The Desk cuts 85% of manual effort by turning its entire Zoho ecosystem into a conversation with Zoho MCP

The company

The Desk is an Australia-based Zoho consulting and implementation Partner that helps SMBs streamline, automate, and unify their operations across sales, marketing, operations, and client services.

The challenge

With a team of around ten people, efficiency is critical. Every hour spent on administrative work is an hour that can't be spent delivering value to clients. The Desk had already embraced AI across its operations. Team members used AI assistants to research prospects, summarize meetings, draft content, and analyze information. The problem was that AI existed outside the systems where the business ran. The team used AI for research, content drafting, summarization, and analysis, but the output still had to be manually transferred into Zoho CRM, and Zoho Projects. The result was a fragmented workflow where AI accelerated thinking but not execution. That disconnect showed up most painfully in four places.

"The AI was saving time on one side of the workflow but creating administrative work on the other."

  1. Client onboarding was entirely manual. For every new lead, someone on the team had to research the company online, pull out the key details, and type them into Zoho CRM, one field and one lead at a time. A single onboarding took between 20 and 30 minutes of focused work before the lead was ready for a sales conversation.

  2. Post-meeting follow-ups were a repeating tax on the team. After every client call, someone had to work through the transcript or notes, identify the action items, figure out the owners and deadlines, and manually create the tasks in Zoho Projects. The work was straightforward, but it happened after every meeting for every project, and it consistently ate into billable hours.

  3. Management reporting required specialist effort. Building the weekly revenue, project, and invoicing reports that the leadership team needed meant constructing queries and dashboards in Zoho Analytics. Straightforward business questions, like how much revenue was in the pipeline that month or which projects were off track, turned into one- to two-day builds for whoever was assigned to them.

  4. AI integration complexity: Every other AI integration path the team had explored required custom-built middleware to move data in and out of Zoho. For a company committed to helping clients consolidate operations on Zoho, that wasn't a sustainable direction.

The solution

The Desk moved on Zoho MCP as soon as it was announced. The appeal was that it worked inside the Zoho ecosystem rather than alongside it: the team's data already lived in Zoho CRM, Zoho Projects, and Zoho Analytics, and MCP made that data accessible through natural language to any MCP-compatible AI agent with no custom integration layer required.

"Every other AI solution we'd explored required us to build custom integrations or work around Zoho. MCP works within it."

Adithya RCTO & COO, The Desk

The setup took only a few hours rather than days, and the first workflows were in production within a week, with most of the effort going into refining prompts and designing skill-based orchestration.

The team built five workflows, each targeting a friction point that had been consuming time:

  • Client onboarding automation: Claude researched each new lead, extracted the fields Zoho CRM needed, and created or updated the record with duplicate-checking, removing the manual data-entry step.

  • Meeting transcript to tasks: Claude pulled action items, owners, priorities, and deadlines from raw transcripts, created the tasks directly in Zoho Projects, and assigned the right person to the right project without human intervention.

  • Scope creep detection: Meeting summaries were compared against each project's agreed deliverables, flagging out-of-scope work before it consumed unbillable hours.

  • CRM intelligence on demand: Sales team members could query account history, active projects, product specifications, and client relationship data from Zoho CRM in plain English, mid-call, without leaving the conversation to hunt through tabs.

  • Natural language reporting: Instead of building Zoho Analytics queries and dashboards, users prompted for revenue summaries, project statuses, or invoicing updates in natural language and received the answer directly. Presentations could be generated from the same insights without a separate reporting step.

Benefits and ROI

The impact on The Desk's internal operations was measurable across every workflow the team deployed.

  • Faster client onboarding: Client onboarding tasks, which previously took 20 to 30 minutes of manual effort per lead, were now completed in seconds, cutting manual effort over 85% while substantially accelerating lead qualification and sales readiness.

  • Automated project administration: Post-meeting task creation, which had required manual effort after every client meeting, was fully automated through Zoho Projects, ensuring faster execution and greater consistency.

  • Simplified reporting: Weekly management reporting, which used to consume one to two days of a team member's time, was generated in minutes through natural-language queries with presentations built directly from the insights.

  • Better project margin protection: Scope creep, which had previously been invisible until it showed up as a margin problem at the end of a project, was flagged in real time before unbillable work accumulated. Catching one to two out-of-scope incidents per project preserved roughly 500 to 1,000 AUD in billable work that would otherwise have slipped away.

  • Reduced context switching: The workflows together freed up 12 to 15 hours a month across the team.

  • A new competitive advantage: For The Desk, Zoho MCP has become more than an internal productivity tool. The firm now deploys the same conversational workflows for clients, building intelligence layers on top of Zoho that make each client's entire data ecosystem accessible without technical expertise. That moved the firm's offering up the value stack in a market where most companies are still competing on implementation speed.

"MCP has fundamentally changed what we can deliver as a Zoho Partner. We're not just implementing Zoho anymore; we're building intelligent, conversational layers on top of it that make our clients' entire data ecosystems accessible and actionable without technical expertise. That's a significant differentiator in the market."

Adithya RCTO & COO, The Desk

Clients didn't have to move data, learn a new interface, or change their system of record; Zoho MCP made everything they had already built in Zoho available through natural language. "That democratises access to business intelligence in a way nothing else has," Adithya said.

Looking forward

The Desk has rolled the same workflows out to client engagements and now recommends Zoho MCP to every client it works with, particularly those that already have mature Zoho deployments and are looking to get more out of the data they've accumulated.

For now, The Desk's position on the product is straightforward. "Zoho MCP turns your entire Zoho ecosystem into a conversation," said Adithya, "and it's the most practically useful AI capability I've seen deployed in a real business context."
