Zia Agents in Zoho Workplace

Zia Agents are self-sufficient, super-smart bots powered by artificial intelligence to deliver human experiences. It's engineered to simplify and amplify the work done and can handle the tasks autonomously without the need for any human intervention. You can always supervise and improvise at any point.

In Zoho Mail, we’ve introduced a suite of intelligent agents that quietly assist and automate repetitive tasks in the background—freeing up your time for what really matters.

Cleanup Agentin Zoho Mail

Is your inbox a chaotic mix of newsletters you never read, old alerts you no longer need, and promotional emails you wish would just go away?

What if your inbox could clean itself?

We’re excited to introduce the Cleanup Agent in Zoho Mail that uses AI to understand your habits and suggest a plan to restore order to your inbox. It's more than just a filter; it's an AI that learns from your behavior and takes action on your behalf, but only with your approval.

How does it work?

The cleanup agent watches how you interact with your emails. It notices patterns; for example, which senders you always archive without reading, or which types of newsletters you always delete.

Based on these insights, it creates a custom cleanup plan just for you. With your approval, the agent will:

  • Take immediate action: Instantly clean up your inbox by archiving or deleting old, unwanted emails.
  • Prevent future clutter: Continuously monitor incoming mail for similar patterns, automatically applying your cleanup rules so the clutter never builds up again.

Threat Mitigation Agent

Today, a single email can put your entire company at risk. From phishing scams that look deceptively real to complex zero-day attacks, the threats are constantly evolving and finding new ways to slip through your defenses.

What if your security could be smarter and faster than the threats themselves?

We’re excited to introduce the Threat Mitigation Agent in Zoho Mail that proactively defends your organization. It's an AI-powered security guard that watches over your inbox, automatically neutralizing threats and keeping your team one step ahead.

How does it work?

The threat mitigation agent is constantly learning, using AI to detect anomalies and identify patterns. When it detects a suspicious email, it doesn't just block it; it takes a series of intelligent actions:

1. Auto-neutralization: When the agent identifies a zero-day attack—a brand-new threat with no known signature—it automatically neutralizes the threat before it can spread. This is a critical first line of defense that buys your team valuable time.

2. Automated incident reports: For any threat detected, the agent automatically creates a detailed incident report for your administrators. This gives them immediate visibility into the security risk, including which accounts are affected and the nature of the threat.

3. Communication templates: Your admins no longer have to waste time crafting a warning email. The agent provides ready-to-use communication templates that your admins can quickly send to affected employees, ensuring that everyone is informed and knows what steps to take.

Writing Agent

You've experienced the power of generative AI in your inbox, but what if your AI could do more than just write? What if it could help you take action on what you write?

We're excited to introduce the Writing Agent, an intelligent new feature in Zoho Mail that goes beyond drafting emails. It's a proactive assistant that helps you stay on top of your tasks and schedule.

The agent works in the background as you compose or reply to an email, automatically checking for important details like deadlines and action items.

How does it work?

The writing agent works seamlessly with your Zoho Calendar and Zoho People data to help you stay organized. It understands the context of your conversation and provides smart, timely suggestions to help you manage your workflow.

  • Smart reminders: When you write something like "I'll get back to you by Friday," the agent automatically suggests creating a reminder for that date in your calendar.
  • Conflict avoidance: If you mention a specific meeting time—for example, "Let's meet at 2 PM on Tuesday"—the agent will instantly cross-reference that with your Zoho Calendar. If it finds a conflict, it will alert you right away, so you can suggest a different time without having to switch tabs.
  • Task management: When you write, "I'll prepare the report for next week's meeting," the agent will recognize the task and suggest adding it to your to-do list.

Lead Qualifier Agent

Your sales team spends valuable time sifting through inboxes, trying to find and qualify leads from a flood of emails. It’s a tedious, manual process that can cause promising opportunities to be missed.

What if your inbox could automatically find your next customer for you?

