Manage Custom Modules
In this help document, you’ll learn how to manage custom modules and their fields in Zoho Procurement.
Edit Custom Modules
You can make changes to custom modules by editing them. Here’s how:
- Go to Settings in the top right corner of the page.
- Select the required custom module under Custom Modules.
- Click More in the top right corner and select Edit Module.
- Make the necessary changes and click Save.
Configure Field Access
There may be cases where you would want to hide a custom field or give limited access to certain users. Here’s how you can do this:
- Go to Settings in the top right corner of the page.
- Select the required custom module under Custom Modules.
- Go to the Fields & Tables tab.
- Hover over the field for which you want to configure access.
- Click the Dropdown icon and select Configure Access.
- Select the access type for the role to which you want to give specific access.
Access Type Description Read and Write The user with this access can view and fill or edit the field. Read Only The user with this access can only view the field. Hide Field The user with this access type will not be able to view this field. - Click Save.
Edit Fields
You can update the fields in a custom module by editing them. Here’s how:
- Go to Settings in the top right corner of the page.
- Select the required custom module under Custom Modules.
- Go to the Fields & Tables tab.
- Hover over the field you want to edit.
- Click the Dropdown icon and select Edit.
- Make the necessary changes and click Save.
Mark Fields as Inactive
If you don’t require certain fields, you can hide them from the custom module by marking them inactive. Here’s how:
- Go to Settings in the top right corner of the page.
- Select the required custom module under Custom Modules.
- Go to the Fields & Tables tab.
- Hover over the field you want to mark as inactive.
- Click the Dropdown icon and select Mark as Inactive.
Mark Fields as Active
If you want to use inactive fields in a custom module, you can enable them again. Here’s how:
- Go to Settings in the top right corner of the page.
- Select the required custom module under Custom Modules.
- Go to the Fields & Tables tab.
- Hover over the inactive field that you want to mark as active.
- Click the Dropdown icon and select Mark as Active.
Delete Fields
If you no longer require certain fields, you can remove them from the custom module. Here’s how:
- Go to Settings in the top right corner of the page.
- Select the required custom module under Custom Modules.
- Go to the Fields & Tables tab.
- Hover over the field for which you want to delete.
- Click the Dropdown icon and select Delete.
- Confirm your action by clicking Yes in the pop-up.
Custom Module Permissions
By default, users of custom roles won’t have access to newly created custom modules. If users require access, you can update their roles to include access to the required custom modules. Here’s how:
- Go to Settings on the left sidebar.
- Click Roles under Users & Roles.
- Click Edit next to the role for which you want to update permissions.
- Scroll down to Custom Modules.
- For each custom module, check the permission you want to provide for the role. Check All Access to provide full access to a custom module.
- Click Save.
Create Custom Views
Custom views can be used to filter the records in your custom modules based on the criteria you’ve set. Read our help document on Custom Views to learn more.
Export Custom Modules
You can export the records of the custom module in your Zoho Procurement organization. Here’s how:
- Go to Custom Modules on the left sidebar.
- Select the custom module you want to export.
- Click the More icon in the top right corner and select Export.
- You can either choose to export the custom module or the current view, that is, only the visible columns will be exported.
- If you choose to Export Current View:
- Choose the Export File Format. You can choose from CSV, XLS, and XLSV.
- If there is any personally identifiable information in the records you are exporting, check Include Sensitive Personally Identifiable Information (PII).
- Enter the File Protection Password if you want to protect the export file.
- Click Export.
- If you choose to Export {Custom Module Name}:
- Select the custom module from the Module dropdown.
- Select if you want to export All {Custom Module Name} or a Specific Period.
- If you select a specific period, enter the period for which you want to export the records.
- Select the Filter Criteria.
- Select an Export Template from the dropdown.
- Select the Export File Format. You can choose from CSV, XLS, and XLSV.
- If there is any personally identifiable information in the records you are exporting, check Include Sensitive Personally Identifiable Information (PII).
- Enter the File Protection Password if you want to protect the export file.
- Click Export.
Delete Custom Modules
Warning: Once a custom module is deleted, it cannot be retrieved. Make sure to export the custom module before deleting it to avoid any data loss.
If you no longer require certain custom modules, you can delete them. Here’s how:
- Go to Settings in the top right corner of the page.
- Select the required custom module under Custom Modules.
- Click More in the top right corner and select Delete Module.
- Confirm your action by clicking Delete again in the pop-up.
