Calendar Settings

Zoho Calendar can be customized just the way you want it to be by configuring the desired settings. Calendar Settings gives you access to numerous features that can be modified to suit your requirements. You can choose to change your working hours and week, reminder notifications, time zone, etc. by navigating to the settings page.

Time zone:

Every time you work out of a different location, you can check for the Time zone and make the necessary changes in the calendar settings. Keeping your Time zone updated will ensure that you receive the event reminders without any glitches. If you update the Time zone in Zoho Calendar, note that the Time zone will be changed accordingly in all your Zoho accounts.

Steps to change your Time zone:

1. Login to Zoho Mail.

2. Go to Settings  > Calendar > Calendar Preferences.

3. You can choose the Time Zone based on your location or simply "GMT +/- no. of hours".

Date format:

All the dates in Zoho Calendar will be displayed based on the date format chosen in the settings. There are four default date formats available: MM/dd/yyyy, dd/MM/yyyy, yyyy/MM/dd, yyyy-MM-dd.

Steps to change your Date format:

1. Login to Zoho Mail.

2. Go to Settings  > Calendar > Calendar Preferences.

3. Choose the appropriate date format.

Time format:

In Zoho Calendar, you can choose from the standard 12-hour or 24-hour Time format. 

Steps to change the Time format:

1. Login to Zoho Mail.

2. Go to Settings  > Calendar > Calendar Preferences.

3. Choose from "12-hour" or "24-hour" format.

Default view:

The default view represents the calendar view that is set every time you open Zoho Calendar. When you refresh the calendar, it will take you back to the default view. There are five views to choose from: Day, Week, Work, Month and Agenda.

Steps to set the default view:

1. Login to Zoho Mail.

2. Go to Settings  > Calendar > Calendar Preferences.

3. Set your Default view.

First day of the week:

The first day of the week differs in certain parts of the world. You can customize the calendar and set your first day of the week in the settings. 

Steps to set the first day of the week:

1. Login to Zoho Mail.

2. Go to Settings  > Calendar > Calendar Preferences.

3. Select the First day of the week.

Work week:

You can customize your calendar default view to "Work week" view which will display only the details mentioned in your work week. You can set the start and the end day of your week in the settings.

Steps to set the work week:

1. Login to Zoho Mail.

2. Go to Settings  > Calendar > Calendar Preferences.

3. Select the "From" and the "To" days of your work week.

Working hours:

Working hours denote the time that you will be available at your workplace. This helps when you are working in an organization as people can look at your calendar and schedule meetings depending on your working hours.

Steps to set the working hours:

1. Login to Zoho Mail.

2. Go to Settings  > Calendar > Calendar Preferences.

3. Select the "From" and "To" timings for your working hours.

Time outside working hours:

You can set the time outside working hours to be busy in Zoho Calendar. Once you have set the working hours in the settings, you can enable this option so that your free/busy schedule shows that you aren't available after your working hours.

To enable this option:

1. Login to Zoho Mail.

2. Go to Settings  > Calendar > Calendar Preferences.

3. Turn on "Consider my time outside working hours as 'Busy'".

Automatic invitation:

Zoho Calendar has the option to check your incoming mails and turn them into meeting invites. You can choose from "Allow", "Allow if I'm free" or "Don't Allow" for adding the automatic invitation.

Steps to customize automatic invitation:

1. Login to Zoho Mail.

2. Go to Settings  > Calendar > Calendar Preferences.

3. Select the appropriate option for "Do you want to automatically add meeting invites from your mail?"

Denied events:

If you have denied/cancelled events in your calendar, you can choose to display these events on your calendar or avoid them being displayed using your settings.

To enable/disable Denied/Cancelled events:

1. Login to Zoho Mail.

2. Go to Settings  > Calendar > Calendar Preferences.

3. Turn on/off "Denied events".

Reminder notification:

If you are constantly receiving reminder notifications for your events on Zoho Calendar, you can turn off the notifications for sometime using this option. Once your snooze period is over, you can login to Zoho Calendar and enable reminder notifications to start receiving them.

To enable/disable Reminder notification for Zoho Calendar:

1. Login to Zoho Mail.

2. Go to Settings  > Calendar > Calendar Preferences.

3. Turn on Reminder Notification.

Email notification:

In Zoho Calendar, all notifications for communication, reminders and event invitations are sent to the email address configured for email notification. By default, your primary email address is set as the email notification address. You can also change the email address, if required.

To change the email notification address:

1. Login to Zoho Mail.

2. Go to Settings  > Calendar > Email Notification.

3. To change your email address for notifications, click on Change.

4. Enter the email address for which you want to receive notifications and click Confirm.

5. An email will be sent to the entered email address, asking you to verify and confirm the request. Once you confirm, your email address will be updated.

6. Click Cancel and Revert to, if you want to cancel the process.

7. Choose the email format for reminder mail as HTML or Plain Text by selecting Send in HTML format or Send in Plain Text

Agenda notification:

Agenda refers to the list of events that has been scheduled for a specific period of time. In Zoho Calendar, you can receive Agenda notifications via email daily or weekly. Your schedule for the day or the week will be sent to your email ID that you have entered in the settings. You can also choose to receive the agenda in HTML format or Plain text.

To subscribe to agenda notifications:

1. Login to Zoho Mail.

2. Go to Settings  > Calendar > Email Notification.

3. The email ID to which your agenda notifications will be sent is configured by default. You can change the email address for agenda notifications if required. 

4. Choose the email format for reminder mail from HTML or Plain Text.

5. Select the Frequency for Agenda notification as Daily, Weekly or None. 

Note:

When you select the Frequency of Agenda Notification as "None", your agenda notifications will be turned off.
