Deliverability settings

For ensuring uninterrupted deliverability, we highly recommend that you add SPF and DKIM records to your DNS settings. This will give Zoho TeamInbox the authority to send emails on your behalf.

Note: Only the organization admin can view these settings.

The Sender Policy Framework (SPF) is a record in the domain's DNS that specifies the email server that is allowed to send emails on behalf of your domain. This is important for the recipient server to know if the email comes in from an authorized server, and prevent spamming using your domain name.

DomainKeys Identified Mail (DKIM) is an authentication technique where every email that goes out of a server is given a digital signature, so the recipient server can check if the emails were sent and authorized by the owner of the domain.

Go to the Deliverability section under your Organization settings and check if your domain is listed there. If not, you can skip this process entirely. Your domain will be listed if you've created its inbox by enabling Email forwarding and have used Zoho SMTP (Zoho SMTP is default if you have not used custom SMTP). For any inbox that you've created using Custom SMTP, its respective domain will not be listed.

Adding DKIM record - Generic instructions

Following are the instructions to add DKIM record to your DNS. Please note that the terms used are generic and not specific to any providers.

  1. Log in to your domain registrar's web portal and launch the DNS manager.
  2. Click on the domain you want to add the records for.
  3. Select the option to add a new record.
  4. Select type as TXT and enter the values in accordance with what is in your Zoho TeamInbox Deliverability settings.
  5. For SPF, add another record, select type as TXT and enter the value as v=spf1 include:zohomail360.com ~all.
  6. Save your changes.

Verifying DKIM

Once you've configured DKIM in your DNS, you should verify the values from Zoho TeamInbox. To verify:

  1. Log in to your  Zoho TeamInbox account.
  2. Go to Settings and select Deliverability settings under Organization settings.
  3. Select the domain you want to verify.
  4. Click Verify next to the DKIM record.

You will get an in-app message if your verification was a success or not. If verification had failed, go back to your DNS and check if the values entered are error-less.
