Lead Management and Follow-up in Zoho One



In this guide, we'll discuss four key actions that most businesses can take when a new lead enters their CRM. These actions can be easily automated in the CRM and showcase the value of the system. Our goal will be to discuss each action and how it can be automated so you can understand how to implement this in your CRM within Zoho One.

We'll also show you how our example business, Corporate Cleaners, has configured these actions in their CRM so that you can understand how CRM works in Zoho One within an example business use-case.

Actions:

  • Assigning the lead to a rep

  • Creating a follow-up task for your rep

  • Sending the lead a welcome email

  • Tracking where the lead came from
     

Assigning Leads to Reps

Assigning a rep from your organization to a lead ensures someone will follow up to see if there is a chance to make a sale. Automating this task ensures that all leads are assigned immediately so no lead falls through the cracks. Since the lead is assigned automatically, you can follow up faster and work more efficiently.

In Zoho CRM, leads are assigned using assignment rules. Depending on your team and process, you can assign reps to leads in various ways.

  • All to one person

  • Round robin, where reps are assigned leads in turn

  • By a criteria that uses data you have collected about that lead. For example:

    • Geography (ZIP code, city, state, etc.)

    • By lead source (phone, email, web form, event, etc.)

    • Product or service they are interested in

Assigning Leads to Reps Story

As Corporate Cleaners grew, so did the number of leads they were getting.

Their process of tracking leads in a spreadsheet and then manually assigning them suddenly became a very time-intensive process. New leads were sitting in the spreadsheet for hours, sometimes days. And they weren't reaping the full benefits of their marketing initiatives because the leads were losing interest before they could assign them and reach out. So, they decided to automate the lead assignment process using assignment rules in Zoho CRM.

Corporate Cleaners wanted their leads to be assigned to their sales reps evenly. This way, no sales rep was overloaded with a huge influx of leads all at once.

So they set up an assignment rule to assign each new lead that made it into their CRM in a round robin format. They did this by navigating to Setup -> Automation -> Assignment -> and then creating a new assignment rule that applies to all leads and assigns leads to the role of "Sales Rep" based on a round robin format.

After creating the assignment rule and testing it out with a few leads, they immediately noticed the difference. They now have new leads being assigned to sales rep with no manual effort and no chance of overlap or missed leads.


Creating a follow-up task for your rep

Assigning a rep is a great step towards creating accountability and working efficiently. To take this further, you can automatically create a follow-up task that is associated with each lead that comes into the system. Follow-up tasks are assigned to the sales rep that has been assigned to the lead and can include deadlines to ensure that you are striking when the iron is hot.

For example, when you setup your follow-up task automation, you can set the deadline for two business days after they have been added to the CRM. This logic will then be applied to every follow-up task for every lead that enters the system.

In CRM, you can manually create a task on a lead record in a couple of clicks. But to automate creating a follow-up task for every new lead, you have two options.

The first option is to tack on a follow-up task to the assignment rule that you've already created. When setting up or editing an assignment rule, you'll find a "Followup Task" section at the bottom of the rule. From there, you can select "+Add Task" and either create a new task or choose a pre-existing task to add to the assignment rule.  Since the task is built directly into the assignment rule, it will be created and assigned to the rep at the exact same moment the lead is routed to them. This keeps everything in one place and ensures no lead enters the system without both an owner and a next step.

The second option is to use workflow rules. Workflow rules use a simple logic that includes triggers and actions. In the new lead follow-up example, the trigger is a new lead entering the system. The action is the thing you want to happen: a task getting created.

Workflows can always be broken down into an if/then statement. For our follow-up task, we would say:

If a new lead enters the system, then create a follow-up task.

To put our if/then statement into CRM speak:

If a new record is created in the leads module, then create a follow up task.

Create a follow up task story

As their lead volume grew, the Corporate Cleaners sales team found themselves struggling to keep up. Even though Zoho CRM was automatically assigning the leads to them, they were still manually creating follow-up calls for each lead.They were constantly reminding each other to follow up with the leads that had been assigned to them. And with the high volume, it was easy to forget to manually assign one or two calls during a busy day.

Sarah thought about their process and decided it would be best to have a task assigned for a sales rep to call a lead a day after the lead had entered their CRM. To automate the follow-up call assignment process, they simply added a follow-up task to a previously created assignment rule. They navigated to Setup -> Automation -> Assignment -> and selected the assignment rule they wanted to add the follow-up task to. At the bottom of the assignment rule configuration window, they clicked to add a follow-up call that triggered a day after the lead was created in the CRM.


Send a new lead a welcome email

Sending a welcome email can be a great way to immediately contact a new lead to show your responsiveness. Welcome emails can accomplish many things, including:

  • Thanking the lead for their inquiry

  • Providing the lead with a timeline they can expect a response

  • Telling the lead who will be reaching out to them

  • Share more information that the lead may need or want

  • Providing a next step for the lead to complete


To send a welcome email, we will need to create a workflow rule. Just like the follow-up task workflow rule, we can also put the welcome email into an if/then rule.

If a new lead enters the system, send them a welcome email.

Or, to use our CRM speak:

If a new record is created in the leads module, send them the welcome email.

