Calendly is one of the most popular scheduling solutions on the market.

But when choosing an appointment scheduler for your business, the right fit involves a multitude of factors beyond popularity.

What are you really looking for in an online booking app?

  • Automation capabilities?
  • Customizability?
  • Collaborative features?
  • Affordability?
  • Shorter learning curve?

In this guide, we'll help you analyze Calendly's pricing plans to determine if it's the right pick for you—or if a solution like Zoho Bookings may be a better fit.

The 14-day trial

Calendly offers a 14-day free trial on its Teams plan to help you explore the product.

While it isn't explicitly mentioned on the Calendly website, you'll only be able to add four users to your account during the trial. This may prevent you from getting a complete understanding of the application—especially when you're overseeing a large team.

It's not easy to build a scheduling workflow for four users and scale it to a team of 20. Purchases based on a limited trial may lead to cancellations if the app fails to meet your needs.

That's why it's vital to be sure that Calendly's right for you before you make a purchasing decision.

The Free plan

Calendly's free plan offers a single user account with the ability to create one event type. You'll also be able to integrate with meeting tools and one external calendar to keep your schedules synced across applications. Embed the booking page on your website, send automated notifications for appointment confirmation, and use the mobile app to stay updated on the go.

Here are a few things to be mindful of:

  • You cannot redirect users to your website or any other page of your choice after an appointment is booked. Custom appointment confirmation pages with an agenda or videos can set clear expectations for clients, even before the session.
  • You cannot send appointment reminders to clients in the free plan. Lack of reminders can contribute to no-shows from your clients and time loss on your end.

The Standard plan

Pricing:

  • $10/seat/month (when billed annually)
  • $12/seat (when billed monthly)

There are no restrictions to the number of users you onboard and the event types you offer in the Standard plan. Integrate with your calendars, payment providers, and a host of other tools to unify your tech stack. You can also set up custom webhooks to access meeting information in real time. On the customization front, you'll be able to remove Calendly branding or change booking page colors only when you embed them on your website.

The standard plan may work for you if you're a solopreneur or have a small crew that doesn't need to collaborate. Please note that despite paying $10/seat/month, the Standard plan lacks several team-based features and one of the core functionalities of scheduling: round-robin events.

Without round-robin events, it's likely that some of your teammates will be overloaded while others are underutilized. If you require team-based features, the next plan up might be the one for you.

The Teams plan

Pricing:

  • $16/seat/month (when billed annually)
  • $20/seat (when billed monthly)

In addition to everything in the Standard plan, this plan offers team-based features like group management, admin-managed events, team booking pages you can share with clients, and round-robin scheduling. You can also connect with Hubspot, Pardot, or Salesforce and route invitees based on custom criteria.

However, there are two crucial variables to note before you opt for this plan.

1. It may not be cost-efficient for growing businesses with small teams.

Looking at the above chart, a couple of things stand out:

  • The Teams plan costs 60% more than the Standard plan.
  • The cost for 10 users on the Teams plan exceeds the cost of 15 users on the Standard plan. This difference will expand as the number of users increases.

Smaller teams with competing priorities may find it difficult to shell out approximately $2,000 upfront just to schedule appointments.

2. There's a steep learning curve.

New users might find this plan overwhelming due to the suite of features it offers. Let's look at a few examples:

  • Multiple group event types: There are three types of group events: normal, managed, and team. Each of these serves a different purpose, and understanding how and when to use them could take more time than you're able to spend.
  • Group vs. team: You can manage users using "groups" or "teams." The former allows you to manage users internally and set a standard template for your event types. The latter helps you group and manage event types for external users.
  • Complicated features: There are nuances to Calendly's offerings that new users might find complex, and this can become a problem when onboarding and training your entire team.

The Enterprise plan

Get access to a suite of enterprise-level features like SAML SSO, domain control, communications archiving, audit logs, data deletion APIs, and more. You also get assistance with onboarding, implementation, and a dedicated Calendly partner to help you resolve issues quickly.

As the name suggests, this plan is for large organizations and costs $15,000/year. However, there's a major downside: even in the Enterprise plan, Calendly is neither HIPAA compliant nor does it sign BAA (Business Associate agreements), which are essential for handling Protected Health Information (PHI).

Common limitations across all of Calendly's pricing plans

Now that we've examined plan-specific challenges, let's understand the limitations Calendly shares across all its plans:

Lack of resource scheduling

You cannot rent resources (like meeting rooms or sports equipment) and set dynamic pricing for them.

For example, charging $15 an hour, $30 for 2 hours, and so on for your resources isn't possible with Calendly.

No advanced customization features

Calendly only allows you to tweak the website embed's background, text, button, and link color. You won't be able to customize the standalone booking page at all.

Additionally, you cannot white label the booking page, as Calendly's branding is a part of the booking page URL. You also can't replace the URL with your own domain.

Staying consistent with your branding across different communication forms is a challenge, as Calendly neither offers email templates nor allows you to import your own HTML template.

Customers cannot choose their preferred staff

Calendly doesn't allow customers to choose a staff member, which could pose an issue when working with long-time or recurring customers who have staff preferences.

No way to charge staff-specific pricing

Consider a wealth management consultancy with 10 independent consultants, each offering varying levels of expertise at different price points.

With Calendly, it's not possible to accommodate these individual pricing preferences without creating multiple event types. This makes the entire scheduling process more complex.

Admin-side scheduling issues

Scheduling appointments on behalf of your clients is complicated with Calendly. As an admin, you'll either have to book appointments through the booking page (just like your clients) or send booking page links individually via the Contacts module.

This can be limiting for businesses that attract clients from a variety of channels. For instance, if you run a mental health clinic, you may encounter different client preferences when booking appointments:

  • Clients who want to book appointments online
  • Walk-in clients who wish to meet therapists the same day and usually pay upfront
  • Clients who walk in or call to pay a deposit and book an appointment for a later date

Tracking both online and offline appointment requests in Calendly is already complicated. Adding payments to the mix makes things even more challenging.

Not all your customers book the same way. Shouldn't your scheduler be just as flexible?
