Credit Note Preferences

In the Preferences section, you would be able to assign default terms and conditions and notes to your customers. Also, you can add additional fields to your credit notes by using our Custom Field option.

To access the preferences of the Credit Notes, you can go to Credit Notes in the left sidebar, click More Actions at the top and select Preferences.

Credit Note QR Code (#qr-code)

You can add a custom URL or embed information as a QR code in the credit notes you send to your customers. Here’s how you can enable QR Codes in Zoho Invoice:

  • Go to Settings and select Credit Notes.
  • In the General tab, slide the toggle next to Credit Note QR code to Enabled.
  • Click Configure next to QR Code Type, and enter the custom message (within 250 characters) or insert placeholders and click Update.
  • Enter the QR Code Description and click Save.

Once the QR code has been enabled, all the templates created afterward will have the QR code enabled by default.

If you wish to show the configured QR code in the existing credit note template:

  • Go to Settings and select PDF Templates.
  • In the Templates pane, select Credit Notes.
  • Click Edit on the template you wish to include the QR code.
  • Navigate to the Other Details tab and select Document Summary.
  • Mark Show Credit Note QR Code and click Save.

The QR codes will be now be included in the credit notes created using the existing templates.

Terms & Conditions and Customer Notes

  • Go to Settings and select Credit Notes.
  • Enter the terms & conditions and customer notes to be displayed in your credit notes.

This will be displayed in all the credit notes created unless you change the content at the time of creating the credit note.

Custom Fields

Scenario: One of Sam’s customers want the credit note to include the reason the goods were returned. So Sam creates a custom field for it and ensures that the specific field is displayed on the credit note created to that particular customer.

Similarly, you can make use of the Custom Field option to add additional details to your credit notes.

To create a Custom Field,

  • Go to Settings and select Credit Notes.
  • Navigate to the Field Customization tab and click + New Custom Field.
  • Enter the Label Name, Data Type and other necessary details.
  • You can choose to make the custom field mandatory and display it on the PDF based on your preferences.
  • Click Save.

Note: Currently, only the Text Box (Single Line) data type is supported in Zoho Invoice, and you can create up to three custom fields of this type in each module.
