Custom Status
Custom Statuses in Zoho Spend let you create and manage additional statuses for transactions based on your organization’s internal workflows. While Zoho Spend provides default system statuses to track the lifecycle of a transaction, custom statuses help you reflect business specific stages that occur between or alongside these standard statuses.
You can set custom statuses for the following modules:
- Trips
- Reports
- Advances
- Purchase Requests
- Purchase Orders
- Bills
- Vendor Credits
Create Custom Statuses
Here’s how you can create custom statuses:
- Go to Settings on the left sidebar.

Click Settings in the top right corner of the page. - Select the module for which you want to create a new custom status.
- Go to the Custom Status tab.
- Click + New Custom Status in the top right corner.
- Select the parent status for which you want to set a custom status from the Custom Status for dropdown.
- Enter the custom status name in the Status Name field.
- Select the Label Colour.
- Click Change Color to select the colour in which you want this custom status to appear.
- Select the colour and click Apply.
- Click OK to confirm your colour.
- Provide Description, if necessary.
- Click Save.
Apply Custom Status to Transactions
Here’s how you can apply the respective custom status you have created to transactions:
- Go to the respective module.
- Select the respective status from the All Statuses dropdown at the top pane.
- Open the transaction for which you want to apply the custom status.
- Click the More icon at the top pane.
- Click Mark as {Custom Status Name}.
Your transaction’s status will be updated to the custom status you’ve created.
Revert Custom Status
Here’s how you can revert the transaction back to parent status:
- Go to the respective module.
- Select the respective status from the All Statuses dropdown at the top pane.
- Open the transaction for which you want to revert the custom status.
- Click the More icon at the top pane.
- Click Convert to {Parent Status}.
Your transaction will be reverted back to the parent status.
Edit Custom Statuses
Here’s how you can edit custom statuses:
- Go to Settings on the left sidebar.

Click Settings in the top right corner of the page. - Select the respective module.
- Go to the Custom Status tab.
- Hover over the custom status you want to edit and click the Dropdown icon.
- Select Edit.
- Make the necessary changes and click Save.
Delete Custom Statuses
Here’s how you can delete custom statuses:
- Go to Settings on the left sidebar.

Click Settings in the top right corner of the page. - Select the respective module.
- Go to the Custom Status tab.
- Hover over the custom status you want to delete and click the Dropdown icon.
- Select Delete.
- Confirm your action by clicking OK in the pop-up.
