We're excited to announce a significant enhancement to managing exhibitors in Zoho Backstage. You now get more control, flexibility, and cost efficiency.
What's changing?
What was once "Exhibitor Management" is now two distinct, purpose-built modules:
- Exhibitor management - Unlimited Exhibitor Listings
- Exhibitor Pro - Premium Interactive Experiences (add-on licenses)
1. Exhibitor management - Unlimited exhibitor listings
Previously, exhibitor listings were capped by plan (for example, 5 for Premium, 15 for Ultimate). Now, Essential, Premium, and Ultimate plans allow unlimited exhibitor profiles at no additional cost, so you can showcase all exhibitors on your event website and mobile app.
What you can do
- Add unlimited exhibitor profiles to your event
- Set up exhibitor information, branding, and collateral as the organizer
- Create a comprehensive exhibitor directory for attendees to browse
- Maintain full control over exhibitor profile content
What's included: Profile images, videos, collaterals, and basic exhibitor information.
Note: These exhibitor profiles do not include interactive features like lead capture, meeting booking, or attendee chat capabilities — those are part of Exhibitor Pro.
2. Exhibitor Pro - Premium interactive experiences
Exhibitor Pro is a new, optional license for exhibitors who want to actively engage with attendees, capture leads, and manage their own presence.
Exhibitor Pro licenses unlock
- Self-service booth management: Exhibitors can update their booth content, add team members, and manage their presence.
- Lead capture: Collect and qualify leads directly from attendee interactions.
- Attendee engagement: Book meetings and chat directly with attendees.
License limits by plan
- Premium Plan: 5 Exhibitor Pro licenses included
- Ultimate Plan: 15 Exhibitor Pro licenses included
- Essential Plan: Unlimited exhibitor listings included; Exhibitor Pro available as an add-on
If you need more Exhibitor Pro licenses, you can purchase additional licenses as add-ons.

Scenario 1: Multi-tier exhibitors
A tech conference with 50 exhibitors across platinum, gold, silver, and bronze tiers.
Before: Limited exhibitor slots or extra fees for every exhibitor.
Now: Add all exhibitors to your directory. Activate Exhibitor Pro licenses for platinum exhibitors or sell lead-capture/interaction add-ons to partners. Less critical exhibitors still get visibility without interactive features.
Result: A complete exhibitor directory with interactivity preserved for premium partners.
Scenario 2: Startup summit
Showcase accelerators, investors, and participating startups.
Before: Limited slots excluded many ecosystem participants.
Now: Add unlimited exhibitor profiles to include all participants. Reserve Exhibitor Pro for top-tier or lead-focused startups.

- Ultimate plan users: Existing 15 exhibitors become 15 Exhibitor Pro licenses + unlimited exhibitor listings
No action required—everything transitions automatically.
