Communication Channels in Zoho One: Email, Phone, and SMS

Integrating Your Email

Integrating your email allows you to centralize email communications with prospects and customers within Zoho CRM. Email integration also gives you the option to share business emails with colleagues. Once the integration is in place, incoming and outgoing emails will be available with the record. By integrating your email provider, Zoho CRM becomes a client that can display and send emails. The emails are still being sent and stored by your email provider.

There are generally two methods for integrating email: IMAP and POP3.

IMAP allows you to create a two-way sync between your email provider and your CRM. POP, which is an older protocol, creates a one way sync. We recommend using IMAP for integrating your email with Zoho CRM.

Verifying Your Domain for Mass and Transactional Emails

Once you integrate your email provider with Zoho CRM, you'll be able to send and receive emails from your customers. Still, there are additional situations when Zoho CRM will send emails from its own email servers instead of your integrated email provider. In these cases, you'll want the email your customer receives to be branded with your domain, rather than a generic Zoho domain that your customer will not recognize. Verifying your domain allows you to achieve this.

There are two main situations where Zoho CRM sends email directly from Zoho CRM email servers: automated emails and mass emails.

Automated emails are sent when you are sending an email as part of a workflow or cadence. For example, when a new lead is added to your CRM you might automatically send a welcome email.

Mass emails are sent when you want to send an email to a bunch of contacts at once. For example, say you're a sales rep who is traveling to San Francisco and you want to notify your customers that you'll be in the area.

A Note About Mass Emails and Email Campaigns

In Zoho CRM, there is a mass email feature. However, in Zoho One, there are other applications called Zoho Campaigns and Zoho MarketingAutomation for email marketing. Zoho customers often wonder what the difference is between these options. 

Zoho Campaigns is an email marketing tool that is similar to Mailchimp or Constant Contact. It is the recommended tool for email marketing activities. Zoho MarketingAutomation also has email marketing capabilities, but included more comprehensive capabilities for other marketing activities.

Mass emails in Zoho CRM is a capability that is best used in situations where a sales rep needs to contact many people at once. For example, a quarter is ending and to hit a sales number, the rep can offer a discount on a product and wants to let many people know. Or, to repeat the example above, a sales rep is traveling to a particular city for an event and wants to see if customers in the area are available for a meeting.

If you are a Zoho One or CRMPlus customer, your license includes Zoho CRM and Zoho Campaigns.
 

Integrating Your Phone

Telephony integration is a key way to keep track of all communications with your customer. Connecting a phone system to Zoho CRM allows you to call leads and contacts from the CRM, and log calls when you call them or they call you.

If you already have a telephony provider, Zoho supports integrations with many PBX and VoIP providers through PhoneBridge, which is a single integration point for multiple applications in the Zoho suite.

If you are in the market for a telephony solution, Zoho has two options. First, there is Zoho Voice, a cloud-based VoIP solution for SMBs. Second, Zoho CRM has a built-in telephony solution that is built on top of Twilio.
 

Integrating SMS Messaging

Integrating SMS messaging capabilities is a great way to stay in contact with leads, prospects, and customers. Zoho does not offer a native solution for SMS messaging but we integrate with multiple providers.

You can find an SMS integration for Zoho CRM in the Zoho Marketplace.

It is important to note that SMS capabilities for Zoho CRM are for conversational messaging. This allows you to send and receive SMS messages on a one-to-one basis, rather than send SMS in mass. This is a regulatory distinction, rather than a Zoho best practice.

To send SMS in mass as part of your marketing efforts, you will need to use Zoho Campaigns.
