Forgot Your Passphrase?


If you have forgotten your passphrase, there is no way to recover it as the passphrase is not stored anywhere. The only option is to erase your current passphrase and start all over again. You will lose all your existing data stored in Zoho Vault. The process to erase the passphrase differs based on your role in Zoho Vault.

If your role in Zoho Vault is administrator/user

You cannot erase the passphrase yourself. Instead, you need to make a request to the super-administrator to initiate the process. Once your administrator initiates the process, you will be required to create your passphrase again. As mentioned above, creating a new passphrase is equivalent to starting all over again. You will lose all your existing data stored in Zoho Vault.

While initiating the process to erase your passphrase, if the super-administrator permits, you will receive an email containing an encrypted HTML file. The file will have all your data encrypted with your forgotten passphrase. In case, you happen to get your forgotten passphrase in future, you can decrypt the data. The encrypted HTML file is actually the offline copy of your current data.

You may then access Zoho Vault - you will prompted to create new passphrase.

If your role is super-administrator

If you have forgotten YOUR passphrase

As explained above, there is no way to recover it as the passphrase is not stored anywhere. The only option is to erase your current passphrase and start all over again. You will lose all your existing data stored in Zoho Vault.

To erase your current passphrase, click the "Forgot Passphrase?" link in Zoho Vault login page.

In the GUI that opens, you will find the instructions. Read them carefully. You need to authenticate again using your Zoho account password. Once you do this, your current passphrase will be erased. After the completion of this process, you will receive an email containing an encrypted HTML file. The file will have all your data encrypted with your forgotten passphrase. In case, you happen to get your forgotten passphrase in future, you can decrypt the data. The encrypted HTML file is actually the offline copy of your current data.

You may then access Zoho Vault - you will prompted to create new passphrase. After logging in, you need to carry out all other mandatory configurations once again as per the instructions in the GUI.

Reset Passphrase

To erase the passphrase of other users

You can erase the passphrase of other users who have forgotten their passphrases and enable them start all over again with Zoho Vault.

  • To do this, go to "Admin >> User Management" and select the required user.
  • Then, click "More Actions" >> "Clear User Passphrase"
  • In the GUI that opens, you will see an option to send an email to the user containing an encrypted HTML file. The file will have all the data owned by the user encrypted with his/her forgotten passphrase. In case, the user happens to get back the forgotten passphrase in future, he/she can decrypt the data. The encrypted HTML file is actually the offline copy of the current data. If you want to send this email, select the checkbox. Otherwise, leave it unchecked.
  • Once this is done, the user will be able to create a new passphrase and login to Zoho Vault
