Get started with Tasks in Zoho Mail

Log in to Zoho Workplace from workplace.zoho.com using your Zoho Workplace account credentials. Once you have logged in, navigate to Zoho Mail from the header. Switch to Tasks in the left pane of Zoho Mail.

Unified View

Having control over your task list while using multiple applications can be difficult. With the Unified View, you can stop toggling between applications to manage different tasks from different apps. Add, access, and make changes to all your Zoho CRM, Zoho Projects, and other Zoho apps' work items right from your mailbox.

One time add for recurring tasks

Sometimes, you may need to do the same work multiple times. However, you don't have to add the same task to your app again. With the Recurring Task feature, set a recurrence pattern for daily, weekly, or monthly, and sit in peace while we remind you when it's the time for repeats.

Customizable views and Kanban Boards

When you have a lot of tasks lined up, you may want to filter out specific tasks to get a better bird's eye view. Choose the right Zoho Tasks views to get the perfect glimpse at your tasks. For even further enhancement, enjoy the Kanban Boards design and visualize your work better.

Group tasks

You can create various Tasks lists and start adding tasks to the list.

You can create a group, add group members, and start adding tasks in the group. All group members will be able to view the tasks in their group.

Assign tasks to users

You cannot assign tasks to users in Google Tasks.

You can assign users to any particular task and also set due date for the task.

Go to New task > Task title > @assignee.

Add attachment to tasks

If you want to attach a file to a task, you must first add it to Google Drive and then paste the file link in the "Details" section of the task.

If you want to include an attachment while creating a task, you can open the task and add it.

Open a task > Attachment.

Create task projects

You can use task lists when you want to create a separate thread for a group of tasks.

You can create multiple projects inside a group when you want to manage related tasks together.

Right-click Group > Create Project.

Recurring tasks

You can create a task and set it to repeat for a select period of time in Google Tasks.

If you want to add a task that repeats on a set interval, you can use the "Recurring" option in Tasks.

Open task > Recurring > Enter recurring schedule

Subtasks

Once you create a task, you can add several related tasks under a particular task as "Subtasks".

You can add multiple minor tasks under a parent task with the Subtask option.

Open task > Subtask.

Collaborate in the comments

Google Tasks does not allow sharing of tasks with other users.

Collaborate with your teammates by tagging them in the comments of a task. You can also share a task with a coworker who is not a member of the group by tagging them.

Go to Task comments > @mention.

Tasks priorities

You can create a separate "High-priority" list and move your important tasks to it.

When creating a task, you can set its priority as high, medium, or low.

Open task > Priority.

Import and export tasks

Google Tasks does not offer an option to import or export tasks.

You can import tasks as a CSV file and also export the tasks from Zoho Mail as a CSV file.
