General Data Protection Regulation (or GDPR) is an important data regulation that ensures that individuals have complete control over their personal data. Enforced by the EU commission on May 25, 2018, GDPR aims to regulate the security of personal data. European residents now have a greater say over what, why, where, when, and how their personal information is used.

According to GDPR, any organization that works or interacts with EU residents, irrespective of their own location, have to comply to the principles and regulations of the data protection law.

How does Zoho Learn help you with your GDPR compliance?

Protection of personal data

With role-based access, idle-session timeout, and two-factor authentication, Zoho Learn ensures that the security standards are met. Protection of user data is considered a priority through several measures.

Invitation-based membership

Every user is added to Zoho Learn's internal hub or external portal only after they've accepted the email invitations. The user has the right to reject the invitation if it's irrelevant or unnecessary.

Complete control over user data

Admins have complete control over the user's activity and data within Zoho Learn. From accepting the invites to leaving the platform, admins can configure the necessary settings and functionalities of every user within Zoho Learn.

Encryption of important information

Any data that you enter into Zoho Learn is encrypted and stored in our servers. This includes information within the manual, course content, comment discussion, lesson forum discussions, and so on.

Correction of data errors

Zoho Learn gives complete control to the admins, where admins can decide if users can edit their profile information or not. Except for the email addresses, every piece of user information can be rectified based on the admin's configuration.

Data retention

The data retention period within Zoho Learn is 30 days. Any information within manuals and courses can be restored from trash within the 30-day window. After that, the information will be completely removed from the platform.

Database cleanup

All of the unwanted and deleted data in Zoho Learn will be wiped off from our servers within 90 days. This database cleanup is a recurring process that happens in Zoho Learn.

Audit logs

Audit logs record every write/delete action that happens in Zoho Learn. Zoho Learn has audit logs at three levels: manual, course, and hub. Admins of the respective manuals and courses and the admins of the entire hub are the only ones who can view the audit log.