We’re excited to introduce the Lead Qualifier Agent in Zoho Mail that works with Zoho CRM to identify and qualify leads automatically right from your sales and partner inquiry emails.

How does it work?

The lead qualifier agent uses AI to analyze the content of incoming emails. It understands the context, intent, and key details to take action for you. When it finds a potential lead, it works seamlessly with your Zoho CRM to:

  • Create a new lead: If the email is from a new contact, the agent automatically creates a new lead in Zoho CRM, populating it with all of the relevant information it can find from the email.
  • Update an existing one: If the email is from a contact you already have, the agent updates their profile with new information, ensuring that your CRM is always up-to-date.

Legal Classifier Agent

Managing legal documents is a time-consuming and high-risk task. Every day, your inbox is flooded with contracts—NDAs, MSAs, and SOWs—that need to be identified, sorted, and reviewed for specific terms. A single error or delay can lead to a significant legal or financial risk.

What if your documents could sort and analyze themselves?

We’re thrilled to introduce the Legal Classifier Agent, an intelligent new feature that acts as a dedicated legal assistant for your organization. Once you upload your legal documents, this agent automatically identifies and classifies incoming contracts—whether in email content or as attachments—and organizes them for you.

How does it work?

The legal classifier agent is built to reduce sorting errors and dramatically cut down your team's turnaround time. It works in the background to give you:

  • Intelligent classification: The agent accurately identifies and classifies legal documents as they arrive, putting them into the right category (e.g., NDA, MSA, SOW). This eliminates the manual effort of sorting and filing.
  • Automated review: The agent instantly reviews documents for critical legal and financial terms, such as payment schedules or liability clauses. This gives your legal and finance teams a head start on their review.
  • Error reduction: By automating the classification and initial review, the agent minimizes the risk of human error, ensuring that no critical document is ever misfiled or overlooked.

Two bonus AI enhancements

And that’s not all—beyond generative AI, Ask Zia, and Zia Agents, we’re rolling out two other exciting AI upgrades.

Contact enrichment in Zoho Mail

You know that feeling when you get a new contact and it’s just a name and an email address? Suddenly, you have to play detective, searching for their LinkedIn profile, their company website, and any other public information to get the full picture. It's time-consuming, tedious, and, let's be honest, a little boring.

Well, those days are over.

We’re thrilled to announce contact enrichment, which lets our AI assistant, Zia, automatically populate publicly available information about your contacts. With just a few clicks, Zia goes to work, filling in the gaps so you don’t have to.

How it works and why you'll love it  

Zia uses publicly available data to find and add details automatically like:

  • Social media handles: Quickly find their LinkedIn, X, or other public social profiles.
  • Company information: See what company they work for, their job title, and the company's website.

Real-world scenarios  

  • For sales and marketing: Imagine you're preparing for a sales call. Instead of manually searching, Zia instantly gives you a full professional profile, helping you personalize your pitch and build a stronger connection.
  • For recruiters: Find the perfect candidate faster. Zia enriches your database with their professional background, allowing you to identify and connect with top talent quickly.
  • For customer support: When responding to a customer complaint, you'll have richer context about who they are and where they work, so you can provide better, more tailored support.

We understand that data privacy is a serious concern. That's why we want to assure you that Zia only uses publicly available information. We do not "snoop" into private data, and every action is done in strict adherence to data protection laws and privacy regulations. Your data and your contacts' privacy remain our top priority.

Smarter event creation in Zoho Calendar  

Creating events just got easier and a lot more intuitive. In Zoho Calendar, you can now simply tell Zia when, where, and with whom, and it takes care of the rest.

As you start typing, Zia suggests relevant titles to help you name your event quickly and clearly.

But Zia doesn’t stop there. The Meeting Description field acts as your personal meeting assistant, helping you craft clear, professional descriptions tailored to your audience. Whether you need a concise agenda or a detailed briefing, Zia adapts to your tone and preferred length.
