What is a Purchase Order?

A purchase order is a financial document that you (buyer) issue to your vendor (seller) when you are in shortage of supplies and need to restock them. It contains the details regarding the products or services that you want to buy, along with the quantity and pricing information. After the vendor receives the purchase order, it might undergo negotiations. The finalized purchase order becomes binding on the vendor to supply the products or services.

How do I create a purchase order using the Purchase Order Generator?

Go to the online Purchase Order Generator.

All fields in the purchase order are editable. Click each placeholder to fill up your own details in its place. 

Click Print Purchase Order or Get PDF in the right sidebar to either quickly print it or download it to your system as a PDF file, for free.

I have entered the details in the Purchase Order Generator. How do I email it to my vendor?

To email your purchase order, you have to sign up for a free Zoho Inventory account.

  • After entering the relevant details, click Send Purchase Order in the right sidebar to email it to your vendor.
  • Provide a valid email ID and a strong password to sign up.
  • A free account will be created in Zoho Inventory with your company name and you'll be redirected to the draft of the email that you'll be sending to your vendor.
  • Fill up the from and to addresses and edit the email content to your preference.
  • Click Send to email your purchase order.

How do I save a copy of the purchase order that I create using the online generator?

To save your purchase orders, you have to sign up for a free Zoho Inventory account.

  • Go to the online purchase order generator.
  • Fill up the relevant details.
  • Click Save Purchase Order in the right sidebar to save it online. 
  • Provide a valid email ID and a strong password to sign up.
  • A free account will be created in Zoho Inventory with the company name that you've entered in the purchase order.
  • Go to the left sidebar in Zoho Inventory, and click Purchase Orders where you can take a look at all the purchase orders you've created and saved.

Can I generate purchase orders with other templates?

You can sign up for Zoho Inventory to try the various predefined templates and customize them to suit your preference, for free. To do so:

  • Click the Gear icon at the top-right corner of the app.
  • Go to Templates > Purchase Orders.
  • Click + New under the Purchase Order Templates page.
  • Hover your cursor over the template of your choice and click Use This.
