A notification email is an email message sent to inform users about any activity, event, update, or action that has happened or needs their attention. These emails are triggered by a user action or a system event and share details or inform the users. Notification emails usually have a high open rate because people often expect them.

A notification email template is a pre-designed, reusable email format used to send consistent notification messages. When a specific action happens, either from the user side or the product/service side, the email is triggered automatically. The system automatically fills in dynamic details, such as the user’s name, order ID, date, or event time in the email template and sends the email right away.

Best practices for writing notification email templates

Notification email templates should be well composed, and communicate information quickly and clearly. Here are some points to consider when you're writing notification email templates.

Write a clear subject line:

The subject line should tell the user exactly what the email is about; it shouldn't be vague or generic.

Keep the message short:

Most users scan emails instead of reading every word. Keep the content short and try to include only one key update or action in the template. If there are multiple things to cover, it’s usually better to send separate emails.

Have a logical content flow:

Start the email with the action or event that has happened, what it means, add any details the user needs, and mention what the user should do next or where to get help.

Include a Call-to-Action (CTA):

If the email needs any action, make the CTA easy to find with clear text, such as “View order” or “Reset password.” The CTA should stand out visually and describe the next step clearly.

Optimize for mobile devices:

Most users check notification emails on their phones. Make sure your templates are mobile-friendly, with short paragraphs and readable font sizes. A cluttered email can confuse users. Include support information: Sometimes users need help on resolving an issue. It's especially important for payment failures, login issues, or account-related alerts. For these emails, always include your support email address or their contact details.

Maintain brand visibility:

Your notification email templates should match your product’s branding and communication style. Use your logo, colors, and tone consistently. It helps users recognize that the email is from you.
