The challenge
Kan-Tor & Acco operates in a field that presents two major challenges: the meticulous management of complex, multi-stage legal processes and keeping clients and their employees informed about their progress. With over 30 lawyers managing dozens of cases for many client businesses, effective management and efficient workflows was a top priority.
Initially, Excel sheets and emails were enough for case tracking and updates. As the workload expanded, so did the concern that manual methods might lead to inconsistent updates, miscommunications, and a lack of real-time access to case information—difficulties that would slow operations and reduce efficiency. To maintain and elevate service standards, Kan-Tor & Acco wanted a robust, centralized system to streamline operations, enhance collaboration, and support scalability.
The solution
To address these operational challenges, Kan-Tor & Acco implemented Zoho CRM , a highly modifiable client relationship management platform that centralized client and case management. The platform's flexibility and intuitive interface enabled the firm to create a system tailored to their needs, requiring minimal technological knowledge and a short adoption period. The platform also introduced and applied automation to key operations, including reminders for visa renewals, periodic reports to HR managers on employee visa statuses, and follow-ups for collecting, signing, and submitting paperwork
Additional automation with Zoho Creator
While Zoho CRM provided a sufficient billing process, Kan-Tor & Acco wanted to reduce the time and effort invested in tracking payments billed through the system. To address this, the firm used a solution made on Zoho Creator —a low- and no-code platform that allows users to build custom apps and software tools with minimal coding experience. Using Creator, the firm developed a system that tracked fee payments and sent automated reminders to clients based on predefined settings, pulling data from the CRM system. Each morning, the system also generated and sent the office team a detailed table summarizing current payment statuses, including any outstanding balances.
