ClickSend SMS Extension

ClickSend is a cloud-based business communications platform that enables companies to send, receive, and track SMS, MMS, email, voice, fax, and postal mail messages globally via a web dashboard, software integrations, or programmable APIs.

How the Clickatell SMS Extension Works

After you install the ClickSend SMS extension in your Zoho Books organisation, you need to create templates based on the SMSes you want to send to your customers. Next, create custom actions and associate the required templates with them. Lastly, create workflow rules and associate the custom actions with these rules to schedule the SMSes at your preferred times.

For example, you can create SMS templates to share customer statements, invoice details, payment links, or payment reminders, and schedule the messages to be sent at appropriate times.

Install the ClickSend Extension

To install the ClickSend SMS extension:

  • Go to Settings in the top right corner.
  • Click Marketplace under Integrations & Marketplace.
  • Click the search bar on the right side of the All Extensions tab and search for the ClickSend SMS extension for Zoho Books.
  • Click the extension listed in the dropdown.
  • Click Install in the top right corner of the page.
  • Agree to the terms and conditions of Zoho Marketplace and the vendor.
  • Click Install.
  • Agree to the terms and conditions of the integration and click Next on the following page.
  • Authorise the ClickSend SMS - Zoho Finance and Zoho Finance - ClickSend SMS connections.
  • To authorise the ClickSend SMS - Zoho Finance extension:
    • Click Connect next to the connection.
    • Enter your ClickSend User Name and Password and click Connect on the page that follows. The connection will be authorised.
  • To authorise the Zoho Finance - ClickSend SMS extension:
    • Click Connect next to the connection.
    • Click Connect again on the page that follows.
    • The extension requires access to certain data from your organisation. Verify the required data and click Accept. The connection will be authorised.
  • Once you’ve authorised the connections, click Next.
  • Select the medium through which you want to send the SMSes from the Send SMS From field.
  • Select Shared Number if you want to send the SMSes using the number provided by ClickSend. This is the default option set by ClickSend for sending SMSes.
    • Select My Number if you want to send the SMSes from your mobile number. This option is available only in certain countries. Read this article from ClickSend to check if the My Number option is available in your country.
    • Select My Business Name if you want to use your business name as the sender ID. This option is available only in certain countries. Read this article from ClickSend to check if the My Business Name option is available in your country.
  • Click Install Extension. The extension will be installed.

Create Custom Actions

To send SMSes to your customers, you need to create Custom Actions. Here’s how:

  • Go to Settings in the top right corner of the page.
  • Click Workflow Actions under Automation.
  • Click ClickSend Notifications in the Workflow Actions pane.
  • Click + New ClickSend Notification in the top right corner.
  • Enter the Action Name and Description.
  • Select the Module for which you’re creating the custom action. You can choose from Customers and Invoices.
  • Select the required Template, and the message will be auto-populated. You can edit the message by clicking Edit Template.
  • Click + New Template to create a new template. Fill in the following:
    • Enter the ClickSend SMS Template Name.
    • Enter the Message. You can customise the message by adding placeholders. Click Insert Placeholders and select the required ones.
      • You can also use Zia to generate the message. Click the Generate With Zia icon.
      • In the pop-up, enter your prompt (describe the message you want Zia to generate) and click Generate Content. Zia will generate the message based on your prompt.
      • If you’re satisfied with the content, click Insert. If you want a different version, click the Regenerate icon next to Insert.
      • You can also change the Tone and shorten or expand the content.
    • Check Default Template to mark a template as the default one.
    • Click Save to save the template.
  • Click Save to save the custom action.

Create Workflow Rules

To send SMSes to your customers, you need to create Workflow Rules and associate them with the required custom actions. Here’s how:

  • Go to Settings in the top right corner of the page.
  • Click Workflow Rules under Automation.
  • Click + New Workflow Rule in the top right corner.
  • Enter the Workflow Rule Name and Description.
  • Select the Module for which you’re creating the workflow rule. Ensure that you select the same module you chose while creating the custom action.
  • Click Next.
  • Fill in the required details in the Workflow Rule Execution Condition section.
  • If you want to send the SMSes to your customers based on their time zones, select Customer’s Time Zone in the Time Zone field.
  • Click + New Criterion. Click Yes if you want to add criteria and fill in the required details, or click No.
  • Click + Immediate Actions. Choose ClickSend Notifications as the Type and select the required custom action from the Name dropdown.
  • Click Save.

View ClickSend SMS Logs

You can view a log of the SMSes triggered. Here’s how:

  • Click ClickSend SMS Logs under Custom Modules on the left sidebar. A log of the SMSes triggered will be available.
  • Click the status of a log to view more details.

Uninstall the ClickSend SMS Extension

If you don’t want to use the ClickSend SMS extension, you can uninstall it. Here’s how:

  • Go to Settings in the top right corner of the page.
  • Click Marketplace under Integrations & Marketplace.
  • Click the Installed Extensions tab.
  • Click View details next to ClickSend SMS.
  • Click Uninstall in the top right corner of the page.
  • Click Yes in the pop-up that appears.