In order to send an automated welcome email, we will need to create an email template. You can create email templates for all sorts of situations that you regularly encounter when selling.

An email template can be very simple.

For example, it can say: "We are writing to thank you for inquiring about our product. We will follow up tomorrow."

Email templates can also be dynamic and personalized, allowing you to use or insert data that you have already collected about the lead.

For example, imagine you rent event space, and the intake form on your website captured their first and last name, email, phone number, the date of their event, and the type of event they are having. This data has been added to your CRM. Additionally, let's say you have setup your lead assignment rule, and the rep who will be following up with them is named Sharon. Instead of a generic email, your email could be personalized to the lead and appear to be from Sharon.

"Dear Mr. Jones, thank you for inquiring about our event space for a birthday party on June 25th. I am eager to discuss your requirements and answer any questions. You can expect a call from me in the next day."

To add dynamic information into your email templates, you will use what we call merge tags. Merge tags allow you to use data you have captured and stored in your CRM.

Send a new lead a welcome email story

Sarah wanted to keep automating their process, and she decided that when someone reached out to her business, that person should receive a warm welcome immediately. So, she decided to automate a welcome email to be sent out to a lead the moment they're added to the CRM.

To automate a welcome email, the first thing she needed to do was create an email template that would be sent out to all new leads in their system. So, she navigated to Setup -> Customizations -> Templates, and clicked to create a new template for the leads module. She then crafted the following email:

"Hi ${Leads.First Name}${Leads.Last Name},

Thanks for your interest in Corporate Cleaners! We're excited to hear more about your office cleaning needs. One of our team members will reach out soon to learn more about your needs and to build you a customized quote.

In the meantime, feel free to reach out with any questions or visit our website to learn more about our services. We look forward to working together!

When she was creating their email template, she wanted to make sure that the emails felt personal. Because they were going to be sending out the same template to every lead who entered into their CRM, it was important to add personalization that included the lead's first and last name. So, she used Merge Fields to automatically populate information from the lead record directly into the email template. She added two merge fields at the top so that every email would be addressed to the lead's first and last name. She also included a merge field at the bottom to make the email look like it came directly from the sales rep who was assigned the lead.

Now that the email template had been created, she needed to configure it to send out every time a new lead was added to their CRM. So, she created a workflow rule to do just that.

She navigated to Setup -> Automation-> Workflow Rules, and clicked to create a new Workflow rule for the Leads module. She configured the workflow to execute whenever a lead is created and had the workflow apply to any lead that her team hadn't met in person (she can determine who this workflow is being applied to using the Lead Source field, which we'll discuss later). She then configured the action to be an email notification to the lead and associated the pre-made email template with that action.

Now, anytime a lead is created in their CRM account, a welcome email is sent to that lead.

Tracking where your leads come from

Every time we add a lead to our CRM, we should know how we got it. To put this in marketing speak, we should know which channel the lead came from.

In the CRM, there is a default Lead Source field where you can track this information. The Lead Source field is a dropdown, which contains different options to choose from. These options, or values, as we call them in CRM speak, can be customized to match the marketing channels you use.

Tracking the source of a lead allows us to understand which marketing channels are delivering the most leads so we know where to invest our time and marketing budget.

Tracking lead source can also inform the way we follow up with the lead. For example, if a lead came through a form on our website, then we probably have not interacted before. But if we went to a trade show and have interacted in-person, we may want to reference that experience when we send our welcome email.

This would be possible in the CRM. We would update the Lead Source field to "trade show." And then we would create a Trade Show Welcome Email, a welcome email we send to new leads that we met at a trade show. To send this Trade Show Welcome Email automatically, we would create a workflow rule with more specific criteria than our general welcome email.

Let's put this if/then statement in CRM speak:

If a new record gets added to the leads module AND the Lead Source field says "Trade Show," then send the Trade Show Welcome Email.

Lead Source Tracking Story

Sarah attended a trade show to generate leads. She got 100 business cards of people her team needs to follow up with. She needs to add these leads to her CRM.

Since she has already met these people, she doesn't want to send a generic welcome email, but instead, one that builds on the meeting she's already had. She decided to create a Trade Show Welcome Email, a welcome email that gets sent exclusively to new leads she met at a trade show.

Her first step is to create a "trade show" option in the default "lead source" field dropdown menu. She created that by going to Setup -> Modules and Fields -> Leads, and then finding the "lead source" field and editing the properties to add a "trade show" option to the pick list.

Her second step is to create a Trade Show Welcome Email. She navigated to Setup -> Customizations -> Templates, and clicked to create a new template for the leads module.

The third step is to create a workflow to send that email out to any lead that gets added to the CRM with the "lead source" of "trade show." This will make sure that anyone who gets added from the trade show then receives the email template she made. She navigated to Setup -> Automation-> Workflow Rules, and clicked to create a new Workflow rule for the Leads module. Now, because she's able to track specific lead sources, she's able to send personalized sales content to leads based on their lead source.

With the system ready to send welcome emails for the trade show lead source automatically, Sarah can now scan the business cards into her CRM using the Card Scanner application, available on both the Apple Store and the Google Play store. She scanned every business card and set their "lead source" to "trade show." Now their trade show leads will get a more personalized follow-up welcome email.
