Cronje explained, "Before Zoho Sign, our membership contract process was entirely manual and fragmented. After conducting interviews, I would manually create contracts in Word, convert them to PDF, attach them to emails, and send them to new members." But that was just the beginning. "The real challenge came with tracking: I had no systematic way to know who had received their contract, who had opened it, or who was delaying signing. I found myself constantly checking my inbox, creating spreadsheets to track contract status, and sending follow-up emails asking 'Did you receive the contract?' or 'Have you had a chance to review and sign?'"

She continued, "This consumed hours each week that should have been spent on strategic growth activities. With multiple applicants at different stages, contracts would fall through the cracks, delaying the entire onboarding process and frustrating eager new members waiting to access resources."

Document storage and version control

"Our pre-Zoho Sign workflow created a nightmare of document management. Signed contracts were returned via email as poorly scanned PDFs, photos taken on phones, or even handwritten—and at times, illegible signatures added electronically," Cronje said. "I would then manually download these files, rename them with a consistent naming convention, and upload them to our CRM system under each member's profile."

"This manual process led to several problems: duplicate files with slightly different names, contracts stored in email but not in the CRM, and uncertainty about which version was the 'official' signed copy. When members had questions about their membership terms months later, I would waste valuable time hunting through multiple systems to find their original signed agreement. The lack of a centralized, searchable repository made compliance tracking and record-keeping unnecessarily stressful and time-intensive."

Process bottlenecks = hampered conversion rates

The manual contract signing process created a significant bottleneck between member acceptance and payment collection at VAISA. Cronje shared, "After interviews, there would be a delay while I prepared contracts, then another delay waiting for members to print, sign, scan, and return them. "We receive instant notifications when members sign, allowing us to move immediately to the next onboarding step," Cronje said. "This eliminates the constant email checking and follow-up that consumed hours weekly in our previous manual process. The transparency helps us differentiate between applicants needing reminders versus contracts progressing at a normal pace."
