Meet Prakash Kumar W.T.
Prakash Kumar W.T. is a senior manager at Orkla India Limited (Head Office). He oversees the legal team’s agreement management, documentation, and approval workflows, contract execution and litigation management.
What does Orkla India do?
Orkla India is a subsidiary of Orkla ASA, a Norwegian industrial investment company headquartered in Oslo, Norway. The company is one of India’s leading packaged food businesses, operating through three major units: MTR, Eastern, and an International Business division that serves consumers in more than 40 countries. One of its most iconic brands, MTR, traces its origins to the legendary Mavalli Tiffin Rooms, established in Bengaluru in 1924 and long synonymous with authentic South Indian cuisine.
How does Orkla India do it?
Orkla India reaches millions of consumers through two flagship brands with distinct product identities. MTR offers an exclusively vegetarian product range with breakfast mixes, ready-to-eat meals, pure spices, batters, masalas, and sweets. Eastern specializes in spices, masalas, and food ingredients for both vegetarian and non-vegetarian markets. Together, these brands serve everyday food needs for Indian households, both in India and across diaspora markets, with manufacturing facilities and a wide distribution network across the country.
The Challenge
Before Orkla adopted Zoho Sign, its legal documentation process was entirely manual.
Prakash explained, "As part of the legal function, we handle a large volume of agreements and contracts. Before we started using Zoho Sign, agreement execution involved printing, stamping, couriering, and coordination among multiple people. One person managed printing, arranged the documents, affixed the company seal, and handled courier or postal dispatch. Another was responsible for procuring the required stamp papers from stamp vendors. I was the third, reviewing the agreements and supervising the overall process to ensure each document was executed correctly."
This dependency on physical infrastructure created bottlenecks. Agreements moved at the pace of courier services, and any delay in stamp paper procurement or printing agreements slowed deal closures. Also, with no system to track where a given document was, the legal team had no visibility into signing status at any point.
Printing, courier dispatch, stamp papers, and the efforts of of two or three people added to operational costs. Paper consumption was also high and unsustainable. High paper usage was neither environmentally friendly nor sustainable, leading to process inefficiencies and excessive resource consumption.
The Solution
After evaluating Zoho Sign and other vendors, Orkla India's IT team recommended Zoho Sign.
"What previously required multiple people and extensive manual coordination can now be managed largely by a single person. All manual paperwork was eliminated, ” Prakash said. "We have benefited from faster agreement execution, improved document traceability, quicker turnaround times, better visibility into signing status, reduced operational effort, and significant paper savings."
As a legal professional, Prakash particularly finds Zoho Sign helpful for legally compliant paperwork with counterparties. "Legal compliance is a critical consideration for any agreement execution platform. With Zoho Sign, risks associated with physical agreement hand-offs and cross-signatures (someone else signing instead of the recipient) are eliminated. The process is legally valid."
He continued, "We can also obtain e-stamp papers of the required denomination, helping ensure compliance with applicable legal requirements. Sitting in Bengaluru, I can execute agreements involving parties across multiple states without waiting for couriers or postal delivery."
"Importantly, none of our vendors or business partners have raised concerns regarding the use of Zoho Sign," he added. "In fact, many counterparties appreciate the convenience of being able to sign documents digitally at a time and place that suits them best. This has significantly improved the overall contracting experience for all stakeholders."
Benefits and ROI
The consolidation of a three-person manual workflow into a single-person digital process produced valuable improvements across Orkla India’s legal operations.
Agreement execution became faster at each stage, reducing turnaround times and accelerating deal closures. The legal team gained real-time visibility into signing status, replacing the uncertainty that came with tracking physical documents through courier pipelines. Administrative costs fell as printing, packaging, and postal expenses were eliminated, while paper consumption dropped significantly, contributing to a more environmentally conscious operation. Reducing per person labor also resulted in a 200% jump in operational efficiency.
Prakash noted, "My colleague especially loves the recall and notification features. We can recall documents to correct them without re-initiating the entire flow, and we get instant notifications for every step in the process."
The cross-state e-stamp capability removed a persistent logistical constraint, allowing the team to close agreements with counterparties without geographic delays. “This is a great example of how apps like Zoho Sign advance India’s digital transformation, enabling businesses to operate more efficiently and seamlessly,” he added.
Prakash also highlighted the ripple effects: "All this reduced my team's workload and stress. We are able to honor our commitments to different vendors, even if it's midnight, with just a few clicks."
Looking Forward
Prakash expressed full confidence in Zoho Sign as a long-term part of Orkla India's legal operations.
“I would strongly recommend Zoho Sign to organizations that are still dependent on traditional paper-based documentation processes. It has become like my phone; no work gets done without Zoho Sign!” he said.
