Start Password Management with Secret Addition
Once you have created an account in Zoho Vault, add secrets and users to begin exploring the available features.
How to add Secrets?
To add a secret to your vault, go to All Secrets under the Secrets tab and click Add. A new form will open up. Zoho Vault supports ready-made templates for over 120 websites, and new templates are being added every week. This allows you to quickly add secrets for commonly used websites. If you have other secret types, e.g. bank accounts, credit card details, or social security numbers, click the Others tab that appears at the top of the Add Secret form.
Navigate to All Secrets > Secrets > Add.
Search for the website name in the pop up that appears.
Select the website from the search results and add details as below.
Website name, description, logo and the URL will be auto filled.
Classify the website as Enterprise or Personal: Mark passwords related to your business as Enterprise and passwords for private use as Personal.
Enter your username and password.
You can also add a short note to the secret.
View the saved secret under All Secrets.
Edit the secret later and add more details (attachment, URL, tags) by navigating to All Secrets > Secrets > Edit under Actions.
To add other secret types:
- Navigate to All Secrets > Secrets > Add > Others.
- Fill out the form as instructed below and hit Save.
- Classify as Enterprise or Personal
Passwords related to your business are to be added as 'Enterprise' resources whereas you can mark the passwords added for private use (such as Mail accounts, Security numbers etc.) as 'Personal.
- Sort Secrets with Types
Zoho Vault allows you to sort your secrets into different types such as Web/Bank account, Windows etc. While Vault offers seven predefined Secret types as shown in the image below, you can also create custom types
- Store anything you want by creating custom secret types
As mentioned above, you can add a custom Secret type by clicking on the 'Add New' option beside the 'Secret Type' text box. You also have options to customize the same with any desired number of Text, Password or File fields as required. For instance, the image below shows the creation of a secret type for adding Software License keys. You can make use of File fields for storing digital certificates, documents etc.
- Store Confidential Information as Secure Notes
You can store any confidential information or data along with your passwords as 'secure notes'. The notes actually enable you to store the info in fully encrypted form just like your passwords. While sharing the secrets, the secure note will also get shared automatically.
- Configure Auto-Logon for your Secret
After inputting your secret details, you can also add the related URL for secrets that are basically Web Accounts or such. Adding the URL (of login page) along with the username and password will incorporate the auto-logon option for the secret.
Besides the aforementioned fields, the following are a few more in-built options that you can consider while adding a secret:
A. Securely Store Documents as File Attachments
You can securely store not just passwords, but also documents, files, images, digital certificates and licenses in Zoho Vault. Files can stored as individual entities or along with secrets. You can add multiple files with a single secret and retrieve them from anywhere, even through your mobile devices. The file attachments are also treated like passwords - they can be shared with users and user groups and are encrypted in your browser itself.You can securely store not just passwords, but also documents, files, images, digital certificates and licenses in Zoho Vault. B. Display Icons for Quick Identification
This is to help you easily identify the secret in "Auto logon" tab in the GUI. The icon provided here will appear in that page.
C. Associate Tags for Easy Access
Assigning certain tags to each secret can help you in easily identifying particular accounts. For instance, if you have numerous mail accounts that are subject to purposes such as support handling, personal, corporate account etc., tagging each secret with that use-case will help you easily identify the accounts. Multiple tags can be associated with a single secret.
D. Add Custom Fields
Customize and add new fields in the user interface to suit your requirements. Zoho Vault allows you to add as many custom fields as you want. You can even choose the type of the custom field - whether you want to store normal textual entries or password-type entries. If you choose password-type, the entries you make will be shown hidden by default to offer protection against shoulder-surfing.
- Once you are done with adding the required particulars, click 'Save'. You can find the saved secret under 'All Secrets'.
