Functions in Locations
Once you’ve created the locations, associated the transaction series, and added the users, you can start associating the locations to transactions.
Let’s explore how you can do this in Zoho Books:
Associate Locations to Transactions
You can associate locations with all your sales transactions, purchase transactions, manual journals, bank transactions, and e-Way bills. Let’s look at an example of how you can associate a location to an invoice:
- Go to Sales on the left sidebar and select Invoices.
- Click + New on the top right.
- Select the Customer Name
- Select the Location and Invoice Date.
- The Invoice # will be auto-generated. You can also manually generate them by clicking the Gear icon.
- Enter other details and click Save.
Similarly, you will be able to create transactions and associate locations with other modules as well.
Pro tip: If you’ve been tracking a location’s transactions separately, you can import them into your organization along with the location and map them appropriately.
Associate Users to Locations
You can associate users with locations. Only the users that you associate with a location will have access to the transactions of that location. To associate a user to locations:
- Go to Settings in the top right corner.
- Navigate to Organization Settings, and select Locations under Organization.
- Edit or Create a new location.
- Click the Click to associate users dropdown next to the Associate Users field.
- In the Location Access, Select users that you want to associate with the location from the dropdown. You can check the Provide access to all users option to associate all users to the location.
- Click Save.
To remove a user from a location, hover over the user and click the Remove Association icon next to the user’s Role.
You can also associate a user to a location from Users module in Settings.
Note: The transactions a user can access depend on the locations associated with them at the user level and the segmented access control configured at the role-level.
View Dashboard
By associating locations with transactions, you can easily view each location’s performance directly from the dashboard. Here’s how:
- Go to Home on the left sidebar.
- Navigate to the Default Dashboard tab.
- Click the All Locations dropdown in the top left.
- Select the location whose details you need to view.
