Data Management
You can backup the data and documents in your organization from the Data Management page. You’ll learn how to perform these actions in this help document.
Backup Data
You can backup your organization’s data such as purchase requests, biils, and so on.
To initiate a data backup for your organization:
- Go to Settings in the top right corner of the page.
- Click Data Management under Developer Data.
- In the Data Backup tab, click Backup Your Data.
- In the following pop-up, the email address to which the backed up data will be sent will be shown.
- Select if you want to backup data in the CSV or XLS format in the File Type field.
- Check Include Sensitive Persoanlly Identifiable Information (PII) while backing up data, if you want to include PII information in the backup file.
- Click Continue to proceed further.
- Enter a password for the backup file in the File Proctection Password field. Your password must be at least 12 characters and include one uppercase letter, lowercase letter, number, and special character.
The backup will be initiated, and the download link will be delivered to your email once the backup is complete. This will take up to 30 minutes. You can also download your backed up data from the Backup History section.
Note: The download link for your backed-up data will expire 30 days after the date of your backup. Additionally, once you initiate a backup, you will not be able to back up your data again for the next 15 days.
Backup Documents
Zoho Procurement also provides the option to export only the documents in organization, such as the files attached to request for quotes, bills, and other records.
Prerequisite: You cannot initiate a document backup if you have already initiated a data backup. You can initiate a document backup again 15 days after the date of the data backup.
To initiate a backup for the documents in your organization:
- Go to Settings in the top right corner of the page.
- Click Data Management under Developer Data.
- In the Data Backup tab, click Backup Documents.
- In the following pop-up, the email address to which the backup data will be sent will be shown. Click Continue.
The backup will be initiated, and the download link will be delivered to your email once the backup is complete. This will take up to 30 minutes. You can also download your backed up data from the Backup History section.
