In this guide, we'll discuss how to add leads from different sources into Zoho One using Zoho CRM. Whether your leads come through a website form, a spreadsheet, live event, or somewhere else, Zoho CRM provides multiple ways to capture and organize them. And once those leads have made it into CRM, they can then be used in a variety of other applications in Zoho One. Our goal is to explain the main ways you can add leads or contacts, and how to streamline your process so that every lead is accounted for and followed up with in a timely manner.

Adding Leads or Contacts
In Zoho CRM, a Lead is someone who has shown interest in your product or service but has not yet been qualified. A lead might just be a name and a phone number or an email address. You will have to learn more about this lead. Once you know enough about a lead to be able to sell to them, they are converted into a Contact.
A Contact is someone you know. They can be a qualified lead, someone you are working a deal with, a customer, partner, vendor, or some other type of person you need to keep track of. Contacts are often linked with Accounts, which are the businesses that Contacts work for.
Whether you will use the Leads and Contacts module will depend on your sales process. Some businesses don’t need a distinction between leads and contacts. In these cases, every person entered into the CRM is considered a valuable connection from the start, so there is no need to move them through a separate qualification stage. These organizations simplify their CRM by using only the Contacts module. This approach reduces unnecessary steps and keeps all customer info in one place, making it easier to focus on building and maintaining relationships.
Manually Adding Individual Leads
Sometimes you need to manually add a single lead. This is useful for one-off entries, like when a sales rep speaks to someone on the phone and wants to log their information quickly.
To add a lead in Zoho CRM manually, you can navigate to the Leads module and click the Create Lead/Contact button.
To add a contact manually, follow the same steps but in the Contacts module.
Adding Leads from a Spreadsheet
If you already have leads stored in a spreadsheet (Excel, Google Sheets, Zoho Sheet, etc.), you can import them directly into Zoho CRM. For example, you might have a spreadsheet of all the leads you captured from a recent tradeshow.
CRM's import feature allows you to simply drag and drop your file into the CRM. The data in the columns of your spreadsheet will be put into appropriate fields in your CRM record. When doing your import, you will need to map your columns to the CRM fields.
There are also tools available to validate data and avoid duplicates.

Adding Leads from Another CRM
If you're migrating your CRM data to Zoho CRM, we make it easy to move your existing data. You can export records from your old CRM and use our import tool to bring in leads, contacts, accounts, deals, and any custom modules you may have.
To migrate your data, navigate to Setup -> Data Administration -> Import -> and select the CRM system you're migrating from. Then simply drag and drop the exported files from that CRM system and import them into Zoho CRM. Once the file is imported, you'll map the fields from your old file to match up with fields provided by Zoho CRM. This process is made easy because our import tool helps with field mapping, detecting duplicates, and ensuring your data is preserved as you transition.

Adding Leads from Webforms
Webforms allow you to capture lead information through a form. They are commonly embedded on websites. Once someone fills out a webform and hits submit, the data can be pushed to Zoho CRM automatically. For example, someone filling out a "Contact Us" form on your website can become a new lead in your CRM. Capturing leads through webforms is valuable because it connects your marketing and sales funnels seamlessly. By routing prospect or customer details directly into CRM, you ensure that no opportunity is missed and that follow-ups can happen quickly.
There are two ways to build forms that connect with your CRM. First is the form builder in CRM, which is usually the best way to add leads. Second, you can use Zoho's stand alone form builder, Zoho Forms.
Zoho CRM gives you the ability to create forms that you can embed on a webpage, landing page, or even include in an email signature or attach to a QR code.

If you need more customization options when building your form or a more powerful option, you can use Zoho Forms. Zoho Forms is a dedicated form building application that allows for more advanced customization, conditional logic, and integrations compared to the built-in CRM webforms.

Adding Leads by Scanning a Business Card
You can enter leads into Zoho CRM by scanning business cards instead of typing in details manually. This makes it quick and easy to capture prospect info while networking at events, trade shows, or client meetings.
There are two ways you can scan business cards and add the data to your CRM: with the Zoho CRM mobile app or our dedicated Card Scanner mobile app.
The Zoho CRM mobile app allows you to scan a card directly and add the details to your leads or contacts module. You can also merge duplicates so your CRM data remains clean, as well as trigger custom workflows and automate contact management right from your mobile device.
Check out this page to learn more about Zoho CRM's mobile app and it's card scanning functionality.
Zoho Card Scanner is a mobile app that specializes in scanning business cards. Using the dedicated Zoho Card Scanner app is helpful if you frequently collect business cards and want a faster, more accurate way to capture them. Unlike the CRM mobile app, which includes card scanning as just one of its many features, the Card Scanner app is built solely for scanning and saving contact details. This makes it quicker to use in bulk situations like trade shows or networking events. It also integrates with other Zoho tools like Zoho Books, and with third-party apps, giving you flexibility if you want scanned contacts to appear outside of Zoho as well. For teams that rely heavily on face-to-face networking, the dedicated app ensures cleaner data capture and a more streamlined process.

Adding Leads from a Chatbot on Your Website
Using a chatbot on your website is a great way to gather high quality leads because you're interacting with people while they're most interested in your company.
Above we have discussed how Zoho SalesIQ allows you to embed a live chat window on your website and pass data to Zoho CRM. If you want to automate live chat with a chatbot, SalesIQ can also help.
With SalesIQ chatbots, you can structure the ways visitors chat with your bot. You can also embed an LLM into the chat window so an AI service like ChatGPT can help you serve customers.

Adding Leads from an In-person, Hybrid, or Online Event
Generating leads from an in-person or hybrid event is incredibly valuable because you're interacting with people who have invested time and potentially money to see what you have to offer. These people often expect a follow-up, and having their details flow directly into Zoho CRM allows your team to send targeted followups, like post-event thank you emails, resources links, or personalized demos.
With Zoho, you can run online, hybrid, or in-person events with Zoho Backstage. This application integrates directly with Zoho CRM so that registration and attendee information can sync directly into your CRM for follow up.

Adding Leads from a Webinar
Hosting webinars is an effective method to educate prospects on your offering, showcase product or industry expertise, or build trust by providing value before or after a sale has taken place. Webinars are also a great way to reach a large audience at once, while still giving people a chance to interact with your company.
If you use Zoho Webinar, you can automatically capture registrant and attendee information as leads or contacts in Zoho CRM. This removes the manual process of exporting registration or attendee reports and then uploading them into your CRM.
Zoho Webinar integrates directly into Zoho CRM so that all information from your Webinar is automatically synced into your CRM account.

Adding Leads from Social Media
Generating leads from social media is a great way to create relationships with people who are interacting with your brand in real time. These leads can give you insights into what kinds of messaging resonates with potential customers, what products spark interest, and how potential customers prefer to communicate.
Zoho Social integrates directly with Zoho CRM, so that you can capture leads from Facebook, X, Instagram, LinkedIn, and more, and move them directly to your CRM. If someone clicks on your social media ad, fills out a lead form you're hosting on your social media, or messages your business page, their info will flow into the CRM automatically.
However, it's important to note that most social media platforms do not share email addresses or full contact details for privacy reasons. The info you capture will typically only include names/usernames and interaction details. Your team will need to follow up directly on the platform with a direct message or a simple webform to request additional info like an email address or phone number before you can fully qualify someone.
By bringing social media leads directly into the CRM, you can make sure that online engagement doesn't end at a like or comment. It can become the start of a long-term business relationship.
