

Instant assessments

Phew! Now it’s time to assess the candidate's skills quickly and effectively.

Before adoption:

Crafting assessments for unique skills and job roles used to be a struggle. Managers often disagreed on what to include and the assessments didn’t align with the actual role, resulting in irrelevant results.

This created a loop of misaligned assessments, repeated job postings, and re-sourcing. In the end, we were left with an inconsistent data pool, with few candidates actually matching the requirements.

After adoption:

The Assessment Bot can generate job-ready assessments with a single click. We just input the basic details, and it delivers skill-specific and role-specific assessments. This eliminated the hassle and saved us hours of manual work, letting us focus on meaningful tasks that impact recruitment.

Tip: Use Instant Assessments to quickly create tests, and Automated Screening to evaluate candidates as soon as they apply.

Profile summary

This comes in handy when you’re squinting, skimming, and trying to take notes from hundreds of resumes in a short time.

Before adoption:

Every time hundreds of resumes landed in our inbox, my whole team went into panic mode. Even quickly sifting through each resume took time. With constant tab switching to find the required details, we often forgot which candidate had what. This led to repetitive manual work and potential miscommunication.

After adoption:

With the Profile Summary, we can generate a structured overview of each candidate’s profile with a single click. Key sections like Overview, Skills, Experience, Qualifications, and Accomplishments are displayed in either a bulleted or descriptive format, making it easy to visualize candidate skills at a glance.

This saves time and ensures our candidate information stays clear, consistent, and easy to share.

Zia matches

This is one of my favorite features within Zoho Recruit — fine-tuning your candidate shortlist in seconds.

Before adoption:

From the candidate database and passive talent pool, we manually sifted through resumes to shortlist candidates matching job openings and required skill sets. In the process, we often lost potential candidates. This meant top talent was already hired by other companies before we could reach them.

After adoption:

Zia’s Candidate Matches automatically shortlists candidates by aligning their skills and qualifications with job openings. We can also refine the match to focus on specific criteria like experience, skills, or location.

This helps us find quality talent faster and also reduces time to fill.

Candidate communication

The way you convey information changes everything.

Before adoption:

Keeping candidates engaged throughout the hiring process was tedious and time-consuming. Sending personalized emails or SMS took up hours every day. Drafting messages manually, copying details, and tracking responses often caused follow-ups to slip through the cracks.

Candidates felt ghosted or assumed they were silently rejected.

After adoption:

Zia lets you send professional, personalized emails and SMS in seconds. You can communicate updates, schedule interviews, or send reminders without leaving Zoho Recruit.

This saves time, reduces tab switching, and ensures every candidate feels informed, valued, and never ghosted again.

Zia makes hiring human

Zia is an intuitive, intelligent, built-in AI assistant that makes hiring more human by letting us focus on what matters most: finding the right people.

Thanks to Zoho Recruit for this much-needed upgrade: AI with no extra cost. And your hiring data stays yours! Zia LLM is powered by Zoho, fully privacy-compliant and secure by design.

And that’s a wrap for the day, recruiters! I’m off to my Halloween party… dressed as Zia, of course.
