Travel Dashboard

The Travel tab on the Home page tracks trip requests, bookings, and traveller behavior. It helps travel admins keep bookings on time, control cancellations, and identify frequent travellers who may need corporate travel arrangements.

Here’s how you can view the Travel Dashboard in Zoho Spend:

  • Log in to your Zoho Spend organization.
  • Go to Home on the left sidebar.
  • Select the Travel tab.

This tab supports three filters at the top — Date Range, Travel Type, and Policy. Changing any of these refreshes all widgets on the tab.

Travel Overview

The Travel Overview widget gives you a count of trips by status. This is the quickest way to see the volume and distribution of trips in the selected period.

  • Total Trips: Count of all trips created during the period.
  • Ongoing Trips: Trips that have already started but haven’t ended yet.
  • Upcoming Trips: Trips scheduled to start after today.
  • Completed Trips: Trips whose end date has already passed.
  • Cancelled Trips: Trips currently in the Cancelled status.

Travel Spend Summary

The Travel Spend Summary widget shows the trend of total travel spend across the selected period. Use the Show Previous Period toggle to compare against the previous equivalent period.

How Total Travel Spend is calculated:

Sum of approved travel related expense amounts plus booking costs recorded on trips, grouped by month. Travel related expenses are identified by the category being marked as a travel category in your organization.

Attention Required

The Attention Required widget consolidates the trips that require admin action.

  • Total trips requiring action: Sum of Pending Trips, Booking Pending, and Unreported Trips.
  • Pending Trips: Trips awaiting approval from an approver.
  • Booking Pending: Approved trips where at least one itinerary has not yet been booked.
  • Unreported Trips: Completed trips for which no expense report has been submitted.

Travel and Accommodation Spend

The Travel and Accommodation Spend widget breaks up travel spend by transport and accommodation mode. This helps you understand where travel money is going.

The modes tracked are Flight, Hotel, Car, Bus, Train, and Ferry.

How Travel and Accommodation Spend is Calculated:

For each mode, sum the booking amounts of all itineraries of that type in the selected period. Total Amount = sum across all modes.

Average Time Taken for Trip Approval

This widget shows how long approvers take, on average, to review trip requests.

How Average Time Taken for Trip Approval is Calculated:

Σ (Approved Date − Submitted Date) ÷ Number of Approved Trips.

The percentage indicator next to the value compares the current period against the previous period, using ((Current − Previous) ÷ Previous) × 100.

Itineraries Cancelled and Rescheduled

Two widgets on the tab track itinerary volatility.

Number of Itineraries Cancelled

Shows the count of itineraries cancelled in the selected period.

How Number of Itineraries are Calculated:

Count of itineraries currently in the Cancelled status. Percentage change compared with the previous period = ((Current − Previous) ÷ Previous) × 100.

Number of Itineraries Rescheduled

Shows the count of itineraries for which a reschedule was recorded in the selected period.

How Number of Itineraries Rescheduled are Calculated:

Count of itineraries with at least one reschedule event. Percentage change compared with the previous period is calculated the same way as above.

Late Trip Submissions

The Late Trip Submissions widget highlights trips that were submitted for approval after the trip start date.

How Late Trip Submissions are Calculated:

Count of trips where Submitted Date > Trip Start Date. The percentage shown is (Late Trip Submissions ÷ Total Trip Submissions in the period) × 100.

Top Frequent Travellers

The Top Frequent Travellers widget lists employees with the highest number of approved trips. It helps you identify travellers who may benefit from corporate travel programs or preferred vendor arrangements.

Top Travellers by Booking Cancellations

This widget lists employees whose bookings are cancelled most often. It helps you spot patterns that might be increasing travel costs.

Top Travellers by Booking Rescheduling

This widget lists employees whose bookings are rescheduled most often.

Most Visited Airports

The Most Visited Airports widget lists the airports with the highest booking frequency. It helps you negotiate corporate rates with airlines and preferred lounges at high-traffic hubs.
