Using SalesInbox for Mobile

Once you have configured SalesInbox for Mobile, you are ready to receive emails with their associated CRM information.

View Customers’ Emails in Tailor-made Folders

SalesInbox offers a default set of CRM-centric folders for better organization of emails. In addition to the standard folders, you will see the additional folders upon configuring SalesInbox on your device.

  • Closing This Month: Filters emails from contacts with which potentials closing during the current month are associated.
  • Customers: Filters emails from contacts with no open potentials AND at least one Closed Won potential.
  • Deals: Filters emails from contacts with open potentials.

These tailor made folders thus help you attend quickly to emails that are top priority. Remember, the emails in these folders are only copies of the mails you receive in your regular Inbox/user created folders. Therefore any email you see inside these tailor made folders is present in the Inbox/user created folders as well. Actions such as read/unread, replying to or forwarding an email from these folders will synchronize with the Inbox/user created folders.

Note:

  • You cannot delete these default CRM-centric folders.
  • When you delete emails within these folders, the original email inside your Inbox/respective folders are not deleted.
  • Emails that do not satisfy any of the criteria above will be displayed in their respective folders as always.

View CRM information on an email

Every email that you receive on your mobile after configuration of SalesInbox will contain a CRM strip in which you will be able to quickly see important CRM information associated to the lead/contact. Examples of the information include potential amount, tasks or events related to the lead/contact, and so on. Following are a handful of scenarios which will demonstrate how every email will present CRM information in specific use cases.

Note:

  • Plain text emails will not have the CRM info along with them.
  • As part of the initial synchronization, a maximum of 150 emails per folder get downloaded on your mobile device. Out of these 150, 50 most recent mails appear with the CRM strip. You will not see CRM info for the other mails. Please note that this limitation is applicable only for mails that are downloaded during the initial synchronization soon after the SalesInbox configuration. The CRM info appears for every mail received after the initial synchronization is complete.

Scenarios

Following are a handful of scenarios based on emails received from leads and contacts. Read through them to understand how SalesInbox categorizes emails and presents CRM information in each case.

Scenario #1

You receive a mail from a contact for which you have an open potential, a Closed Won potential and no open activity. In this case,

  • You will receive a copy of the mail inside the Deals folder.
  • SalesInbox shows the potential amount in the pipeline, potential amount that has been won and the modified date of the contact.
     

Scenario #2

You receive a mail from a contact for which you have an open potential, a Closed Lost potential and no open activity. In this case,

  • The mail will appear in the Deals folder.
  • SalesInbox shows the potential amount in the pipeline, potential amount lost as well as the modified date of the contact.

Scenario #3

You receive a mail from a contact for which you have an open potential that is "closing in the same month the email was received" and no open activity. In that case,

  • The mail appears in the Closing This Month folder.
  • SalesInbox will show the amount in the pipeline, the closing date of the potential and that there are no follow-up activities.
      

Scenario #4

You receive a mail from a contact for which you have an open potential as well as an open activity. In that case,

  • The mail appears in the Deals folder.
  • SalesInbox will show the amount in the pipeline, potential closing date, the open activity and its due date.

Scenario #5

You receive a mail from a contact for which you have no associated deals or activities.

  • Since this is a contact with no Closed Won or open potential, this mail will not appear in any of the CRM centric folders.  It will however carry the CRM information.
  • SalesInbox will show the date from which the sender has been a contact in Zoho CRM and the modified date of the contact.

Scenario #6

You receive a mail from a contact with no associated deals but with an overdue activity. In that case,

  • Since this is a contact with no Closed Won or open potential, this mail will not appear in any of the CRM centric folders. It will however carry the CRM information.
  • SalesInbox will show the date from which the sender has been a contact in Zoho CRM, how many days the activity is overdue by and the modified date of the contact.

Scenario #7

Let’s say you receive an email from a lead with an associated open activity. In that case,

  • Since CRM-centric folders do not focus on leads, this will not appear in any of the CRM centric folders. It will however carry the CRM information.
  • SalesInbox will display the date from which the sender has been a lead in Zoho CRM, the type of activity and its due date. (James Carter)

Scenario #8

Let’s say you receive an email from a lead with no associated activities. In that case,

  • Since CRM-centric folders do not focus on leads, this will not appear in any of the CRM centric folders. It will however carry the CRM information.
  • SalesInbox will display the date from which the sender has been a lead in Zoho CRM, as well as the date that the lead was last modified. (done)
