Overview

WorkDrive is a cloud based file management software specifically designed for teams to collaborate and work together. It serves as a single access point for creating, storing, and sharing files with your peers.

Where in CRM can you use WorkDrive?

Once WorkDrive is added to your Zoho One account, you can do the following:
  • Add attachments to a record from a record details page.
  • Add attachments when composing an email.
  • Upload files using the file upload field.

There are no size limitations while attaching files from WorkDrive. This is because files attached from WorkDrive are added as links. The original file stays in WorkDrive. attachment

Sharing options

WorkDrive files can be shared with anyone in your team. You can also share files with an external sharelink that anyone can access. attachment

Adding WorkDrive to Zoho One account

To add WorkDrive to Zoho One account

  1. Login to your Zoho One account.
  2. Click My Apps.
  3. Click Add Applications.
  4. Search for WorkDrive and click Add. You can add users to WorkDrive, once the application is added successfully.

Note:

  • Admins have to add WorkDrive to their Zoho One account, in order to attach files from WorkDrive in Zoho CRM.
  • Admins have to add users to WorkDrive, which allows them to attach files in CRM.

Adding attachments to a record

You can attach files from WorkDrive to a record in CRM.

To attach files from WorkDrive

  1. Choose a module.
  2. Select a record you want to attach the files to.
  3. Go to attachments and click + or select Zoho WorkDrive from the Attach drop-down. attachment
  4. Select the file you want to attach.
  5. Click Pick. attachment
  6. Select how you want to share the selected file.
  7. Click Share. attachment

Note:

  • You can attach up to 10 files at a time.
  • You can attach files in all the modules except Dashboards, Reports, and Forecasts.
  • Files attached from WorkDrive will be added as a link.

Adding Attachments to an email

You can attach files present in WorkDrive in your email and send it to your customers.

To attach WorkDrive files to an email

  1. Choose a module.
  2. Select the record and click Send Email.
  3. Click on the attachment  (Attachments) icon and select Zoho WorkDrive. attachment
  4. Select the file you want to attach.
  5. Click Pick.
  6. Select how you want to share the selected file.
  7. Click Share.

Attaching files during record creation

You can attach a file directly to a record during record creation, editing, and cloning.

To attach a file at the time of record creation

  1. Choose a module.
  2. Click the + icon and enter the record's information.
  3. Click the Choose File drop-down and select Zoho WorkDrive. attachment
  4. Select the file you want to upload.
  5. Click Pick.
  6. Select how you want to share the file.
  7. Click Share.

To attach a file while editing a record

  1. Choose a module.
  2. Select the record you want to upload a file to.
  3. Select Zoho WorkDrive from the Choose File drop-down list.

To upload a file while cloning

  1. Choose a module.
  2. Choose the record you want to clone and click More, then click Clone. attachment
  3. Select Zoho WorkDrive from the Choose File drop-down list.

Note:

  • You will only be able to add attachments if the file upload field has been added to the respective layout.
