You can easily and quickly create a form record template in less than a minute. Please follow the steps given below to create your own custom form record template.

  1. Log in as administrator.
  2. Click Setup > Record Template under Templates > Add Template.
  3. Select Employee from the Form Name drop-down list.
  4. Provide Template Name as Welcome letter.
  5. Select Record Template as Template Type.
  6. Select System Fields from Available Merge Fields.
  7. Select Company Logo, Company Name, Company First Address, Company City, Company State, Company Country, Company Zipcode, Company Website, Company Contact Person and Company Contact Number from the Select Field drop-down list one by one and click Insert.
  8. Click Save.
  9. You can Edit, Clone or Delete the template if required.

Field values in templates

Field values in templates provides you with both the default form fields and the related fields of a form that is associated with the lookup field. It segregates the fields into categories that makes it easier for you to add the required fields instantly while configuring the template. For example, if you are configuring a template for the apply leave form, the default fields of that form will be listed along with the related fields of the lookup form (for example, fields of the employee form). This helps you to quickly insert field values into the message box without having to spend much time.

How to insert field values in templates?

  1. Log in as administrator.
  2. Click Setup > Record Template under Templates > Add Template.
  3. Select Form Name from the drop-down list.
  4. Provide Template Name.
  5. Select Email Template or Record Template.
  6. Provide the template message using Field Value and click Insert.
  7. Click Save.

How to export a form record as PDF?

Once you create a form record template, you can export it in a PDF format and save it for later use. Please follow the steps below to export the form record in PDF format.

  1. Click Organization > Employee.
  2. Click on the new employee form and the form page appears.
  3. Click More Actions drop-down list and click Export to PDF.
  4. Select Welcome letter from the Select Template drop-down list.
  5. Select Portrait View or Landscape View.
  6. Click Download and click Ok.
  7. Attach the file and send it to the new joinee.
