Expenses Dashboard

The Expense tab on the Home page focuses on employee submitted expenses and expense reports. It helps finance teams monitor spending patterns, spot policy violations, and measure how efficiently expense reports move from submission to reimbursement.

Here’s how you can view the Expenses Dashboard in Zoho Spend:

  • Log in to your Zoho Spend organization.
  • Go to Home on the left sidebar.
  • Select the Expense tab.

Use the Date Range filter at the top to change the reporting period. All widgets on the tab refresh based on the selected range.

Spend Summary

The Spend Summary widget shows the trend of total expenses across the selected period. Use the Show Previous Period toggle to compare against the previous equivalent period.

Attention Required

The Attention Required widget consolidates expense reports that require admin action.

Top Contributors

This widget shows the top five contributors to expense spend. Switch tabs to view the individual breakdown.

  • Top Categories: Top five expense categories that contribute the most to spend (for example, Meals, Travel).
  • Top Merchants: Top five merchants (such as vendors on receipts) where employees spend the most.
  • Top Users: Top five employees with the highest approved expense spend.
  • Top Departments: Top five departments driving expense spend.
  • Top Projects: Top five projects associated with the highest expense spend.

Average Approval Time

This widget shows how long approvers take, on average, to review submitted expense reports. Long approval times often lead to delayed reimbursements.

How Average Approval Time is calculated:

Σ (Approved Date − Submitted Date) ÷ Number of Approved Reports.

Average Time to Reimburse

This widget shows how long it takes, on average, for an approved expense report to be reimbursed. It helps finance team measure payout efficiency.

How Average Time to Reimburse is calculated:

Σ (Reimbursed Date − Approved Date) ÷ Number of Reimbursed Reports.

Policy Compliance Rate

The Policy Compliance Rate widget shows the percentage of expenses that comply with your organization’s expense policies. A high rate indicates disciplined spending.

How Policy Compliance Rate is calculated:

(Number of Expenses Without Policy Violations ÷ Total Number of Expenses) × 100.

Corporate Card Usage

The Corporate Card Usage widget shows the share of expenses paid using corporate cards, rather than out-of-pocket. Higher usage often correlates with better spend visibility and easier reconciliation.

How Corporate Card Usage is calculated:

(Number of Corporate Card Expenses ÷ Total Number of Expenses) × 100.

Top Policy Violations

The Top Policy Violations widget lists the expenses that trigger the most policy violations. This helps you fix repeat issues or refine policies that are being flagged too often.

Top Policy Violators

The Top Policy Violators widget lists the users whose expenses trigger policy violations most often. Use it to guide targeted training or policy reminders.

Budget Consumption

The Budget Consumption widget shows how much of your expense-linked budgets has been used in the current period.

How Budget Consumption is calculated:

For each budget, (Actual Expense Spend ÷ Budgeted Amount) × 100.

Employee Liability Summary

The Employee Liability Summary widget shows the net amount your organization owes each employee (or the employee owes back, in the case of unspent advances).

How Employee Liability Summary is calculated:

For each employee, (Approved Reimbursable Expenses − Amount Already Reimbursed − Advances Applied).
