Klaviyo Extension for Zoho Billing

Klaviyo is a cloud-based marketing automation platform that helps businesses acquire, retain, and grow their customer base through targeted marketing campaigns. With this extension, you can sync your customers from Zoho Billing to Klaviyo and deliver personalised experiences through email and SMS campaigns.

Scenario: Patricia is the Marketing Manager at Zylker Technologies LLC, a SaaS company with a growing subscriber base. She wants to send personalised renewal reminders and promotional offers to customers whose subscriptions are nearing expiry. By integrating Klaviyo with Zoho Billing, Patricia automatically syncs her subscription data to Klaviyo and creates targeted campaigns based on subscription status, helping reduce churn and improve customer retention.

Install the Extension

Prerequisite:

Ensure you have an account in Klaviyo before the setup. If you do not have one, create a new Klaviyo account. Note your Private API Key from your Klaviyo account; you will need it during the setup.

To install the Klaviyo extension:

Log in to your Zoho Billing organisation.
Go to Settings in the top right corner.
Select Marketplace under Integrations & Marketplace.
Search for Klaviyo Marketing for Zoho Billing and click View Details.
Click Install next to Klaviyo.

The setup will begin, and you will be prompted to authorise the connections to fetch customers from Zoho Billing.

Connect and authorise all the connections.
For the Klaviyo connection, enter the Private API Key from your Klaviyo account.

Warning: Your private API key is visible only once in Klaviyo. Save it in a secure location before proceeding with the setup.

On the following page, configure your sync preferences:

Choose a list under Configure. Ensure you have already created a list in your Klaviyo account.
Select your Sync Type.
Click Install Extension.

How This Extension Works

The extension operates as a one-way sync, where customers are pushed from Zoho Billing to Klaviyo. Zoho Billing automatically syncs customers when specific events occur, based on the sync type you have configured.

If the sync type is Invoices, a customer is synced when:

A new invoice is created.
Any of the following fields in an invoice are updated:
- Invoice Number
- Invoice Status
- Invoice Balance

If the sync type is Subscriptions, a customer is synced when:

A new subscription is created.
Any of the following fields in a subscription are updated:
- Subscription Number
- Subscription Status
- Subscription Plan

Once synced, the customer’s details will be visible in both Zoho Billing and Klaviyo.

Sync Customers Manually

In addition to automatic syncing, you can sync selected customers from Zoho Billing to Klaviyo instantly. To perform a manual sync:

Log in to your Zoho Billing organisation.
Go to Customers in the left sidebar.
Select the customers you want to sync.
Click Sync to Klaviyo near the Bulk Update option at the top.

The selected customers will be synced to Klaviyo in real time.

If your organisation has more than one user, each user — except the admin who configured the extension — must authorise one connection before they can perform a manual sync. To authorise:

Go to Settings in the top right corner.
Select Marketplace under Integrations & Marketplace.
Click the Installed Extensions tab.
Click View Details next to Klaviyo for Zoho Billing.
Click Connect below billing_customer_connection.

Trace Sync Logs

To review the logs of a manual sync:

Go to Settings in the top right corner.
Select Workflow Logs under Automation.
Under the Custom Buttons tab, click Sync to Klaviyo.

Customise the Extension

To update the sync configuration for the Klaviyo extension:

Go to Settings in the top right corner.
Select Marketplace under Integrations & Marketplace.
Click the Installed Extensions tab.
Click View Details next to Klaviyo for Zoho Billing.
Click Configure.
Update the Sync Type and List as required.
Click Save.

Note: Customers synced before this configuration update will not be moved to the new list. Only customers synced after saving the updated configuration will appear in the newly selected list.
