Projects

In Zoho Procurement, you can track the spend associated with each project using Projects. After creating projects, you can add the relevant users to them, enabling users to tag their project related spend accordingly.

If the project is being carried out for a customer, you can also associate the customer to the project and mark the associated spend as billable.

Add New Projects

To associate projects with records, you need to first add the required projects to your organization. Here’s how:

  • Go to Settings in the top right corner.
  • Click Projects under General.
  • Click + New Project in the top right.
  • Enter the Project Name.
  • Enter the Project Code and Description, if necessary.
  • Select the Customer Name from the dropdown.
  • Select the Project Head from the dropdown.
  • If you want to associate this project with all the users, mark the Associate with all users checkbox.
  • Under the Users section, click Associate User and select a user from the dropdown. The selected user will now be able to associate this project with an expense.
  • Click Save. A new project will be created.

Import Projects

If you’ve created projects elsewhere, you can import them into Zoho Procurement. Here’s how:

  • Go to Settings in the top right corner.
  • Click Projects under General.
  • Click the More icon in the top right corner and select Import Projects.
  • Click Choose File and select the file you want to import. Or, drag and drop the file that you want to import.

Pro Tip: To know the format of the import file, including the necessary columns and data, you can download the sample file and ensure that your import file matches it.

  • If you want to upload another file instead of the selected file, click Replace File and choose another file.
  • Select the Character Encoding and File Delimiter.
  • Click Next.
  • The best match for each field in Zoho Procurement will be auto-mapped with the fields in the imported file. If there are unmapped fields, you can map them manually.
  • If you want to save the mapping for future use, mark the Save these selections for use during future imports option.
  • Click Next.
  • The data in the unmapped fields will not be imported into Zoho Procurement. If you want to map those fields, click Previous and map the unmapped fields.
  • Once you have mapped all the relevant fields, click Import.

Associate Projects With Transactions

Once you’ve added projects, here’s how you can associate them with transactions:

  • Select the required module from the left sidebar.
  • Click + New in the top right corner.

Note: You can associate projects with Purchase Requests, Purchase Orders, and Bills.

  • Select the required project from the Project field.
  • Click Save.

Edit Projects

You can update the details of projects by editing them. Here’s how:

  • Go to Settings in the top right corner.
  • Click Projects under General.
  • Hover over the project you want to edit.
  • Click the More icon and select Edit.
  • Make the necessary changes and click Save.

Filter Projects

You can filter the projects in your organization based on their status.Here’s how:

  • All Projects: All the active and inactive projects in your organization will be listed in this filter.
  • Active Projects: All the active projects in your Zoho Procurement organization will be listed in this filter.
  • Inactive Projects: All the inactive projects in your Zoho Procurement organization will be listed in this filter.

Add Custom Fields

Create custom fields to capture the specific information based on your needs for the projects.


Mark Projects as Inactive

You no longer require certain projects, you can mark them as inactive. Here’s how:

  • Go to Settings in the top right corner.
  • Click Projects under General.
  • Hover over the project you want to mark as inactive.
  • Click the More icon and select Mark as Inactive.

Mark Projects as Active

If you need to use inactive projects, you can use them by marking them as active. Here’s how:

  • Go to Settings in the top right corner.
  • Click Projects under General.
  • Hover over the inactive project you want to mark as active.
  • Click the More icon and select Mark as Active.

Export Projects

If you would like to send your project details to your accounting software or any other application, you can export them. Here’s how:

  • Go to Settings in the top right corner.
  • Click Projects under General.
  • Click the More icon in the top right corner and select Export Projects.
  • Choose the Export File Format. You can choose from CSV, XLS, and XLSV.
  • Enter the File Protection Password if you want to protect the export file.
  • Click Export.

Delete Projects

Note: Deleting a project is permanent, and you will not be able to retrieve the project details.

If you no longer need certain projects, you can delete them. Here’s how:

  • Go to Settings in the top right corner.
  • Click Projects under General.
  • Hover over the project you want to delete and click the More icon.
  • Select Delete.
  • Confirm your action by clicking Delete in the pop-up.
