Sharing Secrets

Settings for Initiating Sharing

(Available in Standard, Professional, and Enterprise Editions)

Sharing secrets requires 'handshake' between the administrator and individual users.During the 'handshake', Zoho Vault does the necessary key generation and sharing operations in the background. 

  • By default, sharing will be initiated for all users.

  • Super-admin or any other administrator will finalize the 'handshake' process by approving the sharing requests from users. Approval can be done by navigating to Admin > User Management > Invitation Status.

  • The above approval is required for all users except the super admin, who initially sets up the Vault

Until the administrator approves the handshake, users cannot share secrets with others and vice-versa.

How to approve sharing requests from users?

If you are an administrator, you can approve sharing requests from other users or new administrators. In the Zoho Vault GUI, navigate to Admin >> User Management >> Users >> Sharing Status and click the "Approve" link in the GUI.

How to share secrets?

  • In Zoho Vault GUI, navigate to Secrets >> All Secrets section
  • Click the secret that you want to share
  • Click the "Sharing" icon. It will prompt you to choose either 'Share with Users' or 'Share with User Groups' or 'Share with Outsider'
  • In the GUI that opens up, you can selectively grant 'One-click Login Only or 'view only' or 'modify' or 'manage' privilege to the required user(s) / user group(s)

  1. One-click login only - to share secrets without showing them in plain-text. Users will be permitted to do only auto logon
  2. View only - to share the secrets with permission to view them in plain-text
  3. Modify - permission to view and modify the secret
  4. Manage - permission to view and modify the secret, modify other parameters and share the secrets to others
Note:
  1. The sharing GUI lists only the users who have joined Zoho Vault. If you do not find any of the users in the list above, it means that the user is yet to accept your invitation and sign in to Zoho Vault. Also, sharing secrets requires 'handshake' between the administrator and individual users. Until admin approves the automatic sharing request, users will not be able to view the shared secrets.
  2. When you share passwords through "One-click login only" option, users will not be able to see the password in plain-text in the GUI. However, if the user is tech savvy, he/she could exploit browser capabilities and see the password in plain-text using advanced techniques during the login process. This represents the inherent limitation of browsers over which Zoho Vault does not have control.

How to share chambers?

(Sharing chambers is available only in Professional and Enterprise Editions)

  • In Zoho Vault GUI, navigate to Secrets >> Chambers section
  • Click the chamber you want to share
  • Click the "Sharing" icon. It will prompt you to choose either 'Share with Users' or 'Share with User Groups'
  • You will be allowed to share with user groups only if user groups exist already. Otherwise, create user groups first. Only the super-admin of Zoho Vault is empowered to create user groups
  • In the GUI that opens up, you can selectively grant 'One-click Login Only or 'view only' or 'modify' or 'manage' privilege to the required user(s) / user group(s)
